3 H2020-GRANT NO EMBRIC Abstract This deliverable explains how EMBRIC website and video have been created to provide public information regarding the project. It gives details on the tools used to develop the website and illustrates the different pages it contains. It describes of the collaborative platform that has been set up to promote the interaction within the cluster partners. 5 H2020-GRANT NO EMBRIC 1 Introduction EMBRIC (European Marine Biological Resource Infrastructure Cluster) connects six biological and social science Research Infrastructures (EMBRC, MIRRI, EU- OPENSCREEN, ELIXIR, AQUAEXCEL, RISIS) to develop integrated multidisciplinary value chains of services for the exploration and sustainable exploitation of marine bioresources. One of EMBRIC s main objective is to build inter-connectivity along three dimensions: science, industry and regions and communication is essential to attain this objective. On average, 70% of individuals in OECD countries connect to the Internet on a daily basis (OECD Science, Technology and Industry Scoreboard 2015, pp222), i.e. more than 3 billion people. This means that a functional informative EMBRIC website will allow the project to link with its potential customers. The website offers EMBRIC low barriers of entry and allows it to be know not only by the scientific community, but by policymakers, potential customers, partners and society in general. Thus, a functional and attractive website is essential for the project to building interconnectivity among target EMBRIC audience. The EMBRIC website has been operational for almost a year. It contains key information on the project, such as the partners; the project s objectives; a description of the ten work packages and their commitments; the training opportunities and the news and events. This document gives details of the EMBRIC website content, the internal collaborative platform and the EMBRIC presentation video embedded in the website. 6 H2020-GRANT NO EMBRIC 2 Detailed structure and content of the EMBRIC website As a Research Infrastructure (RI) project, EMBRIC, requires a website which reflects its propensity and responsibility of dissemination. With this ambition in mind, the EMBRIC website was launched in November 2015 and is hosted by Ghent University (Partner 16). 2.1 The website management tool The EMBRIC website, has been developed using Drupal which is an open source, content management software. Drupal is popular for web content management among global enterprises, governments, higher education institutions, and NGOs. It was chosen since it has standard features that are functional and easy to use, such as content authoring, reliable performance, and excellent security. Moreover, the PHP Drupal Platform was found to be extremely flexible and modular. A third reason was that some marine biotechnology related RIs or institutions have an open source Webservice run on a Drupal Platform fitting the XCRI-CAP standard (exchange of Course Related Information). Consequently, possibilities of exchange of data with similar platforms belonging to collaborative RIs and other institutions is ensured. Figure 1. Drupal logo 2.2 Structure There is a top bar where a menu depicting several category pages are enlisted. The category pages that can be found on the website are the following: Passive information on the Cluster: home page, cluster rationale, cluster objectives, downloads, cluster, partner map, partner list and the 10 work plan pages. Active page: Company Forum (at this stage still passive and informative) Active page: Training, provided by the Marine Training Platform Active Pages News & Events. Both pages show internal and external events where EMBRIC was/will be present o Cluster meetings represent EMBRIC official internal events, for instance general assemblies, work package meetings with a short synopsis and picture. o Calendar gives an overview of all events and, where online subscription through EMBRIC has been requested, an online registration system Contact page is an online form that sends all queries to the EMBRIC management team. 10 H2020-GRANT NO EMBRIC Project content There is a special webpage devoted to the detailed description of the EMBRIC s work plan. By clicking on each WP title, a summary will appear. Figure 4. Project Content Company forum The establishment of a Company Forum for stakeholders involved in the genetic improvement of mariculture species encompassing biotechnology, breeding, farming and processing companies and an evaluation of its effectiveness is one of the main objectives of WP8 and is presented in the EMBRIC website. This Company Forum will raise awareness of the capacity of European RIs to support genetic improvement of shellfish and finfish through the provision of biological and computational resources, knowledge and training. Company Forum Training The training and education portal will be part of the EMBRIC website and includes centralised information with searchable catalogues. This tool is targeted to people in search of training possibilities related to marine biotechnology research. The training initiatives that will be posted in the EMBRIC website will be: Thematic workshops for the staff and/or end-user communities of EMBRIC allowing for exchange of practices in a specific field Online training packages to promote standards and best practices Training of staff through staff exchange: mobility grants for short (< 1 month) training through exchange initiatives; Training of EMBRIC users on the access to and use of marine genetic resources The EMBRIC training portal page will be linked to the EMBRC fostered Marine Training Platform ( The EMBRC Marine Training Platform technical backbone is an open source Webservice run on a PHP Drupal Platform fitting the XCRI-CAP standard (exchange of Course Related Information). 12 H2020-GRANT NO EMBRIC The specific EMBRIC training page will be Incorporated as an iframe or rss feed directly imported from the Marine Training Platform. It will display a list of training courses offered by EMBRIC partners in the EMBRIC framework. Additionally, trainings organized in the framework of the associated RIs will also be displayed. 13 H2020-GRANT NO EMBRIC News & events The News and events page will display forthcoming events, past events, cluster meetings and a calendar that will be regularly updated by the University of Ghent in collaboration with the UPMC Contact Figure 7. News and events A contact form is available in the EMBRIC website. It requires the name, address, subject and message. Once the message is sent, it arrives directly to the management team Intranet Intranet is available for EMBRIC partners to facilitate project management and to create a private and secure exchange space online. Basecamp, a private web-based project management-collaborative platform, was chosen as the external project management tool for EMBRIC. 14 H2020-GRANT NO EMBRIC EMBRIC s Basecamp has a to-do lists, file sharing, messaging system and a calendar: Ø To-do lists. To allow better organization of huge tasks, we have a to-do list. Ø Message boards and comment threads. To centralize and keep track of discussions on-topic and in-context so the whole story stays together in one site we have message boards. Comments are designed in a way that people can respond over time. Ø Docs & file storage. Basecamp s docs & files section lets you visually organize PDFs, link Google Docs, images, or other files into folders. Ø A centralized schedule. Basecamp s schedule keeps track of all major milestones, deliverables, deadlines and upcoming events of EMBRIC. It is expected that in the beginning not all EMBRIC partners will exploit the potential of the EMBRIC Basecamp, but continuous motivation from the Scientific Manager will make this situation progressively evolve. A list of the future envisaged improvements to the EMBRIC website follow: The EMBRIC homepage will and adopt the graphic chart to be provided by the communication agency that has been hired. A dynamic menu will be implemented with images from the cluster partners. A web portal describing the transnational access (TA) to EMBRIC will be added and will include detailed information on research infrastructure at TAproviders as well as illustrations of pipeline modules (platforms and services that can perform procedures). A table of deliverables where public deliverables will become available in PDF format will be implemented. To ensure a talent retention in the marine biotechnology area for the EMBRIC cluster, a job announcement banner will be implemented. Marine biotechnologyrelated positions in EMBRIC partner institutions, RIs and other European initiatives (ERA-NET MBT, European Marine Board, JPI Oceans, CPRM and Euromarine) will be posted. A repository for the project s findings and results will be accessible from the EMBRIC website. Access to these documents can be made public, or it can be limited to certain users. The portal will publish opportunities for public and stakeholder participation in the project s events and activities such as TA calls, workshops, conferences and other activities. 17 H2020-GRANT NO EMBRIC 3 EMBRIC videos A series of short videos will be produced during the lifetime of the project to communicate general marine biotechnology issues and specific project outcomes to various categories of audiences. These will be displayed on the project s website and other easily accessible e-media. The first EMBRIC project introduction video, displayed in the EMBRIC homepage, describes the project s mission and main objectives and structure. Figure 11. 18 H2020-GRANT NO EMBRIC 4 Conclusion This deliverable presents the EMBRIC website, the collaborative tool and the presentation video. The role of the website is to inform the general public about EMBRIC and its achievements, as well as to attract potential collaborators to the project. The success of a project such as EMBRIC depends on efficient communication and coordination, and the public site is an essential tool to achieve this goal. The site provides public information, events and deliverables. It will be promoted through the social networks and during congresses where partners present the project. The EU domain name of embric.eu has been registered for the site, which is now available for all EMBRIC partners, European Commission members, other cluster and research infrastructure project and any other interested parties.
