3 Introduction Jambo Hakuna Matata Foundation was founded in 2009 and strives to initiate and support local projects regarding housing, education and (medical) care to support underprivileged children and disabled people in Africa, and more specifically in Kenya, mainly in and around Nyeri (city). The foundation prefers to operate and communicate in a direct and effective manner with all local partners. The foundation is proud to be able to look back on active and productive years in which quite a few projects have been successfully initiated and completed. However, there is still more than enough work to do, not in the least because many of those aided by the foundation are in constant need of help and support. The foundation therefore endeavours to keep supporting and helping those actively that need and deserve the foundation's full support. Despite all the commendable personal efforts of all those working for and with the foundation, and despite all the generous sponsors who have donated over the course of the last years, the foundation still needs (financial) help to maintain and support all its projects as well as the initiation of new projects and to raise sufficient funds to help give birth to the foundation's new ideas. To enable us to keep doing our job the best we can in the years to come the foundation is actively striving to promote its name and activities, to raise funds, find new sponsors and broaden its social network. There is an increase in demands of charitable foundations such as ours : the government and regulated organizations keep imposing more rules and regulations regarding accountability, control and transparency to ensure transparent and well organised (charitable) foundations. As our foundation fully agrees with these demands and requirements, and highly values transparency and (social) accountability, we strive to operate in accordance with good governance practice : complete transparency explaining how and why we operate the way we do. With this document we outline the foundation's policy to inform everyone of the course our foundation has set out to achieve it's goals as well and efficiently as possible over the next few years, and hopefully inspire more people to join our cause and mission. 4 1. Why Jambo Hakuna Matata Foundation? 1.1 Vision Jambo Hakuna Matata Foundation firmly believes that any child on this earth deserves decent and safe housing, education and medical care. This vision is embodied, amongst others, in the United Nations Convention on the Rights of Children. The foundation has chosen to focus its help and support mainly on the Nyeri region in Kenya. 1.2 Mission By offering help directly and supporting and assisting local initiatives in Nyeri, Kenya, our foundation strives to influence and improve future prospects of children and youngsters in the Nyeri region by means of the WOZ model : Wonen (Housing), Onderwijs (Education) and Zorg (Care). 1.3 Goals The foundations' objective is to ensure that underprivileged children as well as disabled persons in Kenya are provided with a safe and stable foundation in life including housing, education and medical (care) to further their future opportunities and enable them to provide for themselves as responsible adults. 1.4 Strategy The foundation's objective is to ensure children can grow up in a safe environment; this is accomplished by supplying financial aid, goods, on site assistance and knowhow. By improving care and enabling access to education, Jambo Hakuna Matata Foundation strives to empower children and disabled persons in order to allow them to adopt and develop skills and know how to improve their self-reliance. To achieve this, our foundation not only assists and supports, but also stimulates self-reliance by providing sustainable long term solutions to engage the local community in creating their own conditions to contribute towards a better future for the next younger generation. The foundation stimulates the local community to actively participate in the execution of projects such as building and managing orphanages for which the foundation provides financial support as well as equipment, necessary goods, instructions and education. Simultaneously the foundation will supervise all projects by visiting sites on a regular basis and aiding by means of volunteers and by maintaining frequent contact with local partners who are partly responsible for the realisation of projects. 2. The current situation Since its foundation, a growing local social network helps our foundation to effectively achieve its goals and objectives. Apart from building and creating adequate housing facilities for underprivileged children, the foundation also actively supports schools and medical facilities. 4
5 The manner in which targets and objectives are met, and the extent of the results, is largely dependent on an understanding of differences and similarities in African and European culture. To understand the African cultural and social approach as opposed to the European approach is key to successfully achieving the objectives our foundation has set out to accomplish. Over the course of the years, since it's foundation, the collective 'know how' on how to best approach these matters has grown through experience and lessons learned. This has also resulted in a mutual understanding regarding how to best think and act, both by the volunteers of our foundation and the local participants or recipients. Sometimes goalposts had to be moved or adjusted due to changing circumstances or a partial neglect of the aforementioned differences. 2.1 The foundation's activities Some of the projects that our foundation has initiated or supported during the last few years have been finished or finalised or will soon be finished. - Our foundation is particularly proud of the 'Jambo Hakuna Matata Rescue Home Orphanage'. From the moment the land was acquired until the grand opening of the orphanage on December 25th 2014, our foundation has closely monitored and supervised the entire project and continues to do so. Cooperation with other involved parties, such as the OPIN Foundation, led to a successful completion of the orphanage. Today, the orphanage is home to orphans. The management and maintenance of the orphanage however demands the ongoing attention of the foundation to ensure that things keep running smoothly. - At the time of the publication of this policy plan, our foundation is building a wheelchair repair shop as well as a carpentry shop, both efficiently combined in one newly erected building. This facility will not only cater to a constant demand to adjust and repair wheelchairs and other medical appliances, but will also double as a training facility to train and educate young Kenyans. - support and assistance of the Riamukurwe Primary School (computers and internet) - support and assistance of Rescue Home Esther s Place Orphanage. - State Prison; supply of sewing machines and computers Priorities for the near future : - Maintaining and managing the the Jambo Hakuna Matata Rescue Home Orphanage - Building, equipping and managing the wheelchair repair shop and carpentry shop. 3. The future 3.1 Organization and administration of the foundation Due to recent social and legal developments regarding charitable foundations and the subsequent increase in (new) rules and legislation regarding charitable organizations and their (administrative) organization, as well as the increasing demand for even more transparency, integrity and accountability, our foundation deemed it a priority to thoroughly reassess the organization in 2016 and ensure full compliance with all new rules, regulations and required standards for good governance. 5
6 The foundation's objective is to provide all stakeholders and parties related to our foundation with any and all information necessary to keep them informed regarding the foundation's status, procedures, operations and results as well as how funds are used. In order to enable our foundation to perform and act accordingly, the foundation is committed to achieving the following goals in : - publishing an informative policy plan regarding on the foundation's website - reassessment of the foundations organization according to the latest standard of governance, rules and regulations. - to obtain the CBF-Seal of approval (CBF-Keurmerk), as issued by the Central Bureau on Fundraising (CBF) - the appointment of two independent supervisors - the draught of straight forward and comprehensive project plans and financial forecasts. - the ongoing monitoring of all new relevant rules and regulations regarding charitable foundations. - to regularly inform all parties involved with the foundation in a comprehensive way by means of (digital) newsletters, social media and by keeping the website up to date. 3.2 Future plans and activities In the near future our foundation will focus on maintaining and strengthening existing projects such as the orphanage and by raising funds to ensure a financially sound foundation in the years to come; this to warrant amongst others that projects can be maintained and that orphans can continue to count on our foundation to provide them with a safe and caring environment. Our main objective will be to generate a stable yearly income for the orphanage by means of sponsors who will commit to donating monthly or yearly and thus guarantee a steady and predictable yearly income for the orphanage. Since the opening of the orphanage, the foundation has gained valuable insights and experience regarding the funds and equipment needed to run the Jambo Rescue Home orphanage according to the foundations 'high standards. The foundation has outlined and explained the funds needed in a forecast that is published on our website. To this effect, the foundation will approach sponsors as well as entrepreneurs (small businesses) in the course of 2016/2017 in order to obtain committed sponsor as outlined. The foundation will also focus on obtaining sponsors for the wheelchair repair shop and the carpentry shop; more than finding sponsors for the orphanage who are willing to commit long term, this will require sponsors who are willing to donate larger sums of money as these funds are required to finish the building itself as well as obtaining the necessary tools and equipment. The foundation has outlined and explained the funds needed in a forecast that is published on our website. 4. Organization The Jambo Hakuna Matata Foundation was founded and formally registered on March 11th 2009 by Guus Habets en Laurent Rutten. The documentation regarding the foundation is published on our website. 6
7 The foundation's registered address is Pastoor Huynenstraat nr. 7, 6265 AE St. Geertruid, Netherlands. Anbi status As of January 1st our foundation is registered and acknowledged by the Dutch Tax Authorities as a charitable foundation (ANBI status, RSIN nr ), thus ensuring that any donations made to our foundation are tax deductable. Chamber of Commerce The Jambo Hakuna Matata Foundation is registered with the Dutch Chamber of Commerce since March 18th 2009 (registration number ). Geurten, member (Langen Akker nr. 3, 6325 Berg en Terblijt, Netherlands) No remunerations are paid using donations either for board members or volunteers. 4.2 Volunteers / remuneration and expenses No remunerations, wages or expenses are used for board members or volunteers. The foundation wishes to emphasize that all costs regarding activities are paid by board members or volunteers themselves, including travel expenses to and from Kenya. Only in very exceptional circumstances will expenses be paid using donations according to the regulatory permitted and allowed sums; up until now however, expenses have never been paid. 5. Finances and forecasts The foundations income is generated primarily by sponsors, fundraising activities and sometimes legacies stemming mainly from the board members' and volunteers' network. Starting 2017, the foundation will also focus on obtaining grants and subsidies from (governmental) organizations. The Jambo Hakuna Matata Foundation is proud to state that 100% of all donations is used directly to achieve its goals! 7
8 In the next four years, the foundation will mainly focus on two projects : - Maintaining and managing the the Jambo Hakuna Matata Rescue Home Orphanage - Building, equipping and managing the wheelchair repair shop and carpentry shop. 5.1 Jambo Rescue Home orphanage The Jambo Rescue Home orphanage provides a safe home for orphans and children from the Nyeri region in Kenya without a home, or family unable or unwilling to provide a home for them. The funds required to build the orphanage by our foundation were generated through sponsors and fundraising activities as well as donations from the OPIN Foundation. This foundation creates and organizes opportunities for students to travel abroad and expand their horizon. The OPIN Foundation generates its income from providing temporary housing and jobs for student travelling abroad. The foundations' main objective regarding the orphanage will be to generate a stable and sustained yearly income for the orphanage by means of sponsors who will commit to donating monthly or yearly and thus guarantee a steady and predictable yearly income for the orphanage. Since the opening of the orphanage in 2014, the foundation has gained valuable insights and experience regarding the funds and equipment needed to run the Jambo Rescue Home orphanage according to the foundations high standards. Taking into account all expenses, wages (housemothers and teacher) etc. the orphanage requires an income of app ,00 per month; thus, less than 2 per day buys a safe home, food, care and education for each orphan in the Jambo Rescue Home! The foundation has outlined and explained the funds needed to run the Jambo Rescue Home in a forecast that is published on our website. Our objective : by the end of 2017 we will have succeeded in securing a stable and predictable yearly income to cover all the orphanages costs and expenses 5.2 Wheelchair repair shop and carpentry shop Our foundation is currently building a combined wheelchair repair shop and carpentry shop. Many Kenyans need wheelchairs, but these need to be adjusted to its user as well as local circumstances. Our foundation collects used wheelchairs and parts in the Netherlands and ships these to Kenya. As soon as the Wheelchair repair shop is finished, locals will be trained to repair and adjust the wheelchairs, thus promoting jobs as well as traineeships. The foundation has a separate forecast for both the orphanage as well as the wheelchair repair shop. These forecasts can be accessed via our website. 8
9 5.3 Evaluation and assessment of results and objectives The foundation is committed to closely monitoring its organization and ongoing projects to be able to assess whether or not objectives are met and funds are spent efficiently and according to purpose, but also to be able to quickly intervene in case projects are not on track or need adjustment. Board members of the foundation, often accompanied by volunteers, visit projects in Kenya at least three times per year to assess and evaluate progress and execution of projects and report back to the foundation upon return. Based on their findings, the foundation may adjust the planning or execution of projects if necessary. Our foundation greatly values self-examination and tries to benefit from lessons learned to be able to optimise actions and better serve the needs of those the foundation strives to help. The foundation is also in constant touch with its local advisors and partners by means of , telephone or skype; the foundation has built a network of local volunteers that support and assist our foundation with their know how regarding education, health, and expertise of local circumstances; these volunteers constantly supply necessary and useful information. The foundation is always looking to expand and strengthen this network and seeking to cooperate with local organizations that share Jambo Hakuna Matata's vision and mission. 5.4 Impact Above all else the Jambo Hakuna Matata foundation values the protection of the basic rights of children and disabled persons. In order to enable us to monitor and evaluate the impact created by the foundation's actions and projects, starting 2017 the foundation will employ the 'Performance Prediction Scan' that has been specifically developed for the use by charitable organizations by the 'Centraal Informatiepunt Goede Doelen (CIDG)' together with the 'Erasmus Centrum voor Strategic Philantrophy' (ECPS). Measured by this scan, our foundation already performs more than sufficiently. The instrument will be employed for safeguarding and optimizing the foundations protocols and actions. 9
