Background and Job Description Cecily s Fund is a small, professional international development charity, working through 3 local Zambian partners to support orphans and vulnerable children access school as a route out of poverty. This exciting post offers an experienced Trust Fundraiser the chance to make a significant and vital contribution to the work of this dynamic and growing organisation. Work will include maintaining and building links and communication with existing Trusts and Foundations, research, development and writing of applications to new and current funders, writing reports and up-dates on programmes for the purposes of meeting grant conditions and accountability to funders. Job purpose To research and write applications to private grant making trusts and foundations with a target aligned to Cecily s Fund s annual budget and an emphasis on securing multi-year grants where possible. Reporting lines The post-holder reports to: Director Budget responsibility Budget preparation for trust and foundation fundraising proposals in addition to financial reporting to existing donors. Contribution to the Cecily s Fund annual budgeting process through accurate forecasting and planning of Trust income during the UK budgeting period. 2 To develop an effective plan to achieve the targets set for this role, developing and amending as necessary to achieve the desired outcome. To write excellent applications for support, tailoring them to meet the interests and priorities of different funders and achieving a very high standard of written English. Work with others to continuously develop the case for support for Cecily s Fund programmes, updating the propositions contained in grant applications by incorporating the latest information available. On-going research to identify new funders and the potential for additional funds from current and lapsed funders. Maintain accurate records and correspondence relating to grants received and applications made and provide regular assessments of the likely outcome from applications under consideration by funders. Develop and maintain relationships with organisations who make grants and in conjunction with the Supporter Relations Officer, maintain relationships and communication with major donors. To undertake and be responsible for report writing to grant makers on programme outcomes as well as producing accurate financial reports on expenditure relating to grants. To be responsible for ensuring that all grant conditions and reporting requirements to donors are met. Establish systems and processes in conjunction with CF s Finance Manager to ensure reporting and monitoring of expenditure takes place in accordance with Trust and donor requirements. Maintain paper and electronic files of Trusts and Foundation grant related documents and ensure processes for maintaining records are improved and up-dated as required. Provide accurate monthly and quarterly forecasts on action and projected income to the Director for the purposes of financial monitoring. Work with and provide reports to Trustees as needed, including by providing reports on request for the Trustees Board meetings and providing support to any sub-groups of the Board concerned with fundraising. Work closely with the Supporter Relations Officer to provide relevant information on key donors as and when appropriate. Liaise with American Friends of Cecily s Fund and Swiss Friends of Cecily s Fund on Trust applications that might involve their input. 3 Other fundraising-related activities Attend the annual Cecily s Fund Day with a view to meeting donors and speaking about the work of Cecily s Fund for the purposes of good donor/supporter relations. To attend and support additional fundraising events that may be occasionally be organised from time to time either in-house or by volunteers. 4 Person Specification Essential Education/ Qualifications First degree or equivalent. Experience At least three years experience in proposal writing and applications to grant making trusts and foundations supporting international projects. Proven experience in reporting to donors both on outcomes and financial monitoring of grants. Working knowledge of research methods for the purposes of sourcing funding opportunities. Proven experience of developing and implementing a fundraising plan. Knowledge and Skills Excellent written and spoken communication skills in English. Budget preparation skills including an understanding of full cost recovery in relation to grant applications. Strong prioritisation, time-management and problem-solving skills. Computer literacy (Microsoft) word processing, spreadsheet, database, and internet. Full clean driving license. 6 Appendix 1 Introduction to Cecily s Fund Cecily s Fund is a non-governmental organisation committed to improving the prospects for Zambian orphans and vulnerable children to grow up to lead a self-reliant, healthy and fulfilling life. We do this by working with trusted Zambian partner organisations to ensure that these children have access to education and gain knowledge, life skills and HIV 1 information. Our vision is of a Zambia in which every child is educated and grows up to lead a self-reliant, healthy, fulfilling life and to play an integral part in Zambia's development. Our objectives are to: 1. Ensure that disadvantaged orphaned and vulnerable children in Zambia are able to access their right to primary and secondary education. 2. Empower disadvantaged orphaned and vulnerable young people in Zambia to access employment and vocational training; 3. Empower children and young people in Zambia to protect themselves from HIV through education and awareness-raising. We work in partnership with three local Zambian non-governmental organisations to support individual children in primary and secondary government schools and a small number of school leaving children to access post-school opportunities. We also finance a successful community school and support a peer health education programme to raise awareness of the risk of HIV infection amongst young people. Since 1998 Cecily s Fund has: Helped more than 11,000 orphans and vulnerable children in Zambia to go to school; Helped 40 of these young people to train as teachers; and Trained 290 young people as peer health educators who have reached an estimated 7,500 school children each year with potentially life-saving health awareness information. Cecily s Fund was set up in 1998 by Alison and Basil Eastwood, in memory of their daughter, Cecily, who was killed in a road accident in Zambia in 1997 at the age of 19 during her gap year before she was due to Cambridge University. At the time of her death, Cecily was working with a local Zambian organisation in support of orphans and her parents decided to continue to support these and other children in Cecily s memory. Cecily s Fund s logo is based on the way Cecily used to sign her letters home. Cecily s Fund has grown rapidly over the past 17 years. 7 At present, Cecily s Fund s annual income is c. 700,000. In order to respond to the growing need for support in Zambia Cecily s Fund expects to increase its income over the next five years. Cecily s family and their friends are still very much involved in the charity but, as Cecily s Fund grows, they and the trustees are determined not only that Cecily s Fund should retain its strong personal connections with both donors and Zambian partner organisations but also that it should aim for the highest standards of professionalism and good governance. The situation in Zambia Strong copper prices fuelled a decade of economic growth of some 6% pa in Zambia but this accentuated inequality, did little for the poorest and has now come to an abrupt end with the collapse of copper prices and the closure of some of the mines. There are over1.2 million orphans in Zambia, some 10% of the population, over half of them due to HIV/AIDS. Most lack access to basic services such as education, health services and psycho-social support including the guidance and mentoring of an adult role model best provided by family and community. Only 16% of OVC receive any form of external support. The impact of HIV/AIDS is more pronounced in urban areas but nationwide, an estimated 25% young people aged years growing up as orphans have never been to school. Limited government support does not address the wider social factors crucial to meeting the complex needs of OVC. There are insufficient school places and lack of support structures & non formal learning opportunities especially for the most marginalized children. Widespread poverty, HIV and gender disparities in our target area of Kitwe underpin a host of obstacles confronting OVC, especially girls (47% don t complete basic education). Despite the government of Zambia s (GoZ) commitment to improving access to education, severe resource constraints mean that there are considerable gaps between policy and what it is able to deliver. In particular there is no official help for OVC with the hidden costs of learning. The result is high drop-out levels, illiteracy and deprivation. HIV/AIDS coupled with a high birth rate has created a nation of youngsters: 46.6% of the population is aged 14 or under. Inadequate access to education risks creating a Zambia of young people increasingly unable to improve their own lives or contribute to the nation s development.(source USAID Zambia 2012; UNICEF 2012); Zambia Demographic & Health Survey 2014; Zambia National Statistics Survey; World Bank 2015 Cecily s Fund believes in the importance of education to enable the most disadvantaged children to have better futures and improved livelihoods. Access to education gives these children self-respect and allows them to find role models, make friends, seek adult support and develop and explore their own abilities. Research also indicates that a child that completes basic primary education is three times less likely to become HIV-positive and more likely to be able to achieve economic self-sufficiency later in life.
