2 As a Supervisor Your responsibility is to: Ensure Registrars enter accurate patient information Confirm the correction of Registrar mistakes before they have a negative impact on the patient t and revenue cycle Assist Registrars in meeting and maintaining a 97% Accuracy Rate

3 What to Expect from AccuReg AccuReg provides account level detail of errors made so Registrars can quickly correct their own mistakes. It generates daily performance reports on each Registrar, allowing you to easily assess employee performance. AccuReg can also calculate Accuracy Rates over certain periods of time, making it easy to chart Registrar progress and performance.

5 Goals of AccuReg The overall goals of AccuReg are to: Improve Registrar Performance Enhance Patient Care Eliminate or Minimize Financial Loss Due To Simple Registration Errors

6 What is AccuReg AccuReg is a REGISTRATION ACCURACY tool that enables Hospital Leaders to identify, address, and correct registration errors before they have a negative impact on the patient and the revenue cycle. AccuReg is designed to assist all levels of management in improving employee performance and increasing hospital revenue.

7 What AccuReg Does It scrubs or checks each day s patient registrations for selected errors. AccuReg allows UMHC to choose specific and costly Registrar errors to monitor. It organizes the data into three levels: Detailed Reports Supervisor Reports Manager Reports

8 Three Levels of Reports 1. Detailed Reports: All Detailed Reports include the account level information needed by Registrars to make corrections in the ADT system. You send this report to your staff each day allowing them to correct their mistakes. Example: Register Smith made a mistake on Patient Jones. Detailed level reports can also list errors by location and type.

9 Three Levels of Reports 2. Supervisor Report: These reports provide information on the productivity, error rate, and accuracy rate of each registrar by location and supervisor. Example: Registrar Smith made the mistake of using punctuation ti in 11 of the 15 patients t she registered on November 12 th. Supervisor Reports not only tell you which Registrars are struggling, it specifically identifies their areas of weakness.

10 Three Levels of Reports 3. Manager Report: These reports give information on the performance of employees and supervisors by location and error types. These reports give facility wide information. Example: The Emergency Department made the same mistake in 40% of the patients they registered in July.

11 AccuReg Vocabulary DAILY AUDIT - the process that scrubs the previous day s patient registrations for UMHC selected errors. ADMIT DATE - the date a patient s account is activated. t AUDIT DATE - the date an error is reported.

12 AccuReg Vocabulary DOUBLECHECKED ERRORS errors that do not count against registrars because they are NOT a required field in the registration pathway. IGNORED ERRORS errors set to be ignored by UMHC because of internal system issues yet to be resolved.

13 AccuReg Vocabulary ACCURACY RATE the number of error free registrations divided by the total number of registrations. Example: Registrar completes 10 registrations ti and 9 are error free. Accuracy Rate = 90% ERROR RATE the number of errors divided by the total number of registrations. Example: A Registrar completes 10 registrations ti with 15 errors. Error Rate = 150% Error rate does not include Double checked or Ignored errors.

14 AccuReg Vocabulary ACCURACY RATE vs. ERROR RATE cont d Accuracy Rate measures only ERROR FREE registrations. It doesn t account for numerous errors within a single registration. If you register ten patients and have errors in only one, you have a 90% Accuracy Rate. You could have made fifty or more mistakes on the one registration, but nine are error free, therefore the Accuracy Rate is 90%. Error Rate counts MULTIPLE ERRORS within a SINGLE REGISTRATION. If you made two mistakes on each of ten registrations for a total of 20 mistakes, your Error Rate would be 200%.

15 Running the Daily Audit The Daily Audit should only be processed once per day for the entire hospital. Cheffon Carter is the AccuReg point person and will take care of the Daily Audit. You SHOULD NOT RUN the Daily Audit unless specifically instructed by a Manager.

16 Your Responsibility You Must: Send the Detailed Report By Employee to your registrars each day. This allows registrars to correct their own mistakes. Have them send you an confirming all errors have been corrected. Follow up with any registrars who do not you verifying the mistakes have been addressed.

17 Your Responsibility Use the Employee Productivity and Error Report to: View the Error and Accuracy Rates of your employees. This quick glance of Registrars daily performance allows you to spot any issues from the previous shift. It can help you monitor the daily performance of Registrars struggling to maintain an acceptable daily accuracy rate. It can also be a helpful tool on annual evaluations.

18 Your Responsibility Use the Error Trend Report to: Examine the productivity of a single employee in detail on a certain day or over a certain period of time. This can also be a good resource for evaluations because it identifies areas in which employees are having difficulty.

19 Your Responsibility Use the Supervisor Report by Location to: Identify frequently occurring errors in your location Address these areas of weakness with further training for your team Chart and report progress to your staff

20 Limitations of AccuReg AccuReg is a great program, but it is not perfect. Not all mistakes are the Registrar s fault. Encourage them to inform you if they see an error in the report. If an AccuReg error is appealed to you, report it to Cheffon Carter AccuReg Point Person. She ll investigate and if necessary, remove the error from their report.

21 Generating Reports Accessing AccuReg Reports is quick and easy. Once you ve logged into AccuReg, you ll see the Main Menu. Click REPORTS, and select FACILITY. Choose the Report you want, and select PREVIEW. All reports can be ed or printed (See attachment and Print options on toolbar at top of screen).

22 Making Multiple Selections At times, you may want to choose multiple facilities, error types, locations, or employees for a specific report. To do so, HOLD DOWN the CTRL key as you LEFT CLICK on multiple selections.
