1 CACCN MINUTES Chapter Connection Day October 16, 2004 Fairmont Banff Springs Hotel, Banff, Alberta (Mountain Time) 1.0 Breakfast 2.0 Introductions Patricia Hynes welcomed the group to Banff Went around the room with introductions Patricia requested a volunteer to write a summary page for Dynamics about Chapters Connection Day Abbie Hain of Ottawa Chapter volunteered 3.0 Warm-Up Joy Mintenko presented the warm-up with an exercise entitled Piggy Icebreaker The group found out what their piggy personality was through individual drawings of a pig Also, a Treasure Hunt was introduced where the goal was to mingle and get to know each other through common interests Followed up with a round the room explanation of the most interesting introduction 4.0 Approval of Minutes of Chapter Connections Day 2003 & Overview of the Past Year Motion: to accept Minutes of Chapter Connections Day 2003 Moved: Janet Taylor Seconded: Tracy Porcina In favour: All; Opposed: None; Motion carried Motion: to approve agenda for Chapter Connections Day 2004 Moved: Linda Nusdorfer Seconded: Trish Brae In favour: All; Opposed: None; Motion carried

2 Secretary s Report Sue Williams Website - next year a fresh new look - adding links (conferences, education, chapters) - addresses of the Board to be added Adult Certification due to privacy laws CNA is unable to give out names that have written the exam so a notice has been printed in the journal and put on the website to notify members to contact the National Office if they do want there name to be included in the Dynamics Journal for recognition of completion Recruitment and Retention Joy Mintenko Membership as of March 31, decrease of 70 members in the last year Communication Boards Tracy Porcina of Greater Edmonton Chapter requests a board Also, Helga Borchet requesting a list of locations of the communication boards Nurse s Week 10 things learned as a critical care nurse a lot of response from across Canada but the winner was Morna Helprin. Due to the great response there were also10/11 honourable mentions Attempting to approach Corporate Sponsors for gifts to members i.e. molly maid, coffee, gym memberships, etc. New membership cards and forms are now available with new logo and layout Proposal to laminate cards but was turned down due to signature Suggestions given by the group for increasing membership: - Kathy Yeoman of Montreal Chapter said that they hold educational days that cost $75.00 but if join as a member than the day is free - Sandra Matheson suggested creating a link on the website to allow for chapter presidents to write so that people across Canada can see what s happening - Each Chapter President types up a report that then is sent to all Presidents across Canada monthly or quarterly electronically - Being disconnected between members and information was a solid concern - Database in the past was a concern because members were aware that information was wrong - Sandra Matheson wondered if the influx of membership was due to location of Dynamics conference - Patricia Hynes concern is that the membership is not growing but the costs are increasing

3 Treasurer Glenda Roy Year ended on March 31, 2004 ASSETS Operating Account $ Interest $ Due from Dynamics $ Prepaid Expenses $ Total $ There has been problems with Chapter cheques not being cashed in on time response from Chapter Presidents was that there are delays in passing the mail on to one another (maybe electronic deposit can solve this problem) Cost of Database approximately $ Cost of Standards will be reflected in next years report Reseach and Publications Asha Periera Wendy Fallis and committee is working on a mission statement Research Grant given to Paula Price of $1000 Dynamics is the only peer reviewed journal with 1300 subscribers EBSCO has made some articles available on line Bonnie Davis is retiring after 18 years of being on the Editorial Board Standards 3 rd edition are completed and are present A thank you went out to Pappin Publishing Company for their ongoing support and for their work with the standards and new logo Also, thanks to authors who submitted to journal Question brought up about members of the editorial board should peer-review mean that these members should be working directly in the critical care nursing field and a member of CACCN It s required that Chapter Executive to be members and working in Critical Care Where should the line exist? accept members who are in related fields Abbie Hain asked if people can purchase copies of the standards at national office answer is yes at $25.00 per copy Also mentioned by Abbie about CEU credits - is there an approval process? Sandra Matheson Answered that CNA has a voluntary individual audit but there is no formalized process

4 Also, Sandra wondered if standards had been forwarded to CNA and what changes have been made in this issue from previous issues Answer was yes it s been forwarded and new topics have been included for example ventilation for infection control Awards Grace MacConnell Innovative project goes to Kate Mahan Research Grant goes to Paula Price Smiths Education Award went to Brenda Morgan No Chapter of the Year Award so funds went to Chapter Connections Day Changes of sponsorship that occurred this year are: - Johnson and Johnson withdrew and Spacelabs replaced with a 5 year contract - 3M Health Care agreed to give runner-up prize for the editorial award and we are still looking for a 1 st prize sponsor - Spacelabs contributed to Editorial awards 1 st prize this year Revisions to the Chapter of the Year Award because the application process seems too long Certification (Pediatrics) Grace MacConnell 46 certified in the last year Same problems for recognition as in the Adult certification Database Tracy Porchak gave a demo of the new database 5.0 Chapter Reports Tracy Porcina (Greater Edmonton Chapter) Consistent membership Recruitment has been difficult Confusion among members between CNA and CACCN people think they can t join for 2 years (a poster should be sent to communication boards regarding requirements to be a CACCN member) The Vice President is Charlotte Pooler Elsie Boomer putting up a new communication board at the Sturgeon Hospital to recruit some new members Revamped bursary guidelines and offer more money 2 full education days each year Last spring 60 people attended Because of the success of education days etc have been able to send 2 people to Dynamics 2004 with free tuition

5 Trish Brae (Calgary Chapter) Consistent membership The challenge lies in keeping members after the draw of the Dynamics conference Local education days difference in fees $5.00 for members and $10.00 for non members Local Critical Care Nurses to speak at education days Education day ever other year the next one is April 2005 one speaker will be Kathleen Partello talking about Pain and end of life Darren Entner (Saskatchewan Chapter) Decline in membership Have been trying to call people who aren t renewing to find out why and actively trying to encourage new members Fundraiser Annual Fashion show 2 education days per year - next one based in Regina and Saskatoon on Nov 18/19 local speakers assigned to each In Regina 50% new staff so a goal is to encourage CACCN membership to these individuals Helga Borchert (Manitoba Chapter) Annual Age of Excellence Conference in May the focus is on raising money for education funding Healthy profit from 2004 AGM breakfast to get people to attend the meeting with people (breakfast free for members) Submit an article to chapter newsletter Is a prerequisite to apply for education funding At annual conference 2 free tuitions are given away ( one to member and one to a non-member) Kathy Yeoman (Montreal Chapter) First year of back as acting chapter after a few years of being dormant Education and increasing membership are their two main goals 2 education days 2 5 new members each time Introduced a Newsletter in spring and fall via to keep in touch with the membership Organizing a CNA exam study session (2 in January and 2 in February and 2 in March)

6 Janet Taylor (London Regional Chapter) 2 education days per year This year they held the education day in a hotel which was a little more expensive then expected Gave funding to 2 nurses writing the CNA exam (one to recertify and one to certify) Give funding to ADOF and DCOF Innovative ideas for fundraising using concert tickets, poinsettias, chocolates Another innovative idea was having Grade 11 students tour the critical care unit (focus on drinking and driving) Challenge keeping membership up and with the conference next year being in Ottawa will boost recruitment Changed by-law to make president 2 year term Abbie Hain (Ottawa Chapter) Struggled through last year due to huge change over of the chapter executive Retained a large portion of membership Fall education day and one third of membership turned up At the education day we had excellent speakers and encouraged recruitment at the event which made the day successful Paula Mahon (BC Lower Mainland Chapter) Attended Professional Education Days and presented CACCN CNA exam is still being resisted Education Days have not being successful with people Collaborated with CCCN a drug company for dinner with a motivational speaker and no charge for members. Presence raised CACCN profile and did recruit some associate members because their were about 200 people present Changed a couple of the by-laws begin to pay for a portion of education for CACCN members to fund 50% of executive or anyone that is speaking at Dynamics conference New Treasurer is Deb Scott Linda Nusdorfer (Toronto Chapter) Website and newsletter is active and up to date Annual conference Evolution with 350 attendees which was down from usual 500 Actively trying to recruit new members in Hospitals Attempting to put on monthly education sessions

7 Niagara and Hamilton area is too large for the Toronto area to encompass (Karen Antoni is attempting to open a new Hamilton chapter) SARS has impacted CACCN membership Attempted to have an appreciation social meeting for long term members but low attendance An idea put forth was using member sponsorship where any member who recruits five new members will earn a discount on their membership Sandra Mattheson (Nova Scotia Chapter) Looking at developing a website to meet all members outside of Nova Scotia to reach Newfoundland, PEI, and New Brunswick Having education days in other provinces in the east Some Added Discussion Is Tele-link being used in BC to reach remote areas? (Linda Nusdorfer) Tele-link is not widely used in BC although it would be a more efficient way to conduct conferences and education meetings to reach more remote areas (Paula Mahon). The board has requested 2/3 chapters to create a write-up for each Dynamics journal in order to reach the entire membership concerning individual chapter activities. It should summarize the executive, challenges, successes, and major events the chapter is experiencing. A picture may also be included. The Alberta chapter are doing the write-up for the winter journal because Dynamics 2004 was in Banff Is CACCN linking with other national nursing organizations and are they having the same kind of challenges? (Abbie Hain) Yes, they are having very similar problems to CACCN low attendance to functions, balancing operating budgets, and membership numbers (Patricia Hynes) 6.0 Baxter Guardian Scholarship John Laguno present form Baxter to introduce the award with Grace MacConnell Working to establish scholarship for CACCN members the criteria is still in the beginning stages $5000 guardian scholarship will be granted to a group or individual who has enhanced patient care

8 Would like this scholarship to reach all members from Staff nurses to managers in order to recognize ideas NOT research The scholarship is to tie in the theme with Dynamics 2005 on Capitalizing on Technology with the Human Touch 7.0 The Colour of Work (Kim E. Ayrton) Kim presented a workshop focusing on values which direct our decisions Through acknowledging values it will become easier to become a better communicator and problem solver Also, with understanding others values it will be easier to motivate people toward better goals 8.0 Open Discussion 9.0 Dynamics 2004 (Cindy MacVicar) 10.0 Adverse Events Institute for Safe Medication Practices Canada David U and Christine Koczmara presented information on how their organization affects nurses Their focus is on medication errors and the adverse events from these errors. Through researching these incidents they develop recommendations so that the error does not occur again Wrap up and Evaluations Thanked everyone for attending and had everyone fill out an evaluation form
