4 1. Chapter Details This section outlines the Annual General Meeting and end of year celebration (celebragm) details and illustrates the organisational structure of the Victoria Region Chapter. The position descriptions for each of the positions on the Victoria Region Team can be found in sections 3, 4 and 5. What is the celebragm 2012? The Second celebragm of the Victoria Region Chapter Team will be held at 6.00pm on Friday 11 November 2011, at the Edinburgh Gardens Community Room, off Brunswick Street, Fitzroy. The celebragm will run as follows: 6.00pm 6.30pm 6.50pm 7.00pm 7.15pm 7.30pm 8.15pm onwards Presentation of Annual Review, President's Summary and Financial Summaries for 2010/11 Announcement of 2012 Victoria Region Chapter Team Questions raised by Members Presentation of EWB Awards Installation of 2012 Victoria Region Team Keynote Speaker: Embark Foundation and Hepburn Wind, Mary Dougherty Music and bands to entertain us until 11.30pm Food provided by EWB Victoria Drinks at bar prices and beer supplied by Good Brewery Company Anyone is welcome to attend the celebragm and it is a free event for all attendees (members and non-members), with drinks at bar prices. 5 Knowledge Champion; School Outreach Coordinator; Engagement Champion; Fundraising Champion; Victorian Aboriginal and Torres Strait Islander Engagement Champion; Corporate Partner Liaison (open to one or two people); and Provision on the Team will also be made for the following appointed position for 2012 only: Year of Regional Engineering Liaison (YoRE). What are the Main Expectations of Team Members? Our main expectation is that you have an open mind and have fun! This will be a great year of learning and meeting a whole range of great people and community organisations. It is expected that all team members will make a commitment to the Team for one year. We are proposing three Key Dates that you should make an effort to attend; primarily because these will make it easier for you in your role over the coming year. These include: Team Induction, early December (date TBA) Victoria Region Planning Retreat, proposed one Saturday in mid-december (date TBA), and EWB Development Philosophy Forum, mid to late January (date TBA). Check out the Snapshots of our current team members here ( to gain a better understanding of what we are on about. How to Nominate for Positions on our Team? Only bona fide members of EWB shall be entitled to cast a vote or nominate for committee positions. This is mainly due to insurance purposes. However once you join our team you will need access to our website and all of our events and initiatives. Only our members can access these things. Plus you will be joining an inspiring organization and motivating group of people. All people intending to nominate for positions on the Victoria EWB Region Team should do so in writing to Honor Clark, Secretary of EWB Victoria Region Team, at vic.chapter@ewb.org.au before COB Wednesday 9 November. The shall include their contact details and a small paragraph about why they intend to nominate for a position and how they believe they can contribute and collaborate with the EWB community.

6 3. Position Descriptions Executive Team The Executive Team is responsible for the overall strategy and direction of EWB events, initiatives and partnerships across the organisation in Victoria. Chapter President The President of the Victoria Region Chapter Committee has overall responsibility for the Chapter s activities. This coordination is achieved through team meetings, planning retreats, and other applicable groups affiliated with EWB, and the AGM. The President shall lead the Chapter in developing and implementing an annual plan and budget in consultation with Team members and the EWB National Office. President? President do? President work The President will be a leader with strong experience and knowledge of EWB and also have an understanding and alignment with EWB s 2015 Strategic Aims and Objectives. They must have excellent interpersonal, communication and organisational skills, and be willing to approach people, be approached by people and represent EWB in media, the engineering industry and the broader public. The President s role includes at least the following activities: Sets direction for the Chapter s activities with the Team Assess progress against the Chapter Annual Road Map and Budget Chair monthly Team meetings Represent the Chapter across the wider Victorian community and media Provide leadership, inspiration and support Lead in the recruitment of people onto the Chapter Team, and Coordinate and organise the Chapter Planning Retreat and Team Induction. This is flexible however generally the President will work with the following: All the Chapter Team members Mentor and Advisory Group (MAG Team) when established early 2012 Other EWB chapters, including interstate chapters and local universities EWB National Office, and EWB Board of Directors. 7 Vice-President (Partnerships) The Vice-President (Partnerships) supports of the President in Chapter activities and leadership related to the Partnerships Team. This team includes the Year of the Regional Engineer Liaison, Victorian Aboriginal and Torres Strait Islander Engagement Champion and Local Partnerships Champion. This coordination is achieved through attendance at Team meetings, planning sessions, social gatherings and team building initiatives, and general communication with the Team. VP (Partnerships)? VP (Partnerships) do? VP (Partnerships) work The Vice-President (Partnerships) also has strong knowledge of EWB and a focus on our 2015 Strategic Aims and Objectives. They will be confident in approaching people or being approached about EWB, promote EWB to other organisations, have excellent communication and interpersonal skills and good organisational skills. The Vice-President (Partnerships) works with the president to: Assist the President in managing the Chapter Provide leadership, inspiration and support to the Partnership Team: - Year of Regional Engineering Liaison - Local Partnerships Champion - Victorian Aboriginal and Torres Strait Island Coordinator Attend monthly Chapter committee meetings, chairing meetings in the President s absence Assist the Treasurer with the preparation of the Budget Drive EWB actions through maintenance and development of appropriate partnerships with community and other groups, and Coordinate and organise the Chapter Planning Retreat and Team Inductions. 8 Vice-President (Innovation) The Vice-President (Innovation) supports the President in Chapter activities and drives a focus on innovation and engagement activities through the EWB Knowledge Hubs, fundraising and member engagement events. This coordination is achieved through attendance at Team meetings, planning sessions, social gatherings and team building initiatives, and general communication with the Team. VP (Innovation)? 9 Treasurer The Chapter Treasurer is responsible for recording all income and expenditure of the Chapter and preparation of the Annual Budget. The Treasurer shall coordinate all financial aspects of the Chapter s initiatives and activities and work closely with EWB Australia s Chief Financial Officer. Treasurer? Treasurer do? Treasurer work The Chapter Treasurer must have some knowledge of and experience with working with budgets and financial transactions in this capacity. It is important that they are able to communicate effectively, and on a regular basis, with the Victoria Region Chapter Executive team. Ideally, they should also have excellent organisational skills and alignment with EWB s 2015 Strategic Aims and Objectives. Implement consistent financial procedures developed in collaboration with EWB Australia National Office and coordinate financial procedures with other Victorian chapters and groups Prepare an Annual Budget for the Victoria Region incorporating all university chapters and submit to the National Office in May 2012 Record all income and expenditure in the current Financial Report Facilitate all funds request forms and confirm all expenditure against the current Budget Propose new requests of EWB initiatives at the next relevant Chapter committee meeting, or to the Chapter Executive in the interim, for consideration and approval Coordinate all invoices, deposit notifications and reimbursement requests and submit this documentation to the EWB Australia Chief Financial Officer, and Attend monthly committee meetings. 10 Secretary The Secretary is the internal communications guru. This means that this person will be the main point of contact between the Victoria Region Chapter for university chapters, external queries and team members. This role is great for those people wanting to be exposed to the inner workings of a not-forprofit organisation and make long-term and significant decisions for EWB across Victoria. Secretary? Secretary do? Secretary work The Secretary must have excellent communication and interpersonal skills and be able to engage people and track actions. They should have excellent organisational skills and an understanding of EWB s 2015 Strategic Aims and Objectives. Prepare and distribute agenda for Chapter Team meetings (monthly) Record minutes and actions from meetings and develop a live Action Register Finalise minutes of meetings and circulate them, along with the updated action register Assist the Media and Communications Coordinator in putting material together for the Monthly Blogspot, and more regular Twitter and Facebook feeds Maintain an up to date contact list of committee members and active volunteers via the Team webpage Check the Chapter address regularly and distribute communications to the relevant people Develop key contacts for advertising such as in corporate organisations and the media, and Regularly update the Chapter website with new content. 11 Partnerships Team The following four roles will work closely together with the Vice-President (Partnerships) and leverage off each other to deliver these ideas and initiatives. Year of Regional Engineer Liaison The Year of Regional Engineer Liaison works closely with Engineers Australia and other organisations to define EWB Victoria s contributions to this thematic theme for engineering in 2012; being Engineers Australia s Year of Regional Engineering. Year of Regional Engineer Liaison? Year of Regional Engineer Liaison do? Year of Regional Engineer Liaison work The Year of Regional Engineer Liaison is someone committed to development of the relationship between EWB and EA in Victoria. They will be confident in working with various groups across Engineers Australia and coordinating events between the two organisations. Works with staff and volunteers at both Engineers Australia and EWB Australia to facilitate knowledge sharing, events and workshops between the two organisations Acts as a focal point for all Chapter involvement with Engineers Australia Advises the Victorian Chapter Team on interactions with Engineers Australia, including the Board of Engineering meetings and Young Engineers Australia Victoria Division Reports to monthly team meetings on Engineers Australia activities and upcoming events, and Identifies opportunities for collaboration and Chapter involvement with Engineers Australia and distributes those opportunities to relevant team members. Engineers Australia Victoria Division Committee Engineers Australia Victoria Division Board of Engineering Young Engineers Australia Victoria Centre for Engineering Leadership and Management, and Vice President Partnerships and Victoria Region Team On average, 1 to 2 hours per week current Liaison? 12 Local Partnerships Champion The Local Partnerships Champion supports the local partnerships that the Chapter is engaged with. This role oversees these partnerships to achieve EWB s Strategic Aim of facilitating meaningful and lasting change. The Local Partnerships Champion will lead and chair the Victorian Local Partnerships Focus Group. Local Partnerships Local Partnerships Champion do? Local Partnerships Champion work The Local Partnerships Champion is committed to and focused on developing and maintaining relationships both within and outside of EWB. They will have excellent communication and interpersonal skills and align their practices and values with EWB s 2015 Strategic Aims and Objectives. They will understand EWB s partnership model and how this has worked in the past with previous projects. They will also have solid organisational skills, be able to delegate and confident in working with community, corporate and other EWB partners. 13 Aboriginal and Torres Strait Islander Program Champion (Victoria) The Victorian Aboriginal and Torres Strait Islander (ATSI) Program Champion leads the ATSI Focus Group in Victoria and implements EWB s ATSI Program Strategy across the Chapter. The ATSI Focus Group encourages cultural awareness and engagement across the region and implements the Chapter responsibilities of EWB s Reconciliation Action Plan (RAP). ATSI Program The ATSI Program Champion has a thorough understanding of EWB s 2015 Strategic Aims and Objectives, the strategy of the ATSI Program and the EWB RAP. They are confident in approaching organisations, individuals and indigenous organisations and have an understanding of cultural engagement with those organisations. They will have a broad understanding of Aboriginal and Torres Strait Islander communities and a passion for working with those communities to share their knowledge with EWB members and the broader engineering sector. 14 Innovation Team The following four roles will work closely together with the Vice-President (Innovation) and leverage off each other to deliver these ideas and initiatives. Knowledge Champion The Knowledge Champion coordinates and facilitates inspiring, educational initiatives across Victoria. They will support the four major Knowledge Hubs in Victoria (WASH, Energy, ICT and Structures). This role encompasses facilitating progressive educational programs for primary and secondary school students, university students, professionals and the general public. This person will work with, and be supported, by the Victorian Knowledge Focus Group. Some events that may be facilitated include Knowledge Hub events, Pathways to Development, and EWB Conversations Series. Knowledge Knowledge Champion do? Knowledge Champion work current Knowledge The Knowledge Champion is an individual who has a passion for sharing knowledge and engaging individuals with through events and other initiatives. They will be capable of leading a diverse team of EWBers and liaising with others across the Victoria Region and nationally Facilitates and presents to EWB members on key knowledge and education issues Assists the Knowledge Hubs gain access to Chapter resources and the resources of our Corporate and Community Partners Drives new education and awareness raising activities and initiatives Maximises the awareness and knowledge that the university chapters can obtain from participating in the EWB Challenge Coordinates the Chapter s education and awareness events Manages resources to run events and updates the calendar of events, and Co-ordinate advertising and educational material and appropriate technology displays for events such as university O-Days, music festivals, EWB Challenge and other relevant events. 15 Fundraising Champion The Fundraising Champion will manage the key fundraising events for the Chapter and develop fundraising strategy for The Fundraising Champion will work with EWB s Fundraising, Marketing and Communications Coordinator and shall be supported by a team of volunteers. Presently, the primary fundraising events for the EWB Victoria region are corporate ball raffles and the EWB Gala Trivia night, Movie and Speaker Nights. Fundraising Fundraising Champion do? Fundraising Champion work current Fundraising The Fundraising Champion is someone who is capable of motivating and leading a team to create and coordinate fundraising activities across the region. They will be confident in approaching corporate partners, universities, event organisers and other groups and be able to pitch fundraising ideas to them to maximise the benefit for both parties. The will be someone who focuses on the fun part of fundraising. They will be injected with some more EWB mojo. Coordinates the Region Chapter's fundraising initiatives Generates new activities and initiatives through with Universities, Corporate Partners and the EWB National Office Ensures Chapter support for the fundraising initiatives of the various affiliated Chapters, Corporate partners and other communities Facilitates Corporate Ball raffles and other fundraising initiatives (such as Trivia Nights, imminent speakers and movie nights) throughout the year with an emphasis on awareness and engagement of EWB initiatives and activities Recruits and manages the Fundraising Team and volunteers to assist in fundraisers, and Ensures money is deposited appropriately into the relevant EWB account by working closely with the Victoria Region Treasurer. 16 Engagement Champion The Engagement Champion will be responsible for engaging all new and perspective members into our organisation. The Engagement Champion will generally be there as one of the first points of call for many perspective members. It is envisaged that this will be achieved through both formal and informal inductions, Member Forums, Speed Dating / Networking Nights, Stepping Stone events and other events and initiatives. Engagement Engagement Champion do? Engagement Champion work The Engagement Champion is highly organised and able to communicate effectively both inside and outside EWB Victoria. They will have a thorough understanding of EWB s 2015 Strategic Aims and Objectives (once we train you up) and EWB Australia s Development Philosophy and be willing to engage with new and perspective EWB members with this in mind. This is an exciting new position for a person who enjoys motivating and inspiring people to engage and volunteer in the humanitarian engineering sector. Coordinates Chapter events such as formal and informal inductions, Member Forums, Speed Dating / Networking Nights, Stepping Stone events in conjunction with other Team members Will manage all Induction material for new members Identifies initiatives to maximise high value member engagement across the Chapter Identifies other opportunities with Community, University and Corporate Partners for member and partnership events Works closely with Knowledge Hubs, focus groups, support teams and interest groups to facilitate education, awareness and engagement events across the region, and Works with Fundraising and Knowledge Champions on the running of events including logistics, volunteers, presenters, promotion. 17 School Outreach Coordinator This is one of our most rewarding roles on the Victoria Region Team and the benefits are very tangible. The School Outreach Coordinator works closely with the Knowledge Champion to coordinate EWB Victoria s High School Outreach program. It aims to introduce humanitarian engineering concepts into Victorian schools, via day long workshops and using real EWB examples from our Community Partnerships in Australia and the Asia Pacific region. During the Year of Regional Engineering in 2012, this role will involve some trips to rural areas (all costs to be covered by EWB Victoria). This program has developed some great momentum in 2011, due to the partnership on this initiative with Engineers Australia and Akorn Educational Services. School Outreach Coordinator? School Outreach Coordinator do? School Outreach Coordinator work The School Outreach Coordinator is passionate about education and the role that engineers have in the sector. EWB has a growing reputation in the sector for being leaders in humanitarian engineering. As a result, the Coordinator should have excellent personal communication skills and enthusiasm for public speaking. They will be willing to approach schools and other educational organisations to facilitate the School Outreach Program. Works with university chapters, corporate partners and partner organisations to facilitate school outreach events in Victoria Develops a roster of school outreach events and works with the above groups to distribute capacity to those events Reviews and develops program modules to sit alongside existing school outreach curriculum Works with the Education and Curriculum Knowledge Hub to share knowledge around school outreach activities, and Collaborates with Engineers Australia, Young Engineers Victoria and Akorn Educational Services to deliver these programs. 18 Support Team The following roles support the Victoria Region Team across these key areas. Corporate Partner Galvaniser The Corporate Partner Galvaniser(s) will be the main advocate(s) for the various official EWB corporate partners on the Victoria Region Chapter Team. This role is open to either one or two people. Corporate Partner Galvaniser work The Corporate Partner Galvaniser is a partnerships manager with an emphasis on communication, organisation and relationships across EWB Victoria and our corporate partners. They will liaise closely with our range corporate partner interest groups and EWB National Office to facilitate Corporate Partner involvement in Chapter activities. 19 Media and Communications Coordinator The Media and Communications Coordinator will manage the majority of EWB Victoria s external communications. This is a unique opportunity for a person in a non-engineering field ( non-gineer ) to obtain some multi-disciplinary experience and learn about collaborating with a team of people, drawn from both engineering corporations and universities. Media and Communications Coordinator? Media and Communications Coordinator do? Media and Communications Coordinator work This role is suited for someone with a passion for marketing, advertising, media and communications and/or graphic design. Therefore, this is a great opportunity for someone to join EWB from a non-engineering related field. The person will be innovative and savvy in approaching different media outlets and promoting EWB across Victoria.
