1 Welcome! Thank you everyone for joining today s IITG follow-up Q&A webinar on the SUNY InnovaGve InstrucGon Technology Grant Program. I m Lisa Stephens, That s my photo please pull me aside at CIT at Potsdam if you you re going to be there- I always love punng names and faces of IITG applicants and awardees together! I m also joined today with Peg Palmeire and Sandy Corwin - we ll review some of the business pracgce elements and chat a bit about how to make your IITG proposal compeggve. 1

2 Today s webinar builds on the presentagon from January 22nd where we did a deeper dive into the program background and explanagon of the RFP. The slides with notes and webinar are archived on the IITG website, but this slide stack is smaller so we can quickly get to the Q&A. As of last night, the IITG Grant ApplicaGon Portal had (6) Tier One, (12) Tier Two s, and (11) Tier Three proposals under development. This is great news it means people are making good use of the online, hosted system and not waigng ungl the last minute to upload and refine materials. Finally, and most importantly, we ll share some lessons learned from the current IITG mid-project reports. 2

3 As you ll recall, the funcgon of IITG s are to support all aspects of Open SUNY tools to support online educagon, open access tools, or new methods to evaluate and support teaching and learning methods that make good use of technology in service of pedagogy. Everything you need should be on the applicagon website, including all current materials 3

4 All full Gme SUNY faculty/staff are eligible to apply for an IITG. Adjunct faculty can pargcipate, as long they are partnered with a full Gme staff member and have leaers of support from their home department to ensure project complegon. MulGple proposals from a campus or individuals are welcome but I ll pass along a word of caugon from previous that the effort can be more Gme consuming than angcipated A quick word about FACT2 Reps. There are formal lines of communicagon between SUNY and campus administragon, but it s a bigger challenge for the Office of the SUNY Provost to receive communicagon about grassroots concerns from faculty and staff, and that s where the Faculty Advisory Council on Teaching and Technology plays an important role.. If you don t know who your campus rep is, you re encouraged to check out the new website. There is no requirement for a campus rep to sign off or review a proposal that s being submiaed. But it s a courtesy that may be helpful to you because Campus Reps are oeen aware of SUNY-wide resources that may benefit your proposal. 4

6 Open SUNY Access, CompleGon and Success has been expanded to include Inquiry and Engagement within the SUNY Excels framework. 6

7 Most of the communicagon around IITG points directly to this website. The Project outcomes and Projects Underway secgons display all of the funded abstracts from the first two rounds, and all of the 2012 round one outcomes should now posted. We recently updated the website to reflect a new experimental taxonomy/tagging system called the CAIT Matrix which stands for the CollecGve for Academic InnovaGon and TransformaGon led by SUNY, Penn State, U Maryland System, Shippensburg and U Mass. The goal is to make your outcomes more discoverable both inside and outside SUNY and increase opportuniges for cross campus collaboragon. 7

8 This is not an exhaustive list of themes, but we tried to capture projects from NMC, ELI and past IITG s. 8

9 Each proposal is reviewed by three peer reviewers before being ranked for secondary review by the Research and Innovation Steering Committee and SUNY Provost Staff. Reviewers see all the application information, your identity is not stripped from the proposal however, the reviewers are blind to each other. Reviewers are randomly assigned to proposals (outside their institution) and we ask reviewers to identify any potential areas for conflicts of interest so we can swap out reviews. As I mentioned a moment ago, you and your colleagues are welcome to serve as an IITG reviewer. Just click on the Become a Reviewer button on the IITG site. The goal is to increase the pool of reviewers so we can begin matching thematic interests with reviewer expertise in order to increase the level and quality of detailed feedback. The Provost relies heavily on the peer and secondary reviews, and makes the final call on proposal funding in light of SUNY wide strategic alignment. 9

10 You can go back and look at this on the website, but here some quick screenshots of the evaluagon rubric: It begins with Likert scales that closely track all the informagon requested from the RFP 10

11 Followed by two qualitagve secgons where comments are added that along with the scores are shared back with the proposal author. One quesgon asks for comments on the narragve (including budget informagon), the second asks about the project assessment. A quick word of advice here reviewers have a keen eye for project feasibility they look for evidence that you can execute the project within the described Gmeline. It s important to describe how your going to execute your project plan and assess it in a manner that doesn t over reach the project Gmeframe or projected outcomes. 11

12 You may want to consider sinng out a year before applying for another round of funds if it leads to a stronger future proposal and enables a clear delineagon between the project start, and what will be gained by project congnuagon. You ll also need to indicate to reviewers how your project will move forward in the future once absent IITG funds which have been constrained to a single renewal. IITG s are clearly contribugng to support for Open SUNY and other important SUNY wide outcomes, so we re opgmisgc that this program will be available the foreseeable future This is considered a seed grant program, but we re already seeing how strong project outcomes foster future funding opportuniges from mulgple agencies external to SUNY. So keep an eye toward that objecgve when seeking project renewal funds. 12

13 If you re seeking a renewal, the bar is a liale higher pargcularly if you re project has not yet posted outcomes from last round. 13

14 So, what s involved in being a reviewer so glad you asked. (walk through points) We ll be sending out a reminder of the IITG deadline and a final call for reviewers later this week or early next week on the normal SUNY listservs, including the FACT campus reps listserv. So hopefully you re receiving that information at your campus. 14

15 A Gmeline reminder system is set to close at midnight on Tuesday March 1 st at Midnight. Please don t wait ungl the last minute to upload your files please leave Gme for any unexpected glitches. You may want to include the summer months in your project and Gmeline planning so if you receive an award, you can use that Gme to prepare project communicagon, and address any IRB needs BEFORE the semester starts and the U- Wide funds are disbursed. 15

19 Here s the boaom half of the form that includes the OTPS expenses The boaom line in green describes the total funding request. This is the number you re going to transfer back to the top of the applicagon form. The yellow boaom line is the amount of the campus match that s required depending on the Ger. A Tier 2 project that funds up to 20,000 must include a campus match of up to 25% But that s 25% of the total request so if your project requires 15,000, you ll be matching 25% of that request or a minimum of $3,750 in in-kind campus support. You can include conference presentagons in your budget. This includes CIT presentagons, but please keep in mind that SUNY works hard to keep those expenses to a minimum. The only major change is this year the Ger 3 applicagons require half the requested funds be met through an in-kind match. 19

20 Why don t we have a lot of guidance in the FAQ s about in-kind? Because it gets sgcky in terms of professional obligagon and the different expectagons for faculty vs. staff service and roles. We are intengonally vague in order to maximize the opportunity for all SUNY faculty and staff to bring good ideas to life. 20

21 To reiterate These are state taxpayer dollars you must follow state procurement and all campus based purchasing rules. If you have expenditures this summer, you ll have to work with your local campus to cover those expenses ungl funds are released. Might want to get to know who your campus business officer to seek their help NOW as a part of the planning process. If you re working with someone on who is on the RF payroll, you ll need to follow campus procedures usually an invoice must be presented in order to move funds from a state account to an RF account As a reminder procurement policies vary from campus to campus - follow your local policies! 21

(walk through points, followed by second communicagon slide) As we have student interns, and next term, paid student assistants to working on this project, we have encountered the inevitable challenge of making sure the team stays on task and is able to work in a self-directed way. We have found that weekly hourlong meegngs with our Web ProducGon Manager and online to do lists sent via google docs have been helpful in keeping the team on track. 25
