1 FUNDING CATEGORIES Conservation, Preservation and Presentation - Project funds in this category are limited to $100,000. The Antiquities Endowment Fund will support the conservation and preservation of Egyptian sites, structures or objects dating from prehistory to 100 years ago. Projects in this category might include protecting partial or entire sites, conserving specific elements at a site, or site management activities; preservation, conservation and presentation of artifacts, works of art, monuments or parts of monuments, ancient manuscripts, books or other related material; photographic, digital or other documentation or cataloguing of sites, structures, or objects. All conservation and preservation grants must take place in Egypt or the U.S. Preference will be given to Egypt-based projects. Funds are not intended for the purchase of equipment, but may be used to purchase consumable supplies and for equipment rental. Funds can support the participation of conservation specialists in ARCE-sponsored field projects; the Principal Investigator must identify the conservator and provide sufficient documentation supporting his/her field experience. For ARCE-sponsored projects the Principal Investigator must obtain permission from the ARCE Director prior to approval from the AEF Committee. Training of Egyptian Personnel - Project funds in this category are limited to $50,000. The conservation and preservation of Egypt's cultural heritage relies upon properly trained personnel. Funding in this category can be used for field schools, museum management, site management, on-the-job conservation training, etc. All training must take place in Egypt and be authorized by the appropriate Egyptian and/or other authorities. Student Training - Project funds in this category are limited to $25,000. The Antiquities Endowment Fund seeks to increase the number of students in the U.S. who are knowledgeable about Egypt and sensitive to its cultural heritage. Approved ARCE expeditions using advanced students may apply for Endowment support of on-site student training. Allowable costs include transportation, per diem and local work crew costs for each student. Equipment purchases and honoraria are not permitted. The application must clarify the number of students, the type of work they would do, and specific steps for their training and distinguish between per diem and salary expenses. If granted an award, the Principal Investigator must apply to the appropriate Egyptian and/or other authorities for clearance and permission for the student to participate in the project. Students must be enrolled in an accredited American or Egyptian institution of higher education. Publication Subsidies - Project funds in this category are limited to $30,000. The Antiquities Endowment Fund will support a) the publication of completed manuscripts or b) the preparation of specialist materials for publication manuscripts (e.g., drawings/illustrations of relevant

2 materials, appropriate specialist reports not supported by other funding sources). Festschrift and memorial publications are excluded from this award. Funds will only be disbursed with documentation from an appropriate press indicating acceptance of the manuscript in its final form and the anticipated date of publication. ARCE will negotiate the funding amount with the approved press and disburse funds directly to the press. The Principal Investigator, not the publisher, is responsible for informing ARCE of delays in publication. The author must acknowledge support from the Antiquities Endowment Fund in the publication and arrange for an agreed upon number of complimentary copies of the publication be sent to ARCE. Note: AEF grants only support direct project costs. Indirect costs are not allowable. Please do not request indirect costs either in your proposal or in any resulting contract. ARCE is not responsible for currency fluctuations. AEF Emergency Funding: In highly exceptional circumstances the AEF may support projects with emergency needs that cannot await the February 15 yearly deadline. Any request for emergency assistance should be directed to the Cairo Director who will evaluate the circumstances and make a determination in concert with the AEF Committee. A project will be judged on the likelihood of its having a beneficial impact and a realistic completion within a 12-month period. AEF Emergency Funding shall be made under the same conditions as the AEF awards, with regard to contract and dispersal of award. Required permissions from the Egyptian Government must be submitted before applications can be considered. Implementation of the project must occur within 90 days after the award is granted. AEF Emergency Funding is limited and the award level will vary from year to year. Please contact Mary Sadek at programs@arce.org for current available AEF Emergency Grant funds. APPLICATION INSTRUCTIONS For each project, submit a completed AEF Application form accompanied by relevant maps, diagrams and photos, sources of additional funding or proposed additional funding, all previous grants received by the Principal Investigator for the last three years, and an AEF Budget form. If you are requesting salary support, excluding Egyptian nationals, please complete the Participant Salary History form. All forms are available at and must be submitted electronically via to Mary Sadek, Deputy Director for Research and Government Affiliations at aef@arce.org. If the project includes salaries: Salaries should be listed for each primary project participant, showing the daily rate and number of days to be worked, together with a Participant Salary History form. The project must be clearly differentiated from the ongoing work of the PI s mission, being distinctly differentiated by personnel, activities, and timing. Project work plans: The project should be defined chronologically by a work plan that can be accomplished during a single calendar year. That does not mean 12 months of work divided over

3 several years. It means that all the work is to be accomplished in the space of 365 days from start date. Expeditions that have limited seasons must nevertheless complete the AEF projects within a calendar year of start. Deadline for applications is 15 February annually.

4 GRANT GUIDELINES 1. At the time of application, the Principal Investigator must be a current individual member of ARCE. If granted an award the PI must maintain an active individual ARCE membership throughout the duration of the project. Failure to become an individual member or renew membership will automatically disqualify the application or award. 2. An $800 administration fee is included on the Budget Form for all successful applicants. Please include this fee in your budget. The fee will be subtracted from the final 20 percent disbursement of the award. 3. The Principal Investigator will sign an agreement detailing financial procedures and reporting requirements. The ARCE Director will sign on behalf the ARCE. 4. The PI and ARCE must sign the award contract within nine months of award notification. Work must begin within the following 12 months (after the contract signing). If work has not commenced in that time, the award will be canceled. 5. If a year has passed since the award was signed and an extension of the start date is required, particularly for reasons outside the control of the PI, the PI must request approval directly from the Cairo Director, and the Director s decision will be forwarded to the AEF Committee. 6. The PI must submit copies of the project s paperwork for MOA clearance to ARCE when applying for the AEF grant. Funds will not be disbursed to successful projects until they receive written permission and/or clearances from the appropriate Egyptian authorities to undertake projects in Egypt. 7. The Principal Investigator must submit reports of acceptable quality for publication in the ARCE Bulletin within 90 days of the completion of the project. Failure of the Principal Investigator to submit an acceptable report for the ARCE Bulletin within one year of completion of the project will result in exclusion from further competition for ARCE-administered funds until such time as the report is completed. 8. The Principal Investigator is solely responsible for submitting financial reports and the article for the ARCE Bulletin within the set deadline. 9. A Principal Investigator with an outstanding ARCE project is ineligible for an AEF award in upcoming rounds. 10. All AEF funded projects must acknowledge USAID in written and spoken papers according to USAID branding guidelines. ARCE will provide all Principal Investigators with the USAID and ARCE logos or they can be requested from Mary Sadek at aef@arce.org. THE AWARD PROCESS After the February 15 grant submission deadline, the ARCE Director and staff will review submissions and forward complete applications to the AEF Committee. The Committee, which meets in conjunction with the Annual Meeting each April, evaluates and ranks each project application. The ARCE Board of Governors then ratifies the AEF Committee decisions. Principal investigators will be notified of the

5 decision by May 30. Principal Investigators of projects awarded funding will then negotiate the terms of the Project Contract to be signed by the ARCE Director. Fund disbursement will not take place prior to July 1, or the start of the ARCE fiscal year. ARCE will provide the PI with the Expenses Report Form. Upon completion of the project, the Principal Investigator will submit the financial report in accordance with the form along with a publishable report for inclusion in the ARCE Bulletin.
