HOUSING SELECTION GUIDE CONTINUING UNDERGRADUATE AND GRADUATE STUDENTS
THE PROCESS The information contained on the following pages details the Continuing Student Housing Selection Process. The process allows current undergraduate and graduate students to apply, deposit, search for roommates, and self-select their own housing assignment for next year. Please read this guide thoroughly. The following highlights are important to remember: The entire process is online. The Housing Application will open within 24 hours of satisfying the $500 housing deposit. Students may select their bedroom within a suite or apartment. The Roommate Search Wizard is a search engine that helps you find the right roommate by searching portal profiles. This applies to bedroom roommates only. Students who fail to meet the deposit deadline can sign up for Housing Intent Online. See page 13. There is an online, pre-fall room change/room swap request process. See page 11. This process is for undergraduate and graduate students only. Law students have a separate process. 2 3
DEPOSIT Continuing Student Deposit Due Friday, March 9, 2018, 3 p.m. (EST). 4 Submit Your $500 Fall Continuing Student Room Selection Deposit Online Online deposits will be accepted until Friday, March 9, 2018, at 3 p.m. (EST). Students who are on a payment plan may not pay their deposit online. Please pay in person or call our Customer Service Center at To make the online payment, log in to UIS. Once logged in, please click on the student tab, then select student accounts, then student account suite. The system will redirect you to the Touchnet site. Once redirected, select the edeposits tab, select the Fall 2018 term, select Fall Continuing Housing Deposit, and click submit. It will direct you to payment options. You may call in your credit card payment to our Customer Service Center at Your account will be reviewed for eligibility at that time. Mailed checks must be made payable to St. John s University. Please include the student ID number and Fall Housing Selection Deposit in the check memo line. DO NOT MAIL CHECKS TO THE MASSACHUSETTS ADDRESS. Please mail your check to Office of Student Financial Services St. John s University 8000 Utopia Parkway Queens, NY Housing deposits will not be accepted after 3 p.m. (EST) on Friday, March 9. If you do not provide a deposit by the deadline (late or unable to pay by deadline), you will not be eligible to participate in the Housing Selection Process; however, you will be invited to participate in our Housing Intent Process. Sign-up for the Post-Selection Housing Intent process begins Monday, March 19. Important Note: All prior financial obligations, financial documentation requirements, and spring 2018 balances must be satisfied in order for a housing deposit to be accepted. Any attempt to pay a deposit with an outstanding balance or documentation issue will not be reflected as a housing deposit payment. Credits on student accounts from current or past semesters may not be used to satisfy a housing deposit for the Fall 2018 Housing Selection Process. Please note that a housing deposit does not guarantee participation in the Housing Selection Process. Students who wish to have their housing deposit returned must submit requests by Friday, March 23, 2018 at 4:30 p.m. Housing deposit refund requests received after 4:30 p.m. (EST) on March 23 will be declined, and the student will forfeit a refund of the $500 housing deposit. 5
HOUSING PORTAL Notice of Eligibility Students who have paid the $500 deposit for housing selection by 3 p.m. (EST) Friday, March 9, will receive notice via their St. Johns account on Tuesday, March 20, informing them of their eligibility status. If you satisfied the housing deposit by the deadline and do not have access to the Fall 2018 online application and agreement, or have not received an by Wednesday, March 21, please visit the Office of Residence Life with proof of payment so that we may review your account. The following conditions would make a student ineligible for the housing selection process: The student has a cumulative GPA less than a 1.95 at the completion of the Fall 2017 term. The student has conduct sanctions permanently restricting them from Universitymanaged living properties. Housing Portal Application, Profile, Roommate Search, and Agreement Once students have satisfied the $500 housing deposit for the Fall 2018 term, they will receive access to the housing portal to complete the online housing application and agreement. Only eligible students will move on in the process to self-selection. During this step, students are expected to complete their housing application, student profile, and housing agreement. This step in the process must be completed online by 3 p.m. (EST) on Friday, March 16. To access the Fall 2018 online housing application after satisfying the deposit: log into your MySJU account, click on the Reslife tab, then click on the Access the Housing Portal link. 6 Failure to complete this step can negatively impact roommate requests. Students who do not complete their application will have their incomplete application cancelled. Those still interested in housing will be required to participate in the housing intent process. Incomplete applicants have not agreed to the terms and conditions of the housing agreement and are not eligible to continue on to the self-selection/placement process. 7
HOUSING SELF-SELECTION Self-selection appointments will be sent to the student s St. John s address on Thursday, March 22, Self-Selection Appointments Self-selection appointments will consist of a date and time in which the student will have access to the online housing portal in order to complete Step 3 of the selection process. Self-selection appointments will be sent to the student s St. John s address on Thursday, March 22. Please note: you may only choose roommates to fill your immediate bedroom. You are not eligible to fill adjoining rooms or other rooms in your suite. The following formula is used to determine your self-selection priority number: Cumulative GPA x Credits Earned = Self Selection Priority Number (e.g., 2.8 GPA x 33 Credit Hours = 92.4) Cumulative Grade Point Average is determined by the Office of the Registrar through earned academic credits upon completion of the Fall 2017 semester. Reminder: students with a cumulative GPA of less than 1.95 at the completion of the Fall 2017 term will not be eligible to participate. Credits Earned are determined by academic credits earned through the Office of the Registrar at the completion of the Fall 2017 semester. Housing Selection Options Students may identify roommate(s) they wish to live with and self-select their bedroom as a group (based on availability). If a student has no roommate preference, the Office of Residence Life will assign roommates. 8 9

IMPORTANT INFORMATION Housing Selection Information Sessions Information regarding the application and roommate search process will be provided during your first community meeting of the spring term. Another information session will be held in your residence hall the week after the deposit deadline to give you an opportunity to ask questions and review the process. The information sessions will be hosted by your residence director/resident assistants. They will discuss how to select rooms, roommates, and choose a meal plan through the online tutorial. The online tutorial of the housing portal is available on our website. Missed Deposit Deadline? Housing Intent Process is for You! The University will not accept housing deposits after 3 p.m. (EST) on Friday, March 9. Therefore, if your deposit is not received by the deadline, you will not be eligible to participate in the spring Housing Selection process occurring in March/April. If an eligible student requests you as a roommate, you will still not be eligible for housing selection. Please notify classmates of your ineligibility so they may seek other roommate options while in the portal, as you will not be present in their roommate search process. Students who are unable to pay the deposit by the established deadline may complete a Housing Intent Form. This form will be available online beginning Monday, March 19. Students who complete the form will be contacted based on availability. Participants in this process can expect to receive a housing offer from the Office of Residence Life based on availability between May 29 and August 3. I Need to Request Special Accommodations for Housing If you require a specific type of housing accommodation please contact the appropriate office on your campus. Despite your accommodation needs, you are still required to meet all deadlines for the selection process in order to be eligible for housing placement. All required and complete documentation must be submitted to Office of Disability Services no later than 3:00 p.m. (EST) on Friday, March 16, You must register with the Office of Disability Services or with the Center for Counseling and Consultation by providing documentation about your condition and housing accommodation recommendations from your treating physician. Documents must be faxed or mailed to Queens Campus Veronica (Ronni) A. 8 FREQUENTLY ASKED QUESTIONS I am a law student. How do I select housing? Law students select housing through a separate process. Please see the Law Student Housing Guide on our website. What if I cannot make my appointment? Log in to the Housing Portal and select your room as soon as possible. For online selection, there is no way to have a proxy sign in to act on your behalf. Once the next person s appointment time starts, they can select a room, diminishing your potential room choices. If you are not able to select a room prior to the online selection deadline, you will forfeit your opportunity to self-select your space and will be auto-assigned by the online system on Friday, April 13, Note: When students confirm each other as roommate pairs in the housing portal the roommate with the earliest selection times can choose the room and place all approved roommates into their bedroom. I m a student-athlete. Do I need to participate in the housing selection process? If you are requesting to reside on campus for the academic year, you MUST submit the $500 housing deposit and complete all steps of the selection process by the deadlines outlined. Please note that athletes are subject to the same eligibility criteria as all other students participating in the process. Every effort will be made to secure a spot for student-athletes, but demand ultimately decides the outcome and roommate requests may be affected. I m studying abroad this Spring 2018 term. Can I participate in housing selection? Current study abroad students hoping to reside on campus for Fall 2018 MUST submit the $500 housing deposit and complete the required steps in the housing selection process. Study abroad students will be able to participate in the selection process in the same exact way as all St. John s students via the Online Housing Portal. I am an Ozanam or Catholic Scholar resident next year. How will the process work for me? If you are requesting to reside on campus for the academic year as a part of a special program, you MUST submit the $500 housing deposit and complete all steps in the selection process by the deadlines outlined. Please note that all special group participants are subject to the same GPA and student conduct review as all other students in the process. What does it mean to be eligible to participate? To ensure that you are eligible to participate in the housing selection process, you need to meet all the deadlines and requirements outlined in this packet. Eligible means that you have completed the outlined steps; cleared academic and student conduct review; and are qualified for possible participation in the housing selection process. This does NOT guarantee a housing assignment during the housing selection process. Will St. John s hold preview nights for students to see examples of rooms and buildings before housing selection? If you are interested in viewing floor plans or our 360 virtual tour, please visit our University Housing page at stjohns.edu/queens-virtual-tour or stjohns.edu/staten-island-virtual-tour before housing selection. Can I get my deposit back? If you are not eligible or no longer interested in participating in the selection process, you must log into the housing portal and complete the deposit refund request form by Friday, March 23. If you wish to decline your housing, you must request your deposit to be credited back to your St. John s student account on or before Friday, March 23. Housing deposits are nonrefundable after that date
