Do s and Don ts 1. Before writing your cover letter, reach out to your potential sponsoring organization either through their Human Resources Department or directly to determine the correct contact person. Confirm the name, title and contact information of the person directly responsible for charitable giving and sponsorships. NEVER address your sponsorship cover letter as To Whom it May Concern. 2. Find out if the organization has a policy on charitable giving and if so request a copy of the policy. (You may even find this information on their website.) Before sending anything, ensure that your organization and potential ask is aligned with the potential sponsors guidelines for giving. 3. When you have finalized this document, create a PDF of your sponsorship cover letter. Once all three parts of the full sponsorship proposal package are complete, you will merge these three PDF documents together (sponsorship cover letter, sponsorship fact sheet, sponsorship proposal) to create a full sponsorship proposal package that can easily be printed and mailed or emailed to your sponsorship contact. 4. Within one or two weeks of sending your sponsorship proposal packet (cover letter, fact sheet and sponsorship proposal), follow-up with your contact via phone (preferable) or email to assess sponsorship interest and answer any questions. Ideally work to set up a meeting time to discuss sponsorship of your organization or event in more detail. If this meeting can be done in person, take advantage of this opportunity for face-to-face time with your potential sponsor.
Cover Letter Format Dear : 1 st Paragraph: Who are you? What is the mission of your organization? What event are you hosting? 2 nd Paragraph: Why are you seeking support? What advantage is this to your sponsor? How many people will this event touch? Why is this a perfect opportunity for the potential sponsor? 3 rd Paragraph: Let them know what you are enclosing in this package for their review.
