1. Getting Started The following guide is designed to help you access the system. This system will allow you to book shifts, authorise timesheets, and check the status of your requests with NHS Professionals. You will be able to access from either a PC (desktop or laptop), smartphone or tablet. This system is designed to be used with many different types of computer or mobile device for ease of use this user guide has been created from the computer version of the system. Open up an internet browser, whilst Google Chrome is the preferred browser, you can use other browsers (Internet Explorer, etc) and type in the following address: <<bank.nhsp.uk>> Enter your username and password and click or tap Login If you have forgotten your password, click on the Forgot Password? link and then follow the section entitled Changing or Resetting your Password Page 3 of 47

Once you have logged in you will be shown the Dashboard. The Dashboard is made up of five main sections. 1 2 4 3 5 1. The Menu. The menu is accessed via the 3 bar and contains the following options button in the top left of the page Each of these Menu options will be covered within this guide. 2. Welcome message: The welcome message should always display your name if your name is not displayed here please log out and login to your profile. Page 4 of 47

3. Notifications/Performance Evaluations: Any Notifications about shift fill/cancellation, timesheets awaiting authorisation/query or performance evaluations will be displayed at the top of the dashboard. Clicking on the link will take you to the message centre which is further down the dashboard. Clicking on either icon will display detail for that section: 4. Tabs. You will be presented a nuber of tabs for your profile: By default, you will always have the home tab, today tab and this week tab. If you are a timesheet authoriser and there are either timesheets awaiting authorisation or Queried timesheets that require your attention, you will see the Queried Timesheet tab and or the Timesheets awaiting authorisation tabs. 5. Main Page. The main section of the screen displays the information for the tab you have selected. By default you will be sent to the Home tab which contains information based on the graphs you have setup. By default, you will see the Today and the This week graphs. 2. Adding a shift 2.1 Unfilled shifts Under the NHS Professionals logo in the top right, you will see the Add a Shift button: Clicking on this will show the New Shift pop up. Page 6 of 47

The details you must enter are indicated by a red asterix. *Location/Ward If you have multiple Locations/Wards attached to your profile, you will need to select the required options from the drop down lists. Worker: As this is an unfilled shift, you can leave worker as Unfilled (this will be covered later in this document): Allow Agency Fill: If you wish to cascade this shift to your approved agencies, you must ensure you tick this box. In some instances you may not have been authorised to cascade the shift to agency, in which case you will not see this box: Page 7 of 47

Reason: You will need to select the reason for the request, i.e. vacancy This list is populated as per your organisation s requirements. Gender: If you require a specific gender of worker due to skill mix or other reasons, you can change from the No Preference to the gender of your requirement: Shift Type: Most shifts will be entered as Standard this means hourly pay rates for the individual. If you require one of the other options, you will need to select it here: Code: The code drop down holds your assignment types and areas of work. This specifies the type, grade and specialty of the worker you require a list of commonly used assignments are in the appendix of this document: Page 8 of 47

Secondary Code You can if you require specifiy a secondary code. This will allow NHS Professionals to offer two different types of worker. As an example, your preferred assignment might be RN00 (Band 5 General Acute Nurse) but you may accept a CSW00 (Band 2 General Acute Nurse) as an alternative. If you do use the secondary code, you will need to let us know when we can start using this secondary code. As an example, you can add the shift on seven days in advance but only allow us to use the secondary code for 2 days prior to the shift start: Shift Date: You will need to enter the date of the shift using the shift date box. Clicking on this box will display a calendar. From this click the date you require the shift to be worked. Page 9 of 47

If you require the same shift over a number of days, you can use the range request option: You can select the date the shift range starts on and then click the end date of that range (you will be able to remove days out of this range late). Click apply when you are happy. If you have selected a date range, when you click apply, a new section on the page will be displayed: You can remove days of the week (days that the work is not required) and you can specifiy if the range can be filled by one worker only, or by Many. Shift Start/End: You will also need to enter the times of the shift. These must be in 24 hour format: Notes: If you require to enter any shift specific detail, you can do so in the notes box. If you do not wish the worker or agencies to se the notes, untick the boxes show notes to FW and Show notes to agency. Page 10 of 47

Once you have entered all the shift detail, there are a few options at the bottom of the page: The create shift button will add the shift on to the system Save as draft will add the shift as a draft shift (you can add more and then add all the drafts to the system) Add another will load the add a shift pop up once you have clicked either the create shift button or the save as draft button. Clear will cancel the addition of this shift and clear the screen. 2.2 Direct Booking NHSP workers If you have a named worker for the shift that you are entering, you can enter their name in the worker box on the Add a shift page. Click on the box and the following pop up will appear: Enter at least the first 3 letters of the first name and the surname of the woker you wish to book: Page 11 of 47

And then click search. Select the worker and then click Pick If you have selected the wrong person, click the name. icon to remove the Now enter the rest of the details of the shift to book the workers name. Please note that some trusts only allow certain users to enter retrospective bookings. Page 12 of 47

2.3 Direct Booking Agency workers If you are authorised to do so, you can directly book an agency worker in the same manner as a NHSP worker: Agency workers will be indicated with the agency they work for next to their name. As you would with NHSP workers, select the name of the worker and then click Pick and continue to enter the shift details 2.4 Shifts Awaiting Authorisation In some instances when you add a shift it will require someone with your organisation to approve that shift (two tier authorisation). Where this is the case your authoriser must approve the shift via in order for it to be available to be filled/worked. As a shift approver, if you have shifts that require your approval, you will will see a tab that is automatically generated Shifts awaiting Authorisation. Page 13 of 47

To approve a shift, you simply click the in the tile header: You can also reject the shift using the icon. 3. Tabs & Shift details Tabs are separate pages within the system that show you shift information. You will have default tabs of Today and This week. The Today tab will list all shifts for wards/depts on your profile for today s date only and the This week tab will list all shifts for the next week. You cannot modify the date range options on these tabs. By default all shifts are listed as tiles. You can, however, change this to a list view from the menu and this will relist your shifts. For simplicity the tile view is explained within this document: Unfilled Shifts: Unfilled shifts are displayed as such: If a shift is transferred to agency this will be indicated by the icon Page 15 of 47

If a NHSP worker is booked their name will appear in the header of the time: If an agency worker has filled the shift, this will be indicated by the worker s name and the agency they work for: Page 16 of 47

Clicking on the show details at the bottom of the shift tile will expand the tile and show you additional details: Page 17 of 47

There are a variety of icons within a tile s header and footer. The icons in the header are actionable items and the ones in the footer are for information only: Icon Description Clicking this icon will allow you to split shifts (explained further on in this document) Agency Fill allowed/not allowed. If the padlock is in a locked state, then the shift will not get transferred to agencies in the workflow Clicking this icon will allow you to clone the shift (make a copy) Clicking this icon will allow you to cancel the worker booked into the shift This icon will allow you to modify the shift detail Clicking this icon will delete the entirety of the shift If you are authorised to do so, you can authorise this shift to other commercial agencies on your workflow these are typically more expensive than your usual agencies and the Trust require additional authorisation for them to be used. This Icon indicates the shift has been transferred to a commercial agency on your workflow. Footer Icon Description Notes this icon indicates that there is a note attached to the shift The key icon indicates that an authoriser will be needed to authorise this shift to other more expensive agencies on your workflow This icon indicates that the worker requires an induction when they arrive for this shift Indicates that this shift is part of a range. Indicates that this range can only be filled by one worker Page 18 of 47

3.1 Modifying Shifts If you need to modify a shift, click on the pencil icon in the tile header. This will display the modiy shift page (very similar to the add a shift page) You should modify the detail that you need to and then click Save Changes 3.2 Deleting a shift (unfilled) If you need to delete a shift for whatever reason click the Bin header. You will be prompted to enter a reason: icon in the tile Enter the reason and click Confirm Page 19 of 47

3.3 Cancelling a shift (Booked) Cancelling a shift that is booked is similar to cancelling a unfilled shift but you will be prompted for more information. You can either cancel the worker from the shift on their behalf or you can cancel both the worker and the shift if the shift is no longer required. Cancelling the worker: Click the icon in the tile s header: Select the On Behalf of worker option Page 20 of 47

Select a reason and the notified on Date and time Click yes when you have completed this the worker will have been cancelled and the shift will remain to be available to other workers. If you are cancelling the worker but require the shift to be filled by someone else, use the on behalf of ward option and fill out the detail. It is very important to indicate if you have informed the worker or not. If you have not, the worker will be informed by NHS Professionals: Page 21 of 47

Cancelling the worker and the shift: You can use the and fill out the details of the cancellation. Once again, it is important that you indicate if the worker has been notified. 3.4 Removing Agency Padlocks In some instances, you may have indicated that the shift should not be allowed ro be filled by agency. There are circumstances where this will change and you will need to change the padlock s setting to ensure that shift is sent to agencies, in line with your organisation s policies. To do this, locate the shift you wish to allow agency fill on and click the padlock Icon in the tile s header: The icon will spin and when the padlock has been removed the icon will have changed: This will then allow NHS Professionals to send the shift to the commercial agencies your trust have an arrangement with. 3.5 Cascade to agency (Key Removal) In some instances your organisation may use an agency that requires an authoriser to give specific authorisation to be used. These shifts will have a key icon in their header. As with allowing agency fill, you can click the key and this will allow that shift to be sent to those agencies that require this authorisation. Note, that these shifts may already have been sent to other agencies that do not require this authorisation process. 3.6 Bulk cascade to agency/padlock removal You may wish to allow agency fill or cascade to agency on multiple shifts. You can achieve this using the Bulk option next to the date range box Clicking bulk will give you two options (if you are authorised to perform these actions) Selecting Remove padlock will allow agencies to fill these shifts. Clicking Remove Golden Key will allow cascade to those agencies for all shifts on this tab with that requirement. Note, that this will apply to ALL shifts on this tab: Clicking yes will remove all the padlocks or golden keys from all the shifts on this tab. Page 23 of 47

3.7 Cloning a shift (copying) You can make a clone of a shift by clickin the clone icon in the tile header This will allow you to make a clone or copy of this shift. The New Shift pop up will appear and you will need to enter in the date, you can also modify any of the shift details: You will need to enter a shift date to proceed. Once you have entered the shift date click the Create shift button and a new shift will be created. 3.8 Adding a new tab Adding new tabs can help you day to day by having the information you need to hand. Tabs that you create will be displayed whenever you login, so you only need to create them once. As an example, you may wish to have a tab that displays only unfilled shifts for the next few days so that you can manage your rotas effectively these tabs can then be linked to graphs on the Home Tab so that information is available as soon as you log in. You can create a new tab by clicking the green plus sign at the end of the tab row: Page 24 of 47

Once the tab is created you can then assign that tab a name: Click the Green tick to save the name. Once you have created a new tab you can then apply filters to display certain shifts. 3.9 Filtering/Searching for Shifts There are a number of options available to you for you to search and filter for shifts. If you have access to more than one ward/dept you can select individual wards/depts to display on that tab only. You can do this using the drop down lists: Please note that if you leave the Location and Ward drop down list entries as All, you will limit the options you have to be able to search by dates: If you have selected an inidividual ward/dept, you will have a far greater list of options for date searches: Page 25 of 47

Once you have selected these options, you will need to click search to return the associated shifts: You can can filter the shifts you see by using the filtering options. On the right hand side of the page, expand the filter options: Select the options you wish to filter by in the expanded box Page 26 of 47

You can set your filter options and the Tab you are on will update to show only those shifts that match your filtering options. 3.10 The Home tab. The home tab is a place that displays important information. By default you will see the Today Graph and the This Week chart. These are graphical representations of the shift details held in the Today and This Week tab: Today: This Week: You can move your mouse over the chart s details and see more information about those details. You can also modify, resize and remove the charts using the icons in the top right: 3.11 Creating a new graph Typically you will want to create a new tab with customised filtering options to link a graph to. If you have not done this already, read the section on tabs in this document and then follow the below instructions. Click the add button: A pop up will appear for you to select the type of graph you would like: Clicking on each graph type on the left will change the graphic on the right to indicate the type of chart you will see. Once you have selected your graph type, click the Add button on the bottom right and will add a template to the home tab: You will need to enter a Graph name and the select the tab you want to link the graph to: You will then need to select a field to display on the graph: Page 29 of 47

Once you have selected a field you will then to specify the Calculation type, be that by number of shifts, number of hours or for Whole Time Equivalents. Click save and will then calculate your graph: Moving your mouse over the graph will change the detail displayed there. Page 30 of 47

3.12 Other automated tabs In some instances tabs will appear when you login and sometime they won t. This will depend on your access levels to and if some criteria is met. Automated tabs you may see: 1. Queried Timesheets If a worker has queried a timesheet, this tab will be automatically displayed 2. Timesheets Awaiting Authorisation Once a shift s end time is in the past, the shift tile will become the shift s timesheet. If you have any timesheets that are awaiting authorisation, these will be displayed in this tab 3. Shifts awaiting authorisation 4. Timesheets If you are a shift approver (two tier authorisation) and there are shifts that require your authorisation for them to be worked/filled you will see this tab and associated shifts Timesheets can be accessed from any tab once a shift s end time is in the past. A timesheet looks like a shift tile but the colour will change to green: If you wish to authorise a timesheet simply click the in the tile header: Page 31 of 47

Once a session you will need to read and acknowledge the timesheet disclaimer: Once you click confirm this will authorise the timesheet and allow the worker to release their timesheet. You should authorise timesheets as soon as is practicable after the shift has finished. Timesheets for a NHS Professionals worker that have been authorised and released by 23:59 on a Wednesday will be paid the following week. Page 32 of 47

4.1 Modifying a timesheet If you need to modify the timesheet click the icon in the tile header. You will then be able to modify the following details 4.2 Split a timesheet/shift If you have more than one ward/dept on your profile, you can split a timesheet. This may be where a worker has arrived and worked in one area but has had to be moved to another for staffing reasons. Click the split icon in the tile header Page 33 of 47

Modify the end time on the left (of the original place of work) and then the detail on the right (where they were moved to): Then click save changes. This will split the timesheet into two separate entities and you will then need to authorise both timesheets. You can also split a shift in the same manner before the tile becomes the timesheet. 5 Notifications Notifications are displayed in the top right of : Clicking on the envelope will display the types of notifications: You will see a number of different options: Page 34 of 47

Shift notifications If a worker cancels a shift within 24 hours of its start time, you will see a notification of these: You should acknowledge these notifications where you see them. 6 Performance Evaluations At certain points you will be asked to fill out a performance evaluation on a worker that has worked in your ward/dept. Once you have authorised a timesheet, you may see the performance evaluation prompt appear. If you are authorising a timesheet for a worker and wish to fill out their performance evaluation, click on Proceed. If you did not work with that worker, you can forward the evaluation to another person for them to complete by clicking the forward to button Page 35 of 47

You can select a known user and forward to them or if you change the option to Send Email, you can fill out the email details of the recipient you wish to perform the performance evaluation: If you have clicked to proceed with the performance evaluation, you will see some intstructions. Once you click the continue button, you will then be asked 5 simple questions. Rate the worker from 1 to 5 on each of the topics if you require further help on the topic, you can hover your mouse over the question mark for further information. If you score the worker, either 1 or 2 you will be asked to provide further information. If you have addressed the issue with the worker and no further action is necessary tick the appropriate box. On the final question you will be asked to provide a telephone number in case we need to contact you for furtehr information Once you have completed the performance evaluation, click Submit to send this to NHS Professionals. Page 38 of 47

7.0 Appendix This section is provided to supply you with additional information, that whilst not directly relating to the functionality of the NHS Professionals web booking system is useful information that will ensure your understanding of some of the related information used in the system. 7.1 Assignment Types and Areas of Work When you select Assignment type you will be specifying the band of Flexible Worker that you require and to some degree a certain amount of skill set. Some Staff Groups have large sets of Assignment types to choose from but will only have one Area Of Work to select (and this will always be 00). Other staff groups will have a smaller number of Assignment Types but will have a large number of Areas Of Work to allow you to select a skill set within an Assignment Type Please note, that this appendix is not an exhaustive list and is provided more as an example. Your trust will have authorised a list of assignments that can be used at your organisation and you should refer to that list. 7.2 Nursing & Midwifery: The Nursing & Midwifery group will be discussed here as a separate entity to the other Staff Groups due to its larger number of Areas of Work.
