Purpose of the role : This position is responsible for the provision of a high standard of Cleaning and Orderly Service within a hospital environment, whilst maintaining strong, positive relationships with Clinical Support staff and all stakeholders within WDHB. Leads the team - provides support, coaching and training for Clinical Support staff working at WDHB. Promotes excellence in service provision, ensuring high quality cleaning and orderly services are delivered to wards/departments/ and other areas in a manner that is consistent with the vision and values of WDHB. Leads the implementation of service delivery initiatives within teams. Fosters an environment where staff feel supported and valued. KEY TASKS EXPECTED OUTCOMES Clinical Partnership Works in partnership with the clinical and professional teams (e.g. infection control) to ensure best practice is demonstrated by the Clinical Support Team. Engages staff in identifying risks. Service Delivery Leads the service delivery of Clinical Support Staff, Waitemata District Health Board -JOB DESCRIPTION - Team Leader March 2014 Page 2

ensuring that agreed standards of cleanliness, hygiene and infection control requirements are maintained and making sure orderly services are meeting all required KPIs within there selected departments. Manages staff coverage to meet the requirements for the shift and Hospital, ensuring any additional provision of staff is within budget. This includes short notice changes to the rosters that may impact on planned leave and rostered days off. Ensure accurate recording of hours/penal time/weekends worked for payroll within WFC. Ensures rosters for Clinical Support Staff are completed including being displayed in a timely manor and ensuring they are compliant with the SWFU Mecca. Assist staff with queries or problems, as necessary in consultation with the Unit Manager. Conduct regular meetings with staff, recording outcomes and actions. Other duties as requested by Management. Education Maintains oversight of team and individual training needs and liaises with Training and Quality Manager to facilitate and or deliver training requirements. Ensures all new staff are given a full orientation and induction to WDHB and Clinical Support Service. Ensures new Clinical Support Service and transferring staffs are trained in all procedures necessary to undertake their duties to the required standards. Training planner/matrix is maintained and kept up to date. Ensure all staff are trained in the correct operation of equipment and regularly review to ensure compliance Fully participates in mandatory staff training sessions. Service Level Planning Develops relationships with end users across the organization and can identify when resource requirements may change and report these to the Clinical Support Coordinator. Continuous Improvement and Quality Management Financial Management Leadership and Team Management Statutory & Treaty of Waitangi obligations Ensure that up to date duty lists are maintained for each area (seeking approval from the Clinical Support Coordinator before any amendments are made to rosters) with copies provided (including subsequent amendments) to area leader/manager A folder of all duty lists and runs is maintained and reviewed on an annual basis and as and when required. Actively undertakes all audits as required for the Cleaning/ Orderly service. Reports all results and corrective actions to the Unit Manager. Demonstrates and fosters team commitment to HDSS certification requirements. Ensures that any incidents are recorded in a timely fashion and actioned. Ensures that all complaints are followed up within 24 hour. Responsible for ensuring all staff understand the correct use of materials/equipment and regularly review this to ensure compliance Material supply and usage is monitored and controlled to come within acceptable usage levels. Ordering of required supplies and consumables for the Clinical Support Service on a standard basis. Monitors staff attendances and draws to attention regular or unusually high sick leave or unauthorised absences. This includes staff break times, start and finish times. Carries out staff performance reviews annually. Will undertake cleaning or orderly duties in case of staff shortages or emergencies. Champions WDHB Non-Smoking Policy Initiation of Performance Management process where discrepancies are identified. Where staff performance is not up to the required standard, responsible for ensuring remedial training is provided and provides feedback to the Clinical Support Coordinator. Acts as a role model for Clinical Support Staff. Ensures the professional and political integrity of WDHB by carrying out all functions in compliance of the Treaty of Waitangi and by Waitemata District Health Board -JOB DESCRIPTION - Team Leader March 2014 Page 4
