About Core Volunteers In addition to day-of duties required of all volunteers, such as ushering, registration, and hanging signage, core volunteers work 5-10 hours per week throughout the planning of TEDxNaperville (usually June November). Core volunteers run committees, are part of the organizing team, or oversee critical duties. These individuals have higher workloads and are very important to the event s continued success. Each position is a single volunteer.
Volunteer Core Team: Marketing Strategist Are you a marketing enthusiast? Do you know how to engage wide audience and rally them for a worthy cause? Do you love and know social media? Then you might be just the one we need! Key Tasks: Engage with TEDxNaperville community and build well-recognized brand. Create a unified, big-picture marketing plan and campaign to ensure we reach out the target audience and spread the word about TEDxNaperville in and outside of existing follower base. Network and build new connections that may benefit the organization and grow our audience and outreach. Contact partners to ensure we get some presence in their media Create and edit newsletters, social media posts, blurbs for our site and press Write promotional content and create new opportunities for TEDxNaperville to get us on the media map You d Enjoy Doing This Volunteer Area If you are a fan of everything marketing and public relationship can do for an organization like ours. You are a people s person and like networking and building new relationships. You are passionate about social media and SEO/SMM. Requirements for this Volunteer Area Experience with MailChimp, Social media platforms (Instagram, Facebook, Twitter and etc.) as well as with Google Adwords, Facebook Ads and other marketing and PR tools is highly desired. Experience with Google Drive, Google Forms is a plus. Time commitment: high. At least 5 hours/week from May until September, and 10-15 (sometimes more) hours/week in October/November.
Volunteer Core Team: Catering Manager As we already have a food vendor for this year s conference, you will be in charge of maintaining the relationship with that supplier and ensuring catering logistics are in place and taken care of prior to the conference date. This includes food and drink placement, refilling, and ensuring all the logistics of food are managed. You may also work with other food vendors to bring in unique foods or drinks into the conference. Key Tasks Follow up with the food/beverage provider in the last two weeks before the event to ensure all is on track Coordinate the logistics of setting up catering for the day of conference and any additional related events Plan, find and coordinate snacks & refreshment supply for breaks and VIP area Purchase any TEDxNaperville provided food and beverages Plan, find and coordinate catering for after-party if needed Be liaison between leadership team, venue management and catering provider to ensure we are ready to provide snacks and refreshments to our audience Lead a day-of team of catering volunteers (set up, refilling snacks & refreshments, cleanup, any help that is required by our catering vendor)...you enjoy planning and executing a positive food and beverage experience for the event and interacting with the caterer before and during the event to make sure things go smoothly. Requirements for this Volunteer Area Ability to coordinate and plan food & beverages for the multiple TEDxNaperville events. Day of: Ability to be at the event early and review food & beverage execution during the events Excellent organization, follow up, and project management skills are required to make the catering a success
Volunteer Core Team: VIP Party Coordinator Each year, we through a post-even party for speakers, partners, and a variety of local VIPs. This party serves as a thank you to the speakers for all their hard work and helps maintain quality relationships with those organizations and individuals who helped build the conference. As the VIP party coordinator, you ll design and implement the post-event party, ensuring food, alcohol, music, activities, and any other details are prepared and provided once the conference ends. Though much smaller scale than the conference itself, the VIP after part still must be a quality and relaxing experience. Key Tasks Plan and execute a 3-4 hour party for 70-90 people Run the after-party, working with vendors and the host venue to ensure entertainment, cleanup, food and drink, and any other requirements of a quality experience Find, negotiate, and purchase any required supplies and/or services (food, alcohol and other beverages) Be present during the party, handling any logistical needs...you like to plan small special events for VIPs without some of the complexity of planning large events like TEDxNaperville conference.
Volunteer Core Team: B-Team Lead The B-Team is a group of volunteers that helps rapidly clean up the venue after the conference is done. For their work, they get to enjoy the conference nearly the entire day and arrive later than normal volunteers. Once the conference finishes, they kick into gear. As the B-Team lead, you ll be responsible for working with the venue staff to quickly and responsibly clean up the venue after the event has finished. As a member of the B-Team, you ll still be responsible for assisting with set-up the night before the event, but the majority of work is done roughly 7-10pm the evening of the conference. Your total time commitment is 3-8 hours. Key Tasks Begin cleaning up venue as soon as the conference is over Packing and loading transportation vehicles for drop-off at TEDxNaperville HQ in Lisle, IL. Ensure the event is responsibly and respectfully dismantled Working alongside venue staff to efficiently clean up the venue after the event Note: The venue staff is mostly responsible for moving furniture, tables, chairs, etc....you d like to be a volunteer, but can t help out the day-of or have very minimal time commitment and can only assist the evening of the event. You like working with your hands and want maximum effect in a minimum amount of time.
Volunteer Core Team: Post-Event Media Coordinator Once the conference is done, post-event coordinator is in charge of maintaining and building our audience throughout the year until the next event. You are the face and point of contact for TEDxNaperville in the quiet, post-conference months, posting speaker videos and other information on social media. Key Tasks: Post-event social media activity (posts about speakers, adventures, speaker video releases) TEDxNaperville off-season events (TEDxNaperville Salon, TEDxNaperville Live streaming, off-season adventures) Post-event engagement with press, volunteers and attendees Writing, editing and posting post-event commentary, videos and press-releases to ensure continuous presence of TEDxNaperville on and offline...you like networking, social media and keeping up the hype of the TEDxNaperville going. You are interested in spreading the word about great ideas and building, expanding the community of likeminded people who will keep the spirit of TEDxNaperville going till the next event. Skills Required: Social media proficiency, especially Twitter, Facebook, and Instagram Experience in networking and building the community of like-minded enthusiasts Quality writing and editing skills
