NORTH BRISTOL NHS TRUST JOB DESCRIPTION SECTION 1 JOB DETAILS Job Title: PACS/RIS ADMIN ASSISTANT Grade: Band 3 Department: Directorate: Imaging/Radiology Clinical Support Location/Base: North Bristol NHS Trust SECTION 2 JOB SUMMARY Day to day PACS system support and upkeep of highly complex information. Provide image transfer and copying service. Assist patients, staff and other external companies, e.g. solicitors and other hospital trusts with queries. SECTION 4 KNOWLEDGE, TRAINING, AND EXPERIENCE REQUIRED Advanced knowledge and experience in the RIS and PACS system. Must be educated to GCSE standard or equivalent e.g. an NVQ level 3 or have relevant experience. Experience of working as part of a team Knowledge and experience in ICE, Lorenzo and any relevant Patient Information Systems Advanced computer skills - Microsoft Office including Word, Excel, Outlook and Internet. Knowledge and experience of communicating with patients, NBT staff, other NHS Trusts/Private health sites and external companies, e.g. solicitors Understanding of the relevant legislation regarding patient confidentiality and data protection. SECTION 5 SKILLS REQUIRED Able to organise, prioritise and re-arrange their own workload to meet unexpected demands from internal/external users. Excellent telephone manner. Must be able work under pressure from internal/external contacts. Advanced keyboard skills with speed and accuracy. Good problem solving skills to support users when imaging systems fail, sometimes under time pressures. Intense concentration and attention to detail during highly complex Radiology PACS procedures. IT skills related to all NBT computerised systems. Able to communicate with a broad range of individuals including those whose first language is not English, which may include patients, staff, relatives, GP s and other outside agencies, in an informative, sensitive and tactful manner.]= Confident in communicating sometimes sensitive/complex information in a reassuring way either face to face, by telephone, e-mail, etc. Promote a welcoming, helpful and professional environment. SECTION 6 MAIN DUTIES & RESPONSIBILITIES OF THE POST PACS/RIS Support 1. Day to day PACS system upkeep of highly complex information. 2. Updating RIS tables to reflect new information. 3. Ensure that all requests for image data received, by telephone call, email request or fax are handled promptly and effectively. 4. Provide general and first line solutions to service user queries. 5. For all requests that cannot be directly resolved provide an effective interface and ensure that escalation to the appropriate party is applied. 6. To assist with day to day housekeeping of CRIS/PACS 7. To train/pass on knowledge to colleagues/external users of both imaging systems. Image Transfer and Copying 8. Transfer/copy images quickly and efficiently on a daily basis. 9. Provide non-clinical advice and information directly to patients, staff and other external companies e.g. solicitors or hospital trusts regarding imaging data. 10. Have a full working knowledge of all of the image transfer systems available. 11. Provide a comprehensive image date copying service to include scanning in old x-ray film images, burning CDs from existing PACS image and importing images from CDs from other hospital sites/trusts. 12. Enforce Data Protection and Information Security Policies are adhered to and any advice given as required. 13. To maintain appropriate documentation and logs. 14. Ensure the relevant encryption practice is adhered to when required. 15. Follow and help develop changes to the PACS office SOPS. Other Duties 16. Solve any problems/queries from patients, members of staff, etc. either in person or on the phone or seek advice from line manager. 17. Form and maintain good working relationships with all linked professionals and colleagues both at NBT and other Trusts/private health sites. 18. Adhere to the Trust and Departmental policies, procedures and guidelines. 19. Participate in Annual Appraisal process. 20. Report all incidents of injury to themselves, colleagues or patients to a line manager and complete appropriate incident form. 21. Communicate with and act upon telephone calls and emails from Consultants, other hospitals, internal staff at all levels in a prompt, helpful and professional manner. 22. Contribute as team members to the efficient running of the office including cover for others during annual leave and sickness absence. 23. Participate in Staff Training 24. Attend and actively participate in departmental meetings. 25. Ensure the proper use of equipment and supplies to minimise waste.

SECTION 7 WORKING CONDITIONS/ EFFORT Frequent interruptions on a daily basis from staff regarding immediate PACS/RIS issues. Frequent interruptions from patients, other Trusts, solicitors, etc. regarding Radiology events, copying and image transfer. Frequent prolonged concentration during highly complex RIS/PACS system upkeep/corrections in an open disruptive environment. Occasional emotional effort in reassuring, supporting and providing information to patients. Exposure to potentially aggressive and violent situations due to language barriers etc. from patients, other Trusts, etc. On-going use of computer screens on a daily basis requiring long periods of time in a fixed position. SECTION 8 IMPROVING THE PATIENT EXPERIENCE THROUGH YOUR WORK AND INFECTION CONTROL Improving the patient experience through your work Patients are the most important people in the health service and are at the centre of what we do. The patients experience of our services should guide the way we deliver services and influence how we engage with patients every day in our work. All staff should communicate effectively in their day to day practice with patients and should support and enable patients/carers to make choices, changes and influence the way their treatment or care is provided. All staff, managers and Board members should work to promote effective patient, carer and public involvement in all elements of their work We have a duty to involve, engage and consult with patients, carers and families about plans for health facilities and the provision of our services. Infection Control Compliance with all infection control policies and procedures will form an integral part of the practice of all staff working in a clinical environment. Each staff member will be responsible for familiarising themselves with the Infection Control Manual in the clinical areas and on the Trust s Intranet site. Staff must keep up to date with new policies and subsequent implementation in practice. Staff must seek support and advice from Infection Control in all instances where cross infection is likely to have occurred or when managing situations involving patients with infections where guidance provided in the Policies is not applicable. All staff must contact the Occupational Health Dept if they are suffering from any form of

infection which may put patients and other staff at risk. Employees also have a responsibility to remind members of the public, visitors and other staff to refrain from smoking on Trust premises and to inform the appropriate manager if they witness repeat non compliance.
