Simachov alexey.simachov@ieee.org Activity Plan & Financial Support 1. Optics and Photonics Section at VII Kharkov Young Scientists Conference It was conducted VII Kharkov Young Scientists Conference on "Radiophysics and Electronics", which attracted 110 participants from various the regions of Ukraine and Russia. It was organized by our partner, IRE Young Scientists Council, YSC (www.ire.kharkov.ua / ysc). This year the traditional 5 sections: Microwave engineering; Propagation and remote sensing; Solid state physics; Theoretical electrodynamics; and Biophysics our Chapter opened a new conference section "Optics and Photonics", prepared an information booth, and to award prizes and travel grants to the section participants. The project realized in cooperation with the KNU OSA Student Chapter and IRE YSC. Through the travel grants program, we have been able to achieve to reach a more geographically diverse audience of students not only from Kharkov, but also from other regions of Ukraine, Russia. We have shared our experience of establishing the student chapter and organizing educational and outreach activities with conference participants at the OSA Ukrainian Regional Chapters Meeting. The new section has been declared on information boards in IRE and at KNU as well as on our website and YSC website. The following concrete steps: 1. printing and distributing announcements, making the information booth; 2. participating in the papers selection process; 3. purchasing prizes and making diplomas; 4. distributing travel grants; 5. organizing of the conference, choosing the winners and distributing the awards Total estimated cost: $ 650 (Printing announcements and information materials $50.00; Travel grants $400.00 (8 x $50); Prizes and diplomas $200) Amount received from OSA: $ 213; Amount requested from SPIE: $ 430 Spent sum (OSA): $ 208; Spent sum (SPIE): $ 426 2. Optics Information Board We have developed and installed an information board in the at KNU. A board is used for publicizing current information on SPIE resources and activities of our SPIE student chapter, as well as on research and educational programs of our School in the fields of optics and photonics. This board is helping students to obtain easily accessible and detailed information about the latest discoveries in optics and to learn about activities of our chapter. It helps them to be determined in their career choice. For students, researchers and faculty members this board provides useful information about upcoming topical conferences in optics and photonics, employment opportunities and possible collaborations. Our experience of informing students and engaging them in our chapter activities has clearly shown that e-mail messages and website announcements are not very efficient ways of communication. Many students do not have e-mail addresses and most use internet services only occasionally. Furthermore, most of them are not fluent in English, and very rarely visit SPIE website. Therefore, a permanent board with the info at least partially presented in Russian will enormously increase our chapter visibility and will enhance our public outreach programs. The project will be implemented in cooperation with the KNU OSA Student Chapter. Total estimated cost: $ 190 (Ordering the board $140; Printing new announcements $50) Amount received from OSA: $ 140; Amount requested from SPIE: $ 50 Spent sum (OSA): $ 140; Spent sum (SPIE): $ 54 Additional support (source) $ 353.00 Optical Society of America Total additional support $ 353.00 Total amount requested from SPIE: $ 480.00 Total spent sum (SPIE): $480
