5 Introduction Introduction Thank you for choosing GlobalMeet as your web conferencing provider. Contents of This Guide This guide is intended for use by IT staff during the planning and execution of a GlobalMeet product deployment. This document covers the options for deploying the software and Internet-based services related to GlobalMeet. For information about the deployment and management of audio conferencing, please contact your account representative. It contains the following sections. About GlobalMeet a brief introduction to web conferencing features, the GlobalMeet desktop tools for Windows and Mac, mobile applications, and GlobalMeet Webinar. Implementation Checklist a summary of the factors to consider when preparing to deploy GlobalMeet and its tools. Network Requirements domain whitelisting, required ports, proxy server considerations, and bandwidth estimation metrics. System Requirements hardware and software requirements for installing and using the various components of the GlobalMeet product set. 8 About GlobalMeet About GlobalMeet GlobalMeet web conferencing is a Flash-based browser client used by all participants in the meeting, regardless of role. This is the primary meeting interface for all users. Anyone can host or attend a GlobalMeet meeting from a web browser; however, major browsers are switching to HTML5 as their preferred platform for Webbased applications and animation, and away from Flash. The GlobalMeet desktop apps for hosts and guests allow anyone to join a meeting quickly and securely, without a Flash plug-in. NOTE: You can let your users install GlobalMeet apps themselves, or deploy to your users Windows machines using the GlobalMeet installers in unattended mode. Webcam meeting mode shows up to six webcams on stage. GlobalMeet Webinar is built upon the foundation of the GlobalMeet web conferencing product, but tailored for large webinar events up to 325 people. GlobalMeet Deployment Guide Page 4

9 About GlobalMeet GlobalMeet Desktop Apps The GlobalMeet desktop apps for hosts and guests allow anyone to join a meeting quickly and securely, without Flash player or a Flash browser plug-in. GlobalMeet for Hosts lets account holders it easy to host or join a web meeting or audio conference, schedule a meeting, screen share, and manage files and folders in the file library. Guests for Guests lets participants quickly join a web meeting. GlobalMeet for Hosts For meeting hosts (account holders) only. The GlobalMeet for Hosts installer includes the host desktop app, Screen Share and the VoIP Audio app (for audio conferences using Phone Controls). GlobalMeet for Hosts can be installed with or without the GlobalMeet for Outlook COM add-in. Set GlobalMeet to launch at startup, and it monitors a meeting for visitors. The rotating advertising banner can be hidden in a managed deployment. GlobalMeet Deployment Guide Page 5

10 About GlobalMeet GlobalMeet for Guests The guest desktop app allows all users to participate in a meeting without a Flash browser plug-in. The app is free of charge; participants are offered the app when they join a meeting in a browser without Flash support. Although it is named the guest desktop app, anyone can use the app to attend a meeting. GlobalMeet hosts can sign in to their own meetings and host them. The GlobalMeet for Guests installer also includes the Screen Share app. GlobalMeet Deployment Guide Page 6

11 About GlobalMeet Screen Sharing Screen Share is included when you install the host and guest desktop tools. This allows hosts and promoted guests to share an application or their entire screen with meeting participants. When a host selects SHARE MY SCREEN in the meeting, Screen Share is launched by the GlobalMeet client. If Screen Share is not found, GlobalMeet prompts the user to install it. GlobalMeet for Outlook GlobalMeet for Outlook lets hosts start a web or phone-only meeting, schedule meetings and track meeting invitations via the Microsoft Outlook calendar, customize meeting invitations, and upload files to the web meeting file library. There are two versions of GlobalMeet for Outlook: A COM add-in version for Windows (the GlobalMeet toolbar) An Outlook add-in for Mac, Windows, and Outlook Web App (the GlobalMeet Outlook add-in) Review the system requirements to determine which version is right for your users. GlobalMeet toolbar. All features are available from the GlobalMeet tab on the Outlook ribbon. GlobalMeet Outlook add-in for Outlook 2013 and GlobalMeet add-in buttons are at the right of the Home tab. In new messages, message replies, and event windows, there is an additional option that lets you schedule an event and send invitations. GlobalMeet Outlook add-in for OWA. GlobalMeet add-in options are accessed from the GlobalMeet icon. 12 About GlobalMeet Phone Controls The Phone Controls are a user-friendly, visual way to host and attend a phoneonly meeting from your computer. They are an HTML5 web-based app that is launched from GlobalMeet for Outlook (toolbar and add-in), GlobalMeet for Desktop, and from GlobalMeet audio-only meeting invitations if the user s browser has built-in support for HTML5. Users with browsers that do not support HTML5 are routed to a Flash-based version of the Phone Controls. GlobalMeet Deployment Guide Page 8

13 About GlobalMeet VoIP Audio for Meetings The VoIP audio app provides support for computer audio in the HTML5 version of the Phone Controls. The app is included in the host desktop tools; for guests, it is installed on first use. Call My Computer opens the VoIP audio app Select mic and speakers, and click CONNECT. When connected, the VoIP audio app monitors call quality and mic level. GlobalMeet Deployment Guide Page 9

14 About GlobalMeet Mobile Apps GlobalMeet mobile apps are available for meeting hosts and their guests (no account is required). Mobile apps include: GlobalMeet Web & Audio for ipad and iphone. The GlobalMeet app lets hosts instantly host, schedule, or join a web meeting or audio conference with a few taps on the screen. GlobalMeet Audio for Android and iphone smartphones. These apps let users host and participate in an audio conference (or the audio portion of a web meeting). GlobalMeet mobile apps are available in the related app stores (Google Play and Apple App Store). Administration Portal The Administration Portal is a web-based management and provisioning system that lets company administrators create and manage users and meeting accounts, generate usage reports, manage meeting options on behalf of account holders, and upload the logo for the meeting screen, if allowed by your provider. We suggest you make My Meeting Hub available to your account holders. It is a streamlined version of the Admin Portal that makes it easier for hosts to manage their audio and web conferencing solutions and access meeting recordings. 15 About GlobalMeet GlobalMeet Webinar GlobalMeet Webinar is an easier and better way to host webinars with up to 325 people. It is built upon the foundation of the GlobalMeet web conferencing product, but tailored for large webinar events: Each webinar is a scheduled event and can handle up to 325 participants. (GlobalMeet web conferences are limited to 125.) Hosts can designate three co-hosts who can present during the scheduled webinar. The GlobalMeet Webinar Portal brings together scheduling, customizable invitations and registration forms, and post-event analytics. All registrants receive a custom meeting invite that contains one-click access to the webinar on the day of the event. GlobalMeet Webinar account holders also get an always-available GlobalMeet web meeting. If your users already have a GlobalMeet account and you add GlobalMeet Webinar, their web conference URL stays the same. GlobalMeet Webinar In-Meeting View The GlobalMeet webinar room has the same features as your GlobalMeet web meeting room, except that it can accommodate up to 325 participants. 16 About GlobalMeet Access the GlobalMeet Webinar Portal If you have a GlobalMeet Webinar account, the GlobalMeet desktop app and GlobalMeet for Outlook include webinar options. Use the Start Webinar option to sign in to the Webinar Portal. Or, Schedule Webinar to set up a new webinar event. Open the Webinar Portal and start your webinar. NOTE: Unless labeled Webinar, all other options in the GlobalMeet app and toolbar apply to your always-available GlobalMeet web meeting. GlobalMeet Deployment Guide Page 12

17 About GlobalMeet GlobalMeet Webinar Portal The Webinar Portal is a web-based control panel that lets you set up and manage your webinars. CREATE AN EVENT. Schedule a webinar: set up invitations and a registration form, enter invitee addresses, choose reminders, and send invitations. UPCOMING EVENTS. View event details, including invitation delivery and registration stats. Enter the room early to upload files or start your scheduled webinar. COMPLETED EVENTS. View post-event registration and attendance stats, and view/download reports. SAVED DRAFTS. Lists events that are not finalized that is, invitations have not been sent. 21 Network Requirements Network Requirements Deployment of any Internet-based service requires consideration of the impact to the network. GlobalMeet is built using Adobe Flash and designed to minimize the impact to corporate networks. This section includes: Domains and ports which must be accessible from your network. Proxy server requirements Bandwidth considerations metrics for estimating usage based on typical meeting activities like Screen Share, file sharing, streaming videos, and sharing webcam. Firewall Traversal All GlobalMeet meetings and associated data are encrypted using 128-bit AES SSL. In addition to the obvious security advantage of encryption, the clear majority of corporate proxy servers and firewalls are configured to permit port 443 (HTTPS) traffic. This increases the ease with which not only our clients but their guests are able to join GlobalMeet meetings. The Admin Portal runs all traffic over port 443 with 128-bit SSL encryption. For complete details on data storage and access security, please see the GlobalMeet Security Whitepaper. NOTE: If hosts or guests cannot communicate on port 443, they will be unable to attend the meeting. Required Domains Your network must allow inbound and outbound communications to the domains and all child subdomains identified in this section. For all whitelisted domains in this section, allow HTTP, HTTPS, RTMP, RTMPE, RTMPS and RTMPT protocols over ports 80, 443, 1395, and This is required for all meeting tools and mobile apps. For the best user experience, create an additional policy accepting pop-ups from these domains. To ensure your network s SSL certificate validation (CRL checks) work, allow traffic over port 80 to these cert providers. NOTE: The domains in this section do not include publicly available sites like community.globalmeet.com and globalmeet.com. Both sites utilize various third-party services for analytics and content and can change without notice. GlobalMeet Deployment Guide Page 17

26 Network Requirements Screen Share Proxy Management GlobalMeet uses several techniques to deal with the variety of proxy servers and configurations. In the event Screen Share finds itself unable to communicate with the service, it will look to the system for any proxy settings and attempt to inherit the proxy host and proxy port settings. If a PAC file is configured as an Automatic Configuration Script value, GlobalMeet will parse the PAC file and use the Host and Port values. If the Host and Port settings are set in the Proxy Server settings, GlobalMeet will use those values. If either of the options for Proxy servers are selected but the Host and Port settings are unavailable, the user will be prompted for these values. 27 Network Requirements Screen Share User Agent In certain situations, proxy servers rely on a user agent to allow traffic for applications. The Screen Share user agent string is: User-Agent: ScreenShare/1.0 Screen Share Configuration File If the IT organization would prefer to set these values for users, administrators can set these values in the Screen Share configuration file during the software distribution or individual users can enter the values after installation if rights permit it. This file is installed with Screen Share and is in the ScreenShare folder in the user profile (Windows). %USERPROFILE%\GlobalMeet ScreenShare\ScreenShare.properties Mac users will find the same configuration file under the GlobalMeet ScreenShare directory in the user s Home directory. Specific instructions for each setting are in this properties file. Edit this file and replace the standard version as a portion of your deployment script or postinstallation. The first entry in the file simply instructs the application to use the configuration file rather than the system properties as the source of proxy settings. UseSystemProperties must be set to false for the configuration file to come into effect. The remaining settings cover encrypted or unencrypted meetings and settings for the communications between Screen Share and the service when using a SOCKS proxy. GlobalMeet Deployment Guide Page 23

When sizing your implementation, use a mix of high and low values; it is unlikely that all host-guest interactions will be in the low bandwidth range. NOTE: PowerPoint estimates can be used to estimate sharing other page-based documents like PDFs and Word documents from the File Library. 29 Network Requirements Streaming Video Considerations The bandwidth consumed by streaming video is dependent on the properties of the original file. GlobalMeet streams videos in their native formats and sizes to preserve the level of quality. The factor with the greatest impact on bandwidth utilization is the video dimensions (width and height). For example, a 1280x720 video requires more bandwidth than a 320x240 video. The video s frame rate and bit rate also affect bandwidth usage, but to a lesser degree than the video s dimensions. When a host shares a video in the meeting, that video is streamed to each guest. If many guests are on the same network or network segment it can cause a high level of bandwidth utilization and caution should be used. GlobalMeet Deployment Guide Page 25

It includes requirements for GlobalMeet for Mac and Windows, GlobalMeet for Outlook, and the GlobalMeet mobile apps. GlobalMeet for Mac and Windows To use the GlobalMeet desktop tools, participate in GlobalMeet meetings, and access the Admin Portal or My Meeting Hub via a browser, your computer must meet the following hardware and software requirements. An all-users installation MSI is available for the GlobalMeet toolbar (COM add-in). It is designed for IT administrators wishing to install the GlobalMeet toolbar on a master image, which is then used to create user images under XenDesktop. The installer has been tested with Citrix XenDesktop 5.6 and supports Local User Profile only. GlobalMeet Mobile Apps The following table summarizes system requirements for the GlobalMeet mobile apps. All apps require an active data connection, either through the wireless carrier s 3G/4G/LTE network or via Wi-Fi. But for the best meeting experience and to participate without a Flash plug-in they should install the GlobalMeet desktop tools. The GlobalMeet desktop tools are available in the following installers; they are sometimes called combined installers because they contain several GlobalMeet desktop tools: Guest desktop tools (Mac and Windows) includes the guest desktop app and Screen Share Host desktop tools (Mac and Windows) includes the host desktop app, Screen Share, VoIP Audio for Meetings app Windows only. Host desktop tools + toolbar includes the host desktop app, Screen Share, VoIP Audio for Meetings app, and the GlobalMeet toolbar (COM add-in version) All installers are available from the GlobalMeet Tools page ( for direct links, see Application Installers, later in this guide. Managed v. Unmanaged There are two options for installing GlobalMeet desktop tools: managed and unmanaged. In a managed deployment, IT administrators push deployments to their users Windows machines, using an installer s silent mode. This is explained in Managed Deployments, later in this guide. In an unmanaged deployment, a company allows its end users (GlobalMeet account holders and guests) to download and install GlobalMeet on their Windows and Mac computers. Even if the installer is hosted on a company s Web page, the desktop tools attempt to contact the GlobalMeet servers for updates to the host desktop app, GlobalMeet toolbar (COM add-in), and Screen Share. NOTE: Disabling automatic updates is a discouraged practice because it forces the customer to deploy several new versions each year. In an unmanaged deployment scenario, you can disable Screen Share automatic update checks by setting an option in the Administration Portal Edit Site page. To disable automatic updates for the host desktop app, Screen Share, and the GlobalMeet toolbar, do a managed deployment with the installer in silent mode. You cannot disable automatic update checks for: VoIP Audio for Meetings this app updates in the background. GlobalMeet guest desktop app the app checks for software updates on startup, and prompts to download and install the update, if found. GlobalMeet for Outlook The GlobalMeet toolbar COM add-in automatically checks for software updates every seven days. Users can change the frequency on the Settings page from always (every time Outlook is started) to every two weeks. The GlobalMeet Outlook add-in is enabled via a URL; users always access the most recent version. GlobalMeet Deployment Guide Page 31

36 Deployment Considerations (Managed v. Unmanaged) Screen Share By default, Screen Share automatically checks whether the user has the most recent version of the software. It performs this check the first time that Screen Share is launched in each meeting. If an update is available, the latest version is downloaded, but is not run until the user exits Screen Share. The existing Screen Share installation is replaced by the up-to-date version without delaying the user s ability to start sharing. No administrator privileges are required. Disable Automatic Screen Share Updates (Admin Portal) In the Admin Portal, navigate to the Edit Site page for the site (hub) on which your users web meetings reside. In the GlobalMeet Web Options section, clear the Screen Share auto-update checkbox to turn off automatic update checks. Screen Share Auto- Update. Clear this checkbox if you do not want Screen Share to check for updates. Screen Share Installation Options By default, Screen Share is installed the first time a user clicks the Share My Screen option in the meeting. To prevent delays in the meeting, allow your users to install Screen Share prior to attending (or push Screen Share to your users Windows computers). There are several options: Have users install GlobalMeet for Hosts or GlobalMeet for Guests before their first meeting. Screen Share is automatically installed. Make the Screen Share standalone installers available to your users. Windows. Use the Screen Share standalone installer in silent mode (managed deployment) to push Screen Share to your users computers. Windows managed deployment. Unmanaged) GlobalMeet for Outlook Considerations There are two versions of GlobalMeet for Outlook: GlobalMeet toolbar GlobalMeet Outlook add-in GlobalMeet toolbar Windows only; for Outlook 2010 and newer. This COM add-in can be installed as part of the host desktop tools. GlobalMeet Outlook add-in Mac and Windows; for Outlook 2016 for Mac, Outlook 2013 and 2016 for Windows, and Outlook Web App. Instead of downloading a setup program and installing it on a computer, you enable the GlobalMeet Outlook add-in via a definition file (called a manifest) located at the URL provided in the next section. Managed deployments you can enable the add-in for all Outlook users via the Exchange Admin Center (EAC) or via PowerShell. Unmanaged deployments users install the add-in from a URL. Your users must have at least the My Custom Apps role in Exchange. For unmanaged deployments, a company can: Point users to the GlobalMeet Tools page ( and let them install the apps. Host the installation file(s) on its own Web page or direct users to the appropriate installer URL GlobalMeet desktop tools installers or the Screen Share-only installer. Skip installing the desktop tools, and instead allow Screen Share to be installed automatically, the first time the host (or promoted guest) selects SHARE MY SCREEN. NOTE: All tools are set to check for software updates. Automatic software updates cannot be disabled in an unmanaged deployment. GlobalMeet Deployment Guide Page 34

Screen Share is automatically installed with these products. Make the download link (Windows or Mac) available to your users. Host the Screen Share installers yourself. However, if User Account Control is enabled on the end user machine, the end user sees UAC confirmation messages. To avoid this, find cmd.exe (the Windows command prompt), then right-click and select Run as administrator. A separate Screen Share-only Installer is available. You can use it to install Screen Share for one user or all users on the PC. Disabling Auto-updates By default, all GlobalMeet desktop tools check for software updates. You can disable automatic update checks for the host desktop app, Screen Share, and the GlobalMeet toolbar via the silent installer. IMPORTANT: If your managed deployment includes Screen Share, remember to disable automatic updates via the Edit Site page in the Admin Portal. Screen Share All Users Install for an all-users installation, you must run the installer as administrator. Auto-updates are not supported for an all-users installation. Learn more. The branding settings for your company should be configured to prevent offering Screen Share downloads to users in the meeting. Contact your GlobalMeet account representative for edits to your branding settings. Permissions Required for an All Users Install for Screen Share With any Windows installer (GlobalMeet or Screen Share only), the all-users installation must be executed with sufficient privilege to perform the following: 1. Create directories and files in the Windows Program Files directory and set rights for all users to write to the created ScreenShare\logs directory. 2. Screen Share can be installed for a single user or all users on a machine. By default, Screen Share is installed for a single user. An all-users installation requires admin privileges; single user does not. To install in silent mode, use the following command line. GlobalMeet_ScreenShare_windows.exe -q overwrite [-Vparam1 Vparam2...] The following table explains the installation options. If you do not include a parameter, the installer uses the default setting. 49 Managed Deployment of GlobalMeet Outlook Add-In Managed Deployment of GlobalMeet Outlook Add-In Supports Mac, Windows, and OWA users. You can enable the GlobalMeet Outlook add-in for all Outlook users via the Exchange Admin Center (EAC) or via PowerShell. By default, after you install an app for your organization, the app is available for all users in your organization. After installation, you can use the EAC or the Shell to make the app optional or required for your users, and to specify whether you want the app to be enabled or disabled. The GlobalMeet Outlook add-in is available from a custom URL; it is not available from the Office Store. To install the GlobalMeet Outlook add-in from a URL, your users must have at least the My Custom Apps role in Exchange. Enable for All Users via Exchange Admin Center 1. From the EAC dashboard, navigate to Organization > Apps. 2. Click New From the drop-down list, select Add from URL. 4. 53 Administration Portal Administration Portal The Administration Portal is a web-based management and provisioning system that lets administrators create and manage users and meeting accounts, generate usage reports, manage meeting options on behalf of account holders, and manage branding for a company s own Admin Portal and GlobalMeet product. The Admin Portal was used to perform the initial setup for your organization, including at least one administrator. Admin user #1 can sign in to your organization s Admin Portal and create users (hosts and administrators), and provision audio and web conferencing for users. The site name is used as part of the URL for your company s Admin Portal, My Meeting Hub, and persistent meeting room URLs. A company can have more than one site.
