BUSINESS PROCESS MODELLING IN HOSPITALS Miroslav Mađarić, Ph.D. Independent Innovation Consultant, Zagreb (Croatia) Innovation Summit Brussels, May 2016.
Table of Contents What is the process and its model representation? Why hospital processes are to be formally modeled? How the standard method (BPMN) is applied? Some examples of business process models: Hospital disinfection and sterilization unit Injury patients registry operation Multidisciplinary teams management Drugs distribution in the case of IT system outage (during the presentation 4 short quiz will be asked!) Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 2/18
What is the process and its model representation? Definition (ISO 9001:2015): A process is a set of interrelated or interacting activities that use inputs to deliver an intended result Organization produces products and services for our customers. Process typology (Timo Itälä M.Sc., Aalto University) : The products and services are results of our core business processes. Support processes give support to the core processes. Management processes govern the operation of the system. Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 3/18
What is the process and its model representation? Process sequences and their interactions may be developed using tools such as modeling, diagrams, matrices and flowcharts. (ISO 9001:2015) A business process or business method is a collection of related, structured activities or tasks that produce a specific service or product (serve a particular goal) for a particular customer or customers. It often can be visualized with a flowchart as a sequence of activities. (Wikipedia) Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 4/18
Quiz 1: use of modelling Implementation level of BP modelling in your organization: 1. Penetration (choice of one): a. For all important processes b. For some processes c. Tests/plans implementing d. No BP modelling 2. Life cycle: a. Regular process models update (Y/N) b. Regular compliance assessment (Y/N) Questions / Responses. Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 5/18
BPMN definition and tools Business Process Model And Notation (BPMN) is a graphical representation for specifying business processes in a business process model. Dozens of applicable tools listed here: or ing_notation_tools : Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 6/18
Quiz 2: modelling tools used Do you know which modelling tool your organization uses for BPMN? 1. Not using 2. MS Office or similar tools 3. Licensed tool (which one?) 4. Freeware tool (which one?) Questions / Responses. Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 7/18
Business processes within healthcare* Clinical process How the patient is treated Diagnosis treatment Observations, tests, operations, medication Patient record process Executed by doctors: Give orders Nursing process How the patient is taken care Executed by nurses: Carry out orders Financial process Collection of payments The cashiers Scheduling process Scheduling appointments Executed by assistants: Billing Hospital support processes Management processes * Adapted from Timo Itälä M.Sc. Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 8/18
Rough process of BP improvement Model as-is process Identification of: problems improvement opportunities Definition of improvements portfolio impact level feasibility level Decision on priorities Model the to-be processes selected. Actually part of innovation process model Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 9/18
Process innovation (part of innovation ecosystem) Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 10/18
Quiz 3: Who is in charge for BPM in your hospital? 1. We don t perform BP modelling formally 2. Every department makes their own modelling 3. Healthcare authorities are making BPM for us 4. External consultants model our processes 5. Our hospital has its own BP department or similar 6. IT department is in charge for BPM 7. Something other: Questions/ Responses. Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 11/18

Not applicable in my hospital b. Should be developed by HC authorities 3. Very useful (important take-away) Questions/ Responses. Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 17/18
Conclusion 1. WHAT: graphical presentation of activities flow 2. WHY: understand, present and improve processes 3. WHO: BPM expert/skilled + process owner, endorsed by MB, optimal through HC authorities 4. WHERE: all departments with key processes, important is inter-silo operability 5. WHEN: priorities according to process impact and complexity 6. HOW: using professonal tools or strating with Office 7. HOW MUCH: resources are necessary, but lack of systematic process management costs much more! Innovation Summit Mađarić: BUSINESS PROCESS MODELLING IN HOSPITALS 18/18
