1 UNIVERSITY OF THE WEST INDIES OPEN CAMPUS INFORMATION TECHNOLOGY SCHOOL BASED ASSESSMENT Description of the Project An annual community summer camp is held at the Danesbury Community College in Drax Hall St George for children 11 to 16 years of age. This year, the organizers have arranged for several activities and educational tours for its registered campers over the four-week duration of the camp. At present the camp registration system is being designed and you have volunteered to assist the organizers with the development of software to perform the following tasks. Designing a flyer for advertising the camp Creating a letter and information form to be sent to the parents and guardians of registered campers Record the personal data of each registered camper along with their tour and camp activity information Managing the financial data from the registration of campers Report on the overall popularity of the activities and tours from the registration data and fees received. Develop custom-written software to process the registration data of participants for the camp activities and produce a summary report of each activity. NOTE: Deadline for Final Submission of your completed SBA Project is Thursday 17 th March, Please give your Camp a suitable Name. 2 Spreadsheet The organizers require a spreadsheet which will record for each participant, their name, fees paid and the activity in which they will participate. You must consider the following in your design. The camp will offer three activities to its participants (Sailing and two others of your choice). Each participant must be registered for ONE activity. Participants can register for up to three of the tours offered during the camp. Each person must indicate the number of tours in which they are interested. Each registered camp participant must pay a camp fee of $450 Each activity has an activity fee to be paid by each participant. The fee for each tour attended is $50. You are required to perform the following tasks a. Create a spreadsheet table with the information for each participant as shown. Camp Id Number Surname FirstName Activity Selected Number of Tours Include data for at least 20 participants with at least three persons registered for each activity. b. In a separate table display the names of the activities being offered and the fee for each activity. Camp Activity Fee c. To the participant s table add columns for the activity fees, tour fees and total fees paid based on the following requirements: Information Technology School Based Assessment Page 2
3 i. Activity fees Use a suitable function to assign the activity fees based on the type of activity selected ii. Tour fees Use absolute referencing for the calculation of tour fees iii. Total Camp Fees This is the total of all fees paid by each camp participant (including camp, activity and tour fees). d. Copy all the data to a new worksheet. Sort the participant data in descending order of Total Fees. e. Delete the information for the third participant in the Sailing activity. f. Right align the column headings for the numeric data columns. g. Extract the data for all persons who are interested in participating in Sailing to a new area of the worksheet. h. Display on the worksheet the following: i. The overall sum of total fees paid ii. The average fees paid for tours. iii. A count of the number of persons who are taking at least two tours. i. On a separate sheet, create a summary table which displays for each activity: i. The total activity fees paid ii. The number of persons enrolled in the activity. 4 j. Create a column graph OR a pie chart which shows the total fees paid for each camp activity. Ensure both axes of your column graph are labelled and a suitable title is included. Your pie chart should have an appropriate title, legend and should display the percentages for each segment. Database Management A database is to be created to record the contact information for one parent or guardian of the participants at the camp. Note that a parent may have more than one child enrolled in the camp. You are required to perform the following. a. Create a table to store the contact information for the parent or guardian of each camp participant. Create suitable fields for the following information to be stored. Parent ID A unique identification number assigned to each parent Parent s Name (Title, Firstname, Lastname) Name of the parent or guardian (e.g. Mr John Smith) Address Address of the parent or guardian Parish Parish in which the parent lives Telephone Number Contact telephone number for the parent or guardian Populate the table with information for a minimum of 15 parents. b. From the spreadsheet import the Camp ID, First Name, Surname, Activity and Number of Tours of each participant into a new table. c. Add a suitable field to the table to identify the parent of the participant. Information Technology School Based Assessment Page 4
5 d. Create a third table which records the tours to be attended for each participant. Use the Camp ID Number of each participant and the Tour ID for each tour destination. Use the data provided in the Tour Destination table. e. Set up suitable primary keys and relationships for your tables. f. Perform the following queries i. List the parents names, addresses and telephone numbers from a particular parish. (PARISH QUERY) ii. List the parents title, name, address, parish, participant s name, activity and number of tours for all participants. (MAILING LIST) iii. List the names of participants who will be attending the tour to Harrison Cave and not enrolled in sailing. (TOUR QUERY) iv. Display the number of participants attending each tour. (TOUR COUNT QUERY) v. Display the tour fees paid by each participant. (TOUR FEES QUERY) g. One of the parents has decided to withdraw their child (or children) from the camp. Delete the records from all tables to reflect the changes required. h. Create a report which details the Camp ID and names of the participants attending each tour. Group the data by tour destination and sort in ascending order of the last name of the participants. Display the number of persons attending each tour and the sum of money to be received for each tour, with an overall total sum of money for all tours. Give your report a suitable title and ensure that all the required data is clearly displayed. Information Technology School Based Assessment Page 5
6 Word Processing The organizers would like to send correspondence to each the parent and guardians which contains the activities and the number of tours for their registered campers. You are required to perform the following a. Design an attractive letterhead for the camp organizers. Include the use of suitable graphics and fonts b. Create a letter which will provide detailed information about the camp. The letter should include the starting date and duration of the camp, a description of the activities being offered and a schedule of the upcoming tours. Ensure the body of the letter uses singleline spacing. c. Create a form to be used to verify the registration data of the camp participant. d. Use mail merge fields from the database in the addressing of the letter to parents and in the form for verifying the applicant s registration data. e. Design an attractive flyer which advertises the camp and incorporates the use of graphics, different fonts, font sizes and newspaper style columns. Use 0.5 margins for the flyer and include as a final page to be sent to the parents and guardians of camp participants. f. Use the word processing mail merge facilities to prepare documents to be mailed to the parents and guardians of the camp participants. Information Technology School Based Assessment Page 6
7 Project Submission Guidelines You are required to submit the following: 1. A cover page showing candidate name, candidate number, educational institution, territory, date submitted Each application MUST be submitted in a separate folder. 1. All spreadsheets, labelled to indicate the data being shown on each worksheet 2. Worksheet with the graph included 3. Worksheet showing all formulae used to develop each worksheet 4. Database tables each labelled with the name of the table 5. Screen image or documentation page showing the structure of the tables. 6. Screen image showing relationships between tables. 7. All query results with the corresponding screen image of the design view of each query. 8. Reports generated showing all data clearly. 9. Word processing primary document including field names as inserted for mail merging. 10. The secondary file listing all field names and data used for the mail merge. 11. Print the 1 st, 3 rd, and last letters. That is, no more than three mail merge letters each with form and advertising flyer should be printed. Information Technology School Based Assessment Page 7
