1 JOB VACANCY AT EIT FOOD JOB TITLE: Event Manager, CLC North-East (Warsaw) European Institute of Innovation and Technology (EIT) Food is a young and fast growing organisation focusing on entrepreneurship and innovation in the food sector. EIT Food is a start-up but has characteristics of a multinational and is operating in a European and international environment. The members of the EIT Food community are worldclass players in the international food domain. JOB DESCRIPTION: The Event Manager will manage and deliver a programme of high-quality events implementing the strategy of EIT Food and providing the full spectrum of events management support. In addition a portion of this role will be to support the CLC director in selected regional communication tasks. JOB AND CONTRACT TYPE: Full-time and unlimited duration. LOCATION: She or he will be based at the EIT Food Co-Location Centre North East (Warsaw, Poland). Occasional travel (20-30% of time) within Europe can be expected. Please note that despite the job location in Warsaw, command of Polish language is not required and candidates from other EU member states are encouraged to apply as the position will have pan-european responsibilities. Candidates from other countries will be required to work from EIT Food s office in Warsaw, no relocation bonus foreseen. MANAGER/SUPERVISOR: For day-to-day operations you will report to the Director of the Co-Location Centre (CLC). Your functional reporting line (according to the matrix organisation of EIT Food) will be the Functional Director of Communication at EIT Food Headquarters. 1

2 EXPECTED START DATE: The expected starting date is in the first quarter of 2018, depending on the availability of the selected candidate. MAIN DUTIES/RESPONSIBILITIES: You will execute pan-european communication tasks related to EIT Food and at regional CLC level On pan-european level your focus will be on: Deliver a programme of high-quality events related to the implementation of EIT Food s strategy (partner/business events and consumer events), providing the full spectrum of events management support including: sourcing and booking venues; liaising with partners, liaising with suppliers; event programme and formats, helping to source speakers; briefing speakers; communication with invitees, and evaluation. Manage the design and production of promotional materials/displays/stands, ensuring events consistently project the EIT Food`s brand and convey messages, which are relevant to the specific audience. Work with the EIT Food s management team and key internal stakeholders to shape the events. Ensure events meet the strategic aims set and are delivered on-time, on-brand and to budget. Reconciling event costs with invoices and the budget. Manage event-related agencies, develop agency briefs, evaluate cost estimates and supervise pricing agreements ensuring value for money, in accordance with procurement procedures of EIT Food as well as funding modalities of EIT/Horizon 2020 programme. Event reporting: measure and evaluate the events and write recommendations for following events. Day to day management and execution of events calendar EIT Food. Advise CLC directors from various regions and functional directors in EIT Food s headquarters on their events attendance. Review presentations, ensuring brand consistency. Work as part of a wider communication team. Strong interaction with community officer. Provide live content to community officer during events. Identify and keep up-to-date with event management trends, tools and technologies. Identify opportunities to promote EIT Food s activities. 2

3 Actively liaise with other EIT Food headquarter functions such as Innovation, Business Creation, Education, Finance, Operations, and Communication. Actively connect with Program Managers from Innovation, Business Creation, Education and Communication to ensure the effective and efficient delivery of the EIT Food Business Plan. Work closely with the the other members of the communication team. Support on ad hoc basis in other areas of communication when required. On regional level: Tactical support in regional communication activities of CLC North-East, in cooperation with the CLC project manager and the team of experts working on the implementation of EIT Food Regional Innovation Scheme. KEY SKILLS AND EXPERIENCES: Qualifications Bachelor or higher degree in communications, public relations, media studies, marketing and/or related fields. Professional training in integrated marketing communication, event management, media relations and/or project management is a clear asset. Experience At least 5 years of proven experience in planning, organizing and running successful corporate events, conferences, VIP dinners, roadshows and/or exhibitions for events involving local and international stakeholders. Experiences in organizing events in various countries will be a plus. Experience in planning, organizing and running successful consumer event will be a plus. Experience of managing events agencies and suppliers to deliver excellent results and value for money. Experience with media relations is a plus. Proficiency across MS Office (Word, Excel, Outlook, PowerPoint) and MS Project (or similar project scheduling tools). Experience with social media is an asset. Working knowledge of managing budgets and time schedules. 3

4 Knowledge of the Agri-Food sector or EIT will be a plus. Skills and behaviour Very good knowledge of English, professional oral and written communication skills (despite the job location in Warsaw, command of Polish language is not required and candidates from other EU member states are encouraged to apply as the position will have pan-european responsibilities). Team player, organised; proactive, service-oriented and capable of multi-tasking. Ability to work in a matrix-organisation, ability to work both independently and in small (multi-national) teams.
