1 ASCN UK AGM Meeting Minutes Date: 10 th September 2018 Time: 13:15 13:45 Venue: ICC, Birmingham 1. Apologies for absence The following Area Reps had previously sent their apologies by sent to committee on 23 rd Aug; Emma Maltby, Sarah Ashworth, Vicky Preece, Katy Timms Iris Williams, Nicola Payton, Mary Quigley, Carol Katte has stepped down from Surrey. Mary Kane has also stepped down from NI. 2. Minutes of previous AGM No amendment requested, therefore accepted as a full and complete record. 3. Matters arising None were stated 4. Chair s report from Maddie White For the full ASCN Committee Member reports please see the website. Delegate numbers attending this year s ASCN conference; there were 188 delegates with nurse in their title. In total 473 attendees. This is a very good start that many have alluded to in light of the recent changes in funding. ASCN has provided representation at the National IA AGM and UA meetings and at Purple Wings Annual Dinner. As part of their role the Area Reps are very active in representing the ASCN. Maddie White as Chair and WCET ID and Wendy Osborne attended WCET in Kuala Lumpar earlier this year and negotiated WCET 2020 Joint conference to be held in Glasgow. The BJN awards were held earlier this year and Stoma Care Nurse of the Year went to Jacqui North. The website has had changes this year and more will be undertaken. ASCN UK will have a Facebook page effective from 2018 and Andrew Bird, SCN from Nottingham will give a brief presentation on this. The Band 6 and 7 competencies were completed and available on the ASCN stand for delegates to take away. 5. Vice Chair Report from Angie Perrin Constitution; All members were sent out a revised copy of ASCN 2018 Constitution (updated from ASCN Constitution 2012) in July and asked to read and comment. There were several comments. These comments were actioned, the amended ASCN 2018 constitution was then subsequently sent out again for voting. The response was overwhelmingly positive, only one negative. The Clause 23a
2 administrative anomaly was highlighted which has since been rectified and is back to its original wording detailing one fifth as opposed to two thirds. The Charity Commission confirmed they were happy that we were progressing this administrative anomaly correctly. The ASCN UK 2018 Constitution has been accepted by the majority of its members that voted. ASCN and WCET Conference -we are collaborating with the WCET for Conference in 2020 which will be held in Glasgow, Scotland. Membership survey - very positive, 87% stated they had attended conference. 86% had the clinical guidelines and found them useful to underpin their knowledge and use as a reference tool. Full results are on the ASCN website. 6. Honorary Secretary Report from Jackie McPhail Thanks go to Simon Turley, previous Hon Secretary, the secretary handover. ASCN Committee colleagues were thanked for their warm welcome and support. The Area Reps were thanked stood up to identify themselves in the meeting. They have assisted enormously with the Area Rep meetings and supporting ASCN committee during the past year. Area rep meetings took place in March and on 5 th July, where the 70 th Anniversary of the NHS was celebrated with a cake and balloons. The Area reps are very important in raising the profile of the ASCN. ASCN will continue the strategy of including the Area Reps with activities, policies and reviewing guidelines going forward into The Honorary Secretary s full report is on the website. There are two vacancies as two Area Reps stood down, Carol Katte from Surrey area and Mary Kane from Northern Ireland. Delegates were asked if they wished to get more involved with opportunities with the ASCN and to contact the Honorary Secretary. 7. Education Update from Wendy Osborne Education Officer The full report is on the website. ASCN Standards have been reviewed and accredited by the RCN once again this year. ASCN has worked with the Paediatric nurse group PSNG so that it covers from cradle to older person. Clinical Guidelines - first phase has been very well evaluated. The second Phase has been delayed in the printing. They have been peer reviewed and Simon Turley has been a real support in doing this and the Phase 2 Guidelines will be with members very soon. Urology Masterclass was well attended and evaluated, delegates derived a lot from it. The BJN stand has a digest or summary of the Masterclass presentations, available for members. ASCN Committee and Area Reps have worked hard to raise our profile and worked with other areas such as the London Nurse Conference in the past, which was not held this year. Opportunities to raise the profile of ASCN are important. ASCN project work is important and the Parastomal Hernia Project is ongoing.
3 A future will be convex product guidelines, which will be put together and picked up on next year. We would like to expand our Guidelines into Sexuality and Dementia in line with our workshops. Mark Allen and BJN have been very supportive and ASCN wish to continue this relationship. It is important to continue sharing best practice, to document it, raise ASCN profile and members receive three free copies of the BJN each year. Delegates were encouraged to put their articles forward. 8. Treasurer s report from Gill Little Financial data shared to demonstrate ASCN UK account balances as at 31/03/2018, as of the end of the tax year which was 31 st March 2018, our balance in collective accounts was 300, ASCN UK are in a good shape as a charity financially. In terms of attending conference this year extra challenge was anticipated due to EucoMed/ MedTech changes. Industry has been supportive again this year and ASCN UK are very grateful for their ongoing commitment to the organisation. In terms of nurses accessing funding for conference, there are a slightly lower number of nurses attending conference this year. All of the committee have provided verbal assistance, telephone assistance to both nurses and finance departments of NHS Trusts to assist members in attending conference this year. Additionally, the BHTA guidance released in 2017, which has been useful for many, has been used and distributed. More recently a leaflet was placed on the website entitled Funding made easy. ASCN UK are in a learning curve, however with the experience this year, it will get easier going forward. Jean Preston Fund A sum of 10, was put aside to support nurses applying for a bursary. 15 applicants were supported. No one was turned down. 100% of applicants received registration funding. All applicants have received a contribution towards travel and accommodation. ASCN UK was able to support Supun Prageeth from Sri Lanka in attending. The structure to the Jean Preston Fund will be reviewed annually going forward. 9. Alison Crawshaw, Treasurer and Laurent, Vice President of WCET International presented on behalf of the WCET They were very excited to inform members regarding the WCET collaboration with ASCN UK in 2020, and look forward to seeing all ASCN members in Glasgow for this special event. The programme will include Stoma Care, Continence and Wound Care. In 2018 this year WCET are celebrating a 40 th Anniversary and a commemorative book has been created which is now online for members. In 2020 WCET will have two birthdays to celebrate. The 100 th Anniversary of Norma Gill. Also it will be the 40 th Anniversary of the WCET Journal which has changed somewhat over the years. If members want to know more about Norma Gill there is free access to a webinar also a You Tube link. Next year there will be a more scientific approach so there will be some changes to the Bulletin. WCET promotes educational programmes worldwide and will develop educational materials and then validate and devise programmes in Asia, Africa and developing countries. The UK has use of skills and
4 educational resources that other places do not. WCET feel there is a responsibility to share this knowledge and to help the developing countries. WCET educational programmes have positively affected 1000 s of people worldwide, via NGF scholarships both for membership scholarships, educational material as well as travel to congress. The ET Net programmes are Scholarship driven as well. Also publications are available on the WCET website and on the stand at ASCN UK Conference. Membership changes - the fee will be at the same time each year and the fee is pro rata for the first year, dependent upon when membership taken. You can pay for one, two, three or four years for access to all WCET benefits. Chair Maddie White added encouragement for members to join WCET. Members will get a huge amount of benefits from it even from having the journals as part of their membership it is a very valuable resource. 10. ASCN UK Facebook Page - Andrew Bird, SCN Nottingham Andrew has been instrumental in setting up a closed Facebook page for ASCN UK members with support and approval from the ASCN Committee. The aim is to have a place where members can discuss honestly and openly things that are proving to be problematic or even sharing good practice. So that we can all learn and develop as a group and enjoy a valuable resource for all involved. It is to be for SCNs only. Getting to the group is a bit more difficult than going onto a regular page. There is an address fbgroup@ascnuk.com members should use their work address to enable validation that it is a SCN applying. If members provide name, job title and place of work, also Facebook name which may be different. And the address linked to the member s Facebook account because ASCN UK cannot send a link to members work accounts to allow access to the group. Once submitted an invite will be sent out to the address given to give you instant access to that group. Chair Maddie White added that there were flyers on the ASCN stand if members want to go and pick one up. In terms of embracing new technology for the future this is a really good way of moving forward and builds relationships because that is what it is about. Members will have access to all the other SCNs, previously unknown to them. 11. Chair Maddie White acknowledged the contribution of members standing down: Carol Katte is going to retire and step down as Area Rep for Surrey. Carol has been a SCN in Chertsey in Surrey for many years, and had played valuable roles in both WCET UK and ASCN UK, including Hon. Treasurer. She has more recently been an area rep. ASCN UK wished her all the best for the future. Gilly Tomsett was a previous vice chair of ASCN UK and was thanked for her support. Gilly qualified back in 1984 and is currently a Stoma Care Nurse in Reading. Her latest project was managing granulomas with cautery and subsequently her team have set up a community clinic enabling community nurses to do that. ASCN UK wished her all the best for the future. 12. ASCN UK 2019 Date and Venue Next year ASCN conference is in Wales, at the new ICC in Newport, near the site of Celtic Manor, Sunday 15 th -Tuesday 17 th September The AGM will be held on Monday 16 th September AOB There will be a vacancy on the committee next year as Wendy Osborne is stepping down from her role as Education Officer. Communication on nominations to fulfil that role will be circulated at the
5 beginning of ASCN UK wanted full members to consider doing this very rewarding and busy role. Wendy is more than happy to discuss this and give more information about it. Q1 from Judy Pullen; In the constitution it says with regard to the Vice Chair while there is a need, can I ask when will there not be a need? A from Maddie White, Chair and Angie Perrin, Vice Chair; There will be a need when both the Chair and Vice Chair is finishing their term of office at the same time. As the Vice Chair they have the prerogative of moving into Chair and whoever that person is will already have had 4 years experience in that role so in that situation we would not need a shadow chair. Q2 from Judy Pullen; It has previously been a condition that it had to be an NHS nurse to take office as Chair although it is not written in the constitution, is that correct? It was in the 2012 constitution. A from Angie Perrin; Yes it was but has been deleted out of the constitution, we felt that we are all nurses; we all work ethically to the NMC it does not really matter who our employer is. Greeted with applause from the audience. Comment from Judy Pullen; I am the associate editor for the WCET and we are always looking for articles, I would like to encourage people to send these in. Q4 from Zarah Perry-Woodford; September seems a really busy month for conference. Why was it changed from October to September? A from Maddie White; It was availability, there are very few venues across the country that will hold the numbers that we need, and some of these venues are booked up 3-5 years in advance. No other business meeting concluded at hours.
