2 DataLink Alcon Edition This is a web-based program, which means that - You do not have to install or update any software - You do have to remember - The link to find the software: - Your login information (provided by SurgiVision ) - You can access it from any up-to-date online computer Firewall and network must allow access - You will need a HIGH SPEED Internet access to use it effectively - Data are stored in a central server - All transactions are logged to protect the data - Data are encrypted with banking-level security

3 SurgiVision i Home Page The DataLink Alcon Edition sorts at the top of the list of programs Click Data Entry and Surgical Planning to enter the program

4 DataLink Alcon Edition Functional Requirements Microsoft Internet Explorer Version 6.0 or higher If using proxy server, must enable access to Enable popups p p for this site High speed internet access

5 Popups MUST be enabled to use this program!

6 Encryption Key All data sent in DataLink use secure socket layer like banks Patient-identifying information is encrypted before being sent, using your Key These data are stored encrypted in the servers Patient names are not unencrypted privacy is ensured

10 Language / Format Settings Your language setting for Internet Explorer determines the format for dates and decimals Use Internet Explorer to modify your language settings. Go to: Tools / Internet Options / General Tab / Languages

12 Making DataLink Work for You DataLink will SPEED your clinic, not slow it down Surgical planning is faster and more accurate using DataLink Enhancement rates can be significantly reduced, saving a great deal of time The one potential slow-down is data entry This can be minimized using the Summary Data Entry Form provided d with the program under the Resources tab It is also available at net

14 DataLink Summary Data Entry Form This form captures all the information required for th program and the d iis designed to speed up data entry Complete p the form as the patient goes through the system and batch enter data from the forms, NOT from the charts Doing this avoids having to pull charts to enter data The form can be quickly completed as you see the patient saving time!

17 Add a new patient The information at the top of this form is required for all patients Chart numbers must be numeric (no letters) The Disposition box is used to indicate patients t that are lost to follow up Click this box to de-clutter your patient list This does NOT remove the patient from the database Use your normal date formats (MM/DD/YYYY or DD/MM/YYYY) based on your browser settings

18 Add a new patient The Asterisks (*) indicate the fields are required fields The information at the bottom of this form is optional Use the Add Buttons to customize the list with your own items This occurs throughout the program

20 Add a new patient Once you have finished, click Save Patient The record is NOT SAVED until you click this button!

21 Add a new patient Once the record is saved, the form appears gray Click Edit Patient to re-activate the form After the patient has been entered, click Add OD Preop or Add OS Preop to enter preoperative information

22 Add a preoperative exam A summary of the patient information appears at the top of all data entry forms All data entry forms allow for Summary Exams to minimize data entry requirements Uncheck this box to enter additional information, if desired

23 Add a preoperative exam The Cohort box is used to categorize patients into groups Leave as General unless otherwise instructed by the surgeon

24 Add a preoperative exam Dates can be typed in or selected from the pull-down calendar throughout the program

25 Add a preoperative exam BSCVA stands for Best- Spectacle Corrected Visual Acuity and is the vision obtained after refraction Enter the number of letters seen on the next line (or missed on the BSCVA line) in the BSCVA Partial field

26 Add a preoperative exam After you click Save Preop the program will display the saved information in Gray format Click Edit This Preop to edit the saved information You can now create a Surgical Plan or add a Treatment for this eye Or Enter a Preop exam for the other eye

27 Surgical Planning Surgical Planning recommends nomogram adjustments to the laser programmed amounts Training for Surgical Planning is provided in a separate tutorial Surgical Planning requires considerable insight and should only be performed by surgeons!

28 Add a treatment record The Treatment records how the surgery was performed Click Exclude Eye from Nomogram if the surgeon wants to keep the eye from affecting future treatments : - This is usually checked if the eye experienced a complication during surgery - The eye will still appear in outcomes reports

30 Add a treatment record The Programmed Amount is the actual treatment entered into the laser The Target is the expected result for the patient: - Usually 0 for sphere and cylinder - Set the sphere target to a myopic amount for monovision, E.g., D Only enter the Q target if Custom- Q is used for this eye (outside the USA)

31 Add a treatment record After the target has been entered, click the button to Update List of Treatment Profiles This loads the box with appropriate treatment profiles for this eye

32 Add a treatment record Temperature and humidity are required fields The temperature scale (Celsius or Fahrenheit) is set under the Surgeon Preferences on the Home Page

33 Add a postoperative exam Postoperative records are fairly simple You can enter more information by un-clicking the Summary Exam when checked box

34 Locating patient records Click Locate a Patient to find saved records

35 Locating patient records Click a letter on the alphabet to find patients by last name Enter information in the search boxes to locate specific records Searches are not casesensitive Click a column header (such as Name or ID ) to sort the display You can print the list by clicking the Printable List button

36 Locating patient records Once you locate the record, click Select to load the patient s data

37 Locating patient records Advanced Search The Advanced Search option allows you to locate eyes by surgeon, treatment date, Outlier status, Missing Exam status, etc. Click the plus (+) sign by the patients name to view detailed information

38 Locating patient records Advanced Search The Detailed view shows information about each exam and allows you to validate Outliers Click the View button next to the patient name to bring up the patient s exam records

39 Reports Clicking the Reports button opens the secure outcomes reports page The surgeon s login is required to view outcomes reports!
