Here is some important information about the trip and medical forms to return to us please. Outstanding Payments The final trip payment is due on the 3 rd November 2015 and it is important that any other outstanding amounts are paid ASAP please. Please let me know immediately if this may present you with any problems. Information Evening The all-important evening meeting for pupils taking part in this trip, and their parents, will take place at the beginning of next term on Thursday 21st January Further details are attached. Clothing and Equipment List To give you as much time as possible to acquire the required items, I have included a list of essential clothing and equipment overleaf. It may be possible to borrow some of these items and others might be considered as Christmas presents. Your child should come to see me if you need any further advice about clothing or equipment at this stage. Additional information and advice will be provided at the evening meeting in January. Ski Helmets The guidance from East Sussex County Council, the Local Authority concerning the wearing of ski helmets on school ski trips, is that all pupils are required to wear a protective helmet on ski trips organised by East Sussex Schools. Helmet hire is included in the cost of the trip and helmets will be provided and fitted in resort. If you wish to make other arrangements, suitable helmets can be purchased or hired from the suppliers detailed on the Clothing and Equipment List. Protective helmets designed for other activities, e.g. cycle helmets, cannot be used.

4 2016 Ski Trip: Parents Meeting Thursday 21 st January 2016, 6.00p.m. School Hall Dear Parents As part of the final preparations for the 2016 Ski Trip to Champoluc in February we would like to invite you and your son/daughter to an evening information meeting at the College. At this meeting we will give you further details of the resort and provide you with information on insurance, travel arrangements and further advice on clothing requirements, if required. There will also be a chance to chat informally with staff about any questions you may have concerning any aspect of the trip. Pupils are not required to wear school uniform for this meeting. We also use this evening to collect some important information and documents. Please bring to the meeting: completed pupil details forms (attached) pupil s passport and European Health Insurance Card (if they will not be needed before our departure date)* * If your son/daughter does not hold a current passport (i.e. valid until March 2016) then it is important that an application is made without delay. The European Health Insurance Card (EHIC) is replacement for the old E111 form. This may sometimes save you the 65 excess on the insurance policy if a claim should need to be made. The EHIC may be obtained most easily by completing the on-line application form on the Department of Health web-site ( Alternatively, full details and application forms may be obtained from any Post Office. We look forward to seeing you at this important meeting. Should you not be able to attend, please provide the passport, EHIC and pupil details forms as soon as possible after 21st January. 7 CLAVERHAM COMMUNITY COLLEGE SKI TRIP 2016: CHAMPOLUC Pupil Details Form (2) - Analgesics Pupil's Name: ANALGESICS PERMISSION Dates: 13 th February 20th February 2016 We require written permission and instructions from parents with regard to the administration of all non-prescribed drugs including analgesics (painkillers such as paracetamol, aspirin and ibuprofen). Parents must also supply us with any such drugs to be administered. If you wish your child to be able to take any analgesics whilst away from home you must complete the section below and provide us with a reasonable supply of the chosen analgesic clearly labelled with your son/daughter s name. It must be emphasised that: - Teachers will not administer any analgesics without this completed form. - Any drugs that are to be administered to your child must be handed to the nominated member of staff. I understand that in addition to skiing these may include: cinema visit bowling shopping ice skating visit to local pizzeria Pupils will be supervised at all times whilst on the ski slopes. They will take part in ski lessons organised by the local ski school and will ski at other times with groups supervised by Claverham staff. Whilst every effort is taken to ensure the safety of pupils it must be appreciated that there are risks associated with all activities and it is therefore impossible to 'guarantee' pupil safety. Pupils will be allowed to undertake unsupervised trips to the village at certain allocated times. They must always seek staff permission before leaving the hotel/apartment building. I have ensured that my child understands that it is important for his/her* safety and the safety of the group that any rules and any instructions given by the staff in charge are obeyed. I understand that while the school staff and helpers in charge of the party will take all reasonable care of the young people, unless they are negligent, they cannot be held responsible for any loss, damage or injury suffered by my son/daughter* arising during or out of this journey. In the event of my child being taken ill or injured during the period of the trip to the extent that emergency dental, medical or surgical treatment, including anaesthetic or blood transfusion becomes necessary, I authorise the member of staff in charge to sign on my behalf any written consent as required by the medical authorities.
