1 2017 Project Service to Others Program The Program Each year in September the Provincial Project Service to Others Committee reviews Project Applications submitted by some or all of its 48 Districts (Ontario and B.C.) How the Program Works At the District Level 1. Project Service to Others Applications are first submitted to local RTO/ERO Districts for consideration not to the Provincial Office. 2. Local RTO/ERO Districts hold District Executive meetings, review all requests and select one for approval. A District RTO/ERO member prepares and submits only one application to the Provincial Office of RTO/ERO by the close of business on June 20 (4:30 p.m., Eastern Daylight Time) for consideration by the Provincial Project Service to Others Committee when it meets in September. Program Aims and Objectives To provide financial assistance (to a maximum of 4,000.00) to education-related and/or other community projects. To contribute to a variety of projects and thereby raise the profile of RTO/ERO by demonstrating to active teachers, other educators, and to the public that RTO/ERO and its members care about their communities and about public education, and are willing to help others who need assistance. To provide a means by which RTO/ERO members can participate in education, social and/or community projects. To promote District/Unit participation in local, provincial and overseas educational/community projects. To raise the profile of RTO/ERO and its members, including retired teachers, other educators, and educational support staff. To demonstrate to the general public that RTO/ERO members continue to serve after retirement. To demonstrate to potential RTO/ERO members that RTO/ERO is a dynamic organization to which they should consider belonging when they retire from active teaching. Page 1
2 Types of Projects The following is a list of examples only and does not preclude other types of projects: Local Heritage and cultural projects. Support for initiatives from First Nations communities. School day care for the children of single teenage mothers. Special arts and education programs for children. Physical activity/sport. Support for the disadvantaged. Visitation/support programs for shut-ins. Support for group homes. Support for initiatives in developing countries. Crisis centres. Medical and social programs for the needy. ESL, literacy and numeracy programs. School dropout programs. Role of the Provincial Project Service to Others Committee The Project Service to Others Committee at its meeting will review all applications received from RTO/ERO Districts and make recommendations for funding to RTO/ERO s Provincial Executive. The Committee s funding recommendations are based on the following: The application was received at Provincial Office on or before the deadline date. The project is new for the District and has not received funding from RTO/ERO in the past. The project meets the Program s Aims and Objectives. A District RTO/ERO member(s) prepared the project. There is evidence of involvement of a good number of members. The Expense Report is detailed, complete and expenses are supported by quotation(s). Other Expenses (if applicable) are listed. Other participants and amounts pledged (if applicable) are listed. Application content: All questions have been answered and there is sufficient information about the project for the Committee to make an informed funding recommendation. Page 2
3 RTO/ERO District Information 1. Please note: The Project STO Application Form is updated yearly and projects that are submitted on any application form other than that for the current year, will be returned and will not be considered. 2. The Application requires approval and support of the District Executive at its meeting first. 3. A project will be funded only once. Projects that are extended or are ongoing must find other sources of funding to continue. 4. Applications from individual RTO/ERO members or organizations will not be considered. 5. Attachments shall be limited to a maximum of five double-sided pages, in addition to the application itself. Items such as books, pamphlets, cd s, dvd s, that are in addition to the five double-sided pages will be returned or destroyed. 6. The funds may NOT be used for honoraria, wages or mileage. If transportation is necessary for students and cannot be funded by any other group or organization then the Committee will consider it. Also if labour requires a specific technical expertise then it will be considered, for example, furniture building or video production 7. Eligibility If a District has received funding in the previous year and wishes to be eligible to apply for funding for this year or future years, given that the previous year s funding was awarded on the understanding that the project funds would be utilized within a one-year period, in order to be eligible to submit an application for consideration, a District must comply with the following reporting schedule: If all funds for your last year s project have been utilized, a District must submit a Final Project Feedback Report on or before March 2, If partial funds have been utilized, a District must submit an Interim Report on or before March 2, 2017 and a Final Project Feedback Report on or before October 2, At a meeting of the District Executive, the Executive will select one project for recommendation. In lieu of the District President signing the District Declaration, the District President will gknox@rto-ero.org at Provincial Office and confirm the District s project choice. 9. After verifying that the Project Feedback Form for the last approved project has been submitted to Provincial Office by the District, the completed application must be forwarded to and received by the Provincial Office by the close of business (4:30 p.m., Eastern Page 3
4 Daylight Time) on June 20, 2017 to be considered by the Project Service to Others Committee at its meeting in the Fall in one of the following ways: Regular mail 3. Hand delivered 4. Fax: Applications received after the deadline date will not be considered. The decision of the Project - STO Committee is final and not subject to appeal. The Project Service to Others Committee will meet in September to consider applications for funding. Once the Provincial Executive reviews the recommendations of the Committee, the Chair of the Project Service to Others Committee will inform the President of the District. Page 4

Brief Overview of Project [5 Points] Project Commencement Date: October 1, 2017 Project Completion Date: March 31, 2018 Location: Seniors Centre, YZ Town, ON Overview of Project In less than 250 words write a summary of the community or educational project. Seniors in our community have a growing interest in using technology to communicate with family and friends. As they become familiar with technology and the use of smart phones, and tablets, etc., they recognize the value of these tools to keep in touch with their immediate family and with friends. There is a growing interest in learning the ways to make the most of these devices. Some of our members have skills in technology and are willing to share these with others. Our local seniors centre is prepared to provide space and internet access for the training sessions that would be available to seniors from the community. Through the project, 6 laptop computers would be provided to the centre for this project. The centre will manage the security and upkeep of the laptops and use them, as they deem appropriate. Internet is provided for members of the Senior Centre. Classes will be arranged. District members will give tutorials to teach others the skills needed to communicate using technology. The laptops would be available for individuals at others times for personal use within the current regulations for all members using the Senior Centre. They will be secured in a locked room with access to an individual who signs in at the Centre. Members can also bring their own devices and hook up to the Internet while there. The project will begin in October, if accepted and the monies awarded are received. It will run on an ongoing basis until April, Classes/information sessions will be run twice a month along with one-to-one training. It is hoped that the program will continue beyond the project timeline. Page 8
9 Project Information Describe how your project meets the goals of Project Service to Others by answering the following questions: Question 1 [5 Points] Describe how this project will provide financial assistance (to a maximum of 4,000.00) to education-related and/or community projects. Some seniors have the desire to learn computer skills but lack the money to buy a computer and pay for lessons. Others are unsure about how useful having access to technology will be for them. RTO/ERO has the goal of improving the lives of members and seniors. This project will enable all seniors who wish to become computer literate to have that opportunity through the purchase of 6 laptops to be located at the community senior s centre and the support of scheduled opportunities to learn to use technology in their lives. The Service to Others Committee of three RTO/ERO members are involved in exploring projects and making a recommendation of a project to the executive. They support the Convener with the project and the reports. One member will be responsible for the advertising in the community. Another member will collect feedback from participants and volunteers in the program to be used in the final report on the project. Our Webmaster has formed a committee of six volunteer members of our District with technology skills and interests who are willing to teach computer skills to seniors at the centre. They are preparing a list of tutorials to be offered in the Fall on topics such as using Skype to keep connected, using , using Facebook and Twitter, researching on the web, etc. An effort will be made to involve other members as computer buddies to assist visitors to the computer centre at the Community Seniors Centre. Organizing meetings for volunteers will be held at the beginning and mid point in the project timeline. Page 11
12 Question 3 [5 points] Describe how this project will show the general public that RTO/ERO members continue to serve after retirement. Show how this project will demonstrate to potential members in the education community that they should consider belonging to RTO/ERO now and/or when they retire. Some Examples Demonstrates that RTO/ERO: continue to serve in a volunteer or leadership capacity after retirement; are visible in the community; is committed to important issues/causes; supports children and their development; cares about public education; is a vibrant community-oriented organization that affects world and community change. Through the general announcements that will be made, both in the media and through the Senior Centre, the public will be made aware of the contribution that RTO/ERO is making to the seniors in the community. The local newspaper will cover the initiation of the project. The news of this project will be broadcast through the school system. Flyers will go to the schools encouraging the teachers to become involved with the project, either by volunteering or signing up their parents and relatives who might have need of these classes. In this way teachers will see that retired teachers from RTO/ERO continue to serve their community after they retire. Information will be placed on our District website and on the Seniors Centre website. Our newsletter featuring articles about our Service to Others Project will be delivered to each school. We are introducing the use of YouTube videos and their links in our flyers, on our website and in our newsletters. We will post videos of events related to this project. Page 12

Some Categories to Consider Literacy Health, Safety Arts Enrichment Community Outreach Partnership Building Appreciation for the environment Early Years intervention Community Impact Sustainability Senior Awareness Promotion of Culture Assistance for the Disadvantaged or those in need The educational aspect of this project gives our members and other seniors an opportunity to help themselves to become computer literate and to use these skills to connect with others. These skills are valuable tools for all seniors to have. The benefits to the community will be seen as the project unfolds. As the seniors become more computer savvy they will be able to participate within the community in many ways. They will find ways to integrate technology into their personal lives. Today there is a great emphasis placed on communicating via technology. Also this project will enable technologically skilled seniors to take part by using their skills to help others. The social benefits that will come with this project include the ability of these seniors to meet and mingle with all of the other seniors taking the classes. As well they can extend their contact with others through the use of technology. Page 13

Community How will the District and the partner agency/organization, if appropriate, publicize the project to the community? It will be advertised in the local newspaper, through the school internet communication system and flyers to all the schools. These flyers will also be put up in the senior centre, at the local libraries and advertised through the senior centre s bulletins. On each laptop a sticker will be placed identifying the RTO/ERO donation to this project. Copies of our Newsletter are distributed to all schools three times a year. There will be a feature highlighting the project with each issue. Information will be posted on the Seniors Centre website and in their program Page 14
15 brochures. Links will be provided for our Facebook page and website. YouTube videos will also be linked District How will the District publicize this project to their members and their community? The District, in its Newsletter, will write an article about the project with photographs of the project. At the fall District event, a presentation of the Project along with a cheque presentation will be made. Pictures will be taken and posted on the District's web site. Updates and ongoing news will be announced on Facebook and at all of the District functions including the Holiday and Spring luncheons. The District will also bring a display about the project to Senate. Information, including our YouTube videos of related events, will be featured on our website and in each issue of our District newsletter. From this discussion meetings were held with our District PSTO Convener and the project details were developed. We have identified the members involved in the project in the answer to Question 2. Since many of our members are involved with this senior s centre we look forward to the successful undertaking of this project. Page 15
