Be recognized! Enter your product(s) in the National Association of Government Communicators 2017 Blue Pencil & Gold Screen (BP&GS) Awards Competition. This annual international awards program recognizes superior government communication products and those who produce them. Enter as many categories as you choose the number of opportunities to share your best work, innovation, creativity and use of technology may surprise you. The following examples show the range of opportunities in the more than 40 categories: Publications Media elations Photography Graphic Design Video, Multimedia Electronic Communications Social Media Branding/ebranding Infographic K-12 Educational Programs One winner will be awarded Best in Show! 2 2017 Blue Pencil & Gold Screen Awards Call for Entries Entry ules The production timeline is now 18 months! Only entries produced by or for a government organization between July 1, 2015, through December 31, 2016, are eligible. Non-English entries must include a complete English translation. Entries must be postmarked or date shipped by: December 23, 2016 Early Submission Deadline January 27, 2017 Extended Submission Deadline Use the Entry Checklist on page 3 to be sure you ve included all required information. Electronic entries must be submitted in a format that can be accessed from any computer. Entries located online must include an active UL accessible for the entire judging period. If entry requirements are not met, entries will be disqualified and entry fees forfeited. Description forms that are longer than one page may be disqualified. Budget information is required for all entries except in categories 4, 11, 13, and 42. Entry Fees One Fee Form for all entries. Discounted Member Fees apply only to NAGC members who had substantial input into the preparation or production of the entry and are listed as a contributor on the Entry Form. Nonmembers: Join NAGC when you submit your entries and pay the member entry fee(s). 3 2017 Blue Pencil & Gold Screen Awards Judging Process Awards include: First Place Second Place Award of Excellence Call for Entries A Best-in-Show Award will be selected from the First Place winners and presented at the Awards Ceremony. Each entry is evaluated by a team of at least two judges chosen by the BP&GS Awards Committee. Entries are judged on all applicable criteria, which may include writing, editing, content, design, illustrations, printing, purpose, dissemination, cost effectiveness, video/graphic quality, script, visual style, direction, innovation and overall impression. Judges will carefully consider your one-page description that includes, where applicable: purpose, goal or objective, target audience, cost effectiveness, budget information (required for all entries except for categories 4, 11, 13, and 42), determination of success, and special factors (size of staff, constraints, development time, etc.). It is important when you write your nomination to follow the criteria listed on the Entry Checklist. Judges reserve the right to refuse granting awards in any category where there are insufficient qualified entries. Winners will be notified prior to the presentation of the awards at NAGC s annual Communications School, June 13-15, Use this checklist to ensure you have included all necessary items for each entry. Entry may be disqualified and fees forfeited if all required components are not submitted. Entry Checklist Three (3) copies each: All entry components One-page description containing the following information: 1. Purpose, goal or objective: What was this entry designed to accomplish or represent? 2. Target audience: What specific individuals or groups were you trying to reach with this product? 3. Detailed budget: Assign dollar amounts to staff hours and production costs. Specify type of outsourcing (example: graphic design, printing costs, web design, etc.) and costs. If applicable, provide cost per copy and number produced. Budget information is not required for categories 4, 11, 13 and Cost effectiveness: Based on the budget, intended purpose, and goal or objective, how cost effective was this entry? 5. Determination of success: Did the entry meet its purpose, goal or objective? Identify the methods used to determine your degree of success. 6. Special factors: What factors make your entry exceptional (size of staff, constraints, development time, innovation, etc)? This is your brag section and could be used should your entry win an award. 4 2017 Blue Pencil & Gold Screen Awards Call for Entries Category 1. Magazine Printed and distributed magazine containing pictures, stories and other articles of interest. Submit three copies each of three different issues. 2. External Newsletter Printed newsletter produced and distributed to an outside audience focusing on an organization, agency or government entity s activities or purpose. Submit three copies each of three different issues. 3. Internal Newsletter Printed newsletter produced and distributed to an organizational audience. Submit three copies each of three different issues. 4. Article Single article of 500 words or more communicating information in a descriptive, narrative, conversational or human-interest writing style, published in print and distributed. Provide the printed copy. Production cost or budget information is not required for this category. 5. Soft/Hard Cover Book (21 or more pages) 6. Brochures/Booklet (20 pages or fewer) Soft/hard cover book released during competition period. Brochures/booklets released and distributed during competition period. 7. Annual eport Single publication to communicate year-long activities of a government organization, agency or entity. 8. Technical or Statistical eport 9. Special Purpose Publication 10. Most Improved Publication Single publication to provide government, consumer and other audiences with technical or statistical information about a government product, service or research. Entry should not be an annual report. Any written publication designed to promote, educate, inform or communicate that does not qualify for another category because of its content or intended audience. Entries in this category must contain three sets of current and three sets of previous issues. Only the following print categories qualify: brochures/booklets, magazines, newsletters and reports. 11. Writer s Portfolio Portfolio of three to five products published during the competition year. Entrant must have been primary writer. Production cost and budget information not required for this category. 12. Graphic Design Single product designed and published during the contest period. 13. News elease News release written in a factual style, intended to raise the profile or media coverage of an activity, event, service, product or other government-related information. Production cost or budget information is not required for this category. 14. Special Event (internal) Single event not open to the public that resulted in raising the profile of government or a government activity, program, event, service, product or other government-related information. Submit all relevant materials. 15. Special Event (external) Single event that resulted in raising the profile of government or a government activity, program, event, service, product or other government-related information. Submit releases and all relevant material. This event could be a news conference, media event, public open house or other event for a specific audience open to the public. 16. Photography Individual color or black-and-white photograph published during the contest period. Must be 8 x 10 and mounted on boards no larger than 11 x 14 attached with a copy of the publication page where the photo appeared. 17. Attach examples of your logo or theme art in use, or provide a live UL if your logo or theme art was used on a website. 19. Special Purpose Product Any visual communication product or collection of products that because of its design, purpose or audience does not qualify for another category, including maps. 20. Poster Large display print item designed to promote, educate, inform or communicate information in a graphical presentation. 21. Calendar Internal or external calendar. 22. Display Bulletin boards, displays or other graphic presentations used to convey information. Photographs of the display or information storage devices such as CDs, DVDs or thumb drives containing the information must be submitted. 23. Shoestring Budget Entries in all categories completed with limited funding that display creative use of funds to produce a quality product and achieve the intended goal. Produced with nothing but your shoelaces. Must specify budget, additional resources and specific methods used to evaluate results. 24. Conference Materials All material produced for a conference, meeting or other event: post cards, promotional brochures, programs, give-a-ways or other material produced to support the event. Does not include stand-alone training material to be presented at a meeting, conference or event. 25. K-12 Educational Programs 26. Promotional Campaigns (less than $100,000) 27. This includes enhancing an organization s image, presenting a position on an issue, or urging viewers to take a specific action. 30. Internal Communication 31. A video or website to help viewers learn a skill or to teach, educate, instruct, or inform about a government program or activity. Printed material that is posted online for enhanced circulation and websites are not acceptable for this category. Submit all segments of program to be judged on an information storage device such as CD, DVD or thumb drive and provide a UL (if applicable) that will be active at time of judging. 37. Webcast Event or communicative story broadcasted to a large audience via the Internet. May include videos produced for conventions, large meetings and important organizational events. Entries must include photos of stage sets where video was presented. Provide the submission on an information storage device such as CD, DVD or thumb drive along with a UL that will be active at the time of judging. 38. E-Newsletter Online newsletters produced and distributed to an internal or external audience, including dynamic.pdfs that contain live links to other content. Printed material posted online for enhanced circulation and websites are not acceptable for this category. Submit copies of three successive issues on an information storage device such as CD, DVD or thumb drive and provide a UL that will be active at time of judging. 39. Audio Communication Audio production of a public service announcement, regularly scheduled program, podcast series or other program designed to educate, inform or persuade the public. Submit an information storage device such as CD, DVD or thumb drive with the communication, as well as a live UL link to the series website. 40. Social Media Entries that reflect the effectiveness of various types of social media individually or collectively, including but not limited to Facebook, blogging (if interactive), Twitter, Flickr, Pinterest, LinkedIn, Snapchat. Do not include websites or web pages. 41. Mobile Campaign or other ongoing effort that demonstrates an activity, service, product, event or other government related purpose. Can include mobile applications or initiatives, SMS and text campaigns. 42. Web Article Single article of 500 words or more communicating news or critical information via the Internet in a factual, news-story writing style. Provide a copy or live internet link to view the article. Product cost and budget information is not required for this category. 43. Branding/ ebranding Campaign Demonstrates an agency-wide consistent look and feel in the creation of a brand encompassing all print, electronic, Web-based and audiovisual media. 44. Infographic (internal) A graphical display of complex or comprehensive information, data, or knowledge for an internal audience. 45. First, you are considered an expert in your field when you are selected by the BP&GS Awards Committee to judge the work of your peers.
