As such, this deliverable materialises the establishment of the board through the compilation of: - An overview document illustrating the final composition of the first ClairCity EAB - The welcome letter send to the EAB members after they signed the letter accepting the ToR - The signed letters accepting the ToR 3

Dearest EAB member, We are very happy that you have agreed to join the ClairCity External Advisory Board (EAB) and very excited to find out how your contribution can make our project even better. On behalf of the ClairCity consortium, we would like to welcome you to the project and look forward to a fruitful and happy future cooperation. In Annex 1 you can find a list of the EAB members. We feel that you collectively provide a very strong knowledge, representation across the relevant disciplines of our project and access to networks through which we can raise awareness of the project and disseminate the outputs. The EAB Terms of Reference (already sent to you) explained in detailed how we foresee the EAB interacting with the ClairCity research. In simple terms we see it as follows: You are welcome to attend all our ClairCity project meetings or events (a programme of events and dates will be made available). Your contribution can only make our work better. We will present all relevant reports and results to you for comments, second opinion and advice. We will organise an EAB meeting twice a year to discuss progress within our project. We would encourage you to ask, suggest, challenge or advise us at any moment and on any subject related to the project. Professor James Longhurst, from the University of West England (UWE), Bristol will be responsible for the coordination of the EAB. ClairCity s Technical Director is Dr Enda Hayes (also UWE) and the Project Director is Hans Bolscher (Trinomics). For information on the various Work Packages we refer you to Annex 2. Most of the cooperation will be done electronically, via or teleconference. However there is some budget available (for travel and accommodation) so that EAB members can attend the ClairCity annual conferences. For the EAB members outside Europe, we cannot guarantee this yet. Again welcome to the project and hope to see you soon.
