1 EWB USA PROJECT GRANTS PROGRAM APPLICATION SPRING 2015 Please read this entire section before beginning the application. General Program Information The Project Grants Program is need based, and this grant cycle is intended to support projects that need funding support at this time or in the near future. This grant application should be written for your next upcoming trip that needs funding support. The time frame for spending this grant award is 18 months. No extensions to this time frame or to report deadlines will be given. A spring 2015 project grant award must be spent in its entirety by October 15, Grant recipients must submit an interim grant report by April 15, 2016 and a final grant report by October 15, EWB USA's Grants Policy does not allow funding to be applied retroactively. Only travel and expenses occuring between April 16, 2015 October 15, 2016 are eligible for funding through these grant awards. Only projects approved by February 27, 2015 are eligible for funding in this grant cycle. If this grant application is for the first project within a program, the 502 must be approved. For all subsequent projects within a program, the 501B must be approved. The average grant awarded through the Project Grants Program is $5,000. The range of grants awarded typically falls between $2,000 $10,000, depending on donor preferences. At this time, the Project Grants Program only offers funding support for EWB USA's international projects. This may change in the future as our CEC initiative develops further and our chapters get involved in more domestic projects. Many of our chapters work collaboratively on projects. Only the primary chapter that has officially adopted a program can apply for Project Grants Program funding for projects within that program. The primary chapter operating a program also determines funding eligibility, so a program operated by a professional chapter and implemented in conjunction with a student chapter is not eligible for student only funding. A reminder from the EWB USA Chapter Agreement: Upon the Chapter's voluntary submission to EWB USA, EWB USA will have an unrestricted, irrevocable, worldwide, royalty free license to reproduce, display, distribute, and otherwise use for any purpose and in all forms of media any photographs, recordings, interviews, videotapes, motion pictures or similar visual or auditory recording created in connection with the Chapter's activities or those of its Members within the scope of EWB USA's mission. Decisions on grant awards are final. Unfortunately, we are unable to provide individual feedback to unsuccessful applicants. Grant awards will be announced April 15, Application Directions A separate application is required for each project. If a chapter submits multiple project applications, each application will require a different login. Please make a record of the login/password associated with each project application; this information is needed for future access to the system. A completed application must include the 508 EWB USA Trip Budget Worksheet. This application does not have to be completed in one sitting; you can return to complete an application in 1/17

2 progress. To save an application as a draft so that you may return to it later, scroll to the bottom of the form and click the "Save Draft" option. Even if you hit "Submit," you can revise and resubmit your application through the midnight PST February 27 deadline Failure to comply with the directions in the application may deem a submission ineligible for review. APPLICANT INFORMATION Provide your chapter s name (please do not include any variation of EWB USA in the name). Do not use abbreviations, acronyms or nicknames. Reminder: EWB USA's Grants Policy does not allow funding to be applied retroactively. Number of People Project Indirectly Affects * BUDGET Applications with discrepancies in the information presented in the trip budget worksheet vs. the application will not be considered for funding. These grants are need based, and discrepancies leave your application reviewer unable to determine your project's true financial need. Instructions for Completing the Budget 1. Download and complete the Trip Budget Worksheet (Form 508). You are encouraged to explain line items in detail (i.e., Airfare, 5 people = $1,000), but please be aware that widening the columns of the worksheet makes the budget unreadable for reviewers. 2. Complete the budget template for one trip. (This should be the upcoming trip for which this application is 3/17

4 requesting funding.) 3. Note: In particular, these sections of the proposal narrative (below) directly overlap with the budget worksheet and must show aligning information: Question 4; Question 9a Trip Budget Worksheet * (maximum size 300MB) Your requested funding should take into account (a) the direct cost of the project, (b) cash from the community, (c) the amount in your project fund(s), and (d) the portion of your general fund(s) you will be allocating toward this trip. You have the opportunity to explain this number further in question 9a. How much funding does your project need at this time? * PROPOSAL NARRATIVE How can I write a successful proposal narrative? Give specific information about your project and be succinct. Try not to use jargon (i.e., the 506 form ) or technical language that cannot be understood by laymen. Assume your grant reviewer has no familiarity with your project. For additional information on the factors that determine the rating of your application, see the EWB USA Project Grants Rubric. Note: Responses to questions in the Proposal Narrative have restricted word limits. 1. Describe the community development program and the specific project for which these funds would be used. What are the community needs that the project seeks to address? What are the community outcomes that are expected with this project? * 0/ Where are you currently in the project process? What project accomplishments have been made to date? 4/17

5 * 0/ Please document all trips that have been made to the community and what was accomplished on each trip. If no trips have been taken to the community, leave this section blank. Trips + add 4. How are community members engaged in the project? What makes this a community driven project? What will be the roles and responsibilities of the community throughout the project life cycle? What financial and/or in kind (labor, materials, lodging) contributions is the community making? [Reminder: EWB USA requires a minimum 5% cash contribution from communities, and this should be reflected in this response as well as in your attached budget.] * 0/ /17

6 5. Who are your partners on this project? Include community based partners, in country NGO partners, and funding partners. What are their roles in the project? As a resource for answering this question, please see the 511 Project Partner Roles and Responsibilities. Partners + add 6. State the specific goals and each goal's objectives for the next trip (for which this application seeks funding). Goals are broad, high level statements that describe what the project is striving to accomplish. Objectives describe the elements necessary to achieve a goal; they are specific, concrete, and easy to measure and assess. Example from a first assessment trip: Goal 1: Develop familiarity and trust between EWB USA team and project partners. Objectives: (1) Conduct two formal meetings with the Water Committee (one kick off meeting on Day 1 and one wrap up meeting on Day 5), with informal meetings as needed throughout the week. (2) Conduct two formal meetings with the Municipality Committee. Goal 2: Assess the current water quality and potable water availability situation in the community. Objectives: (1) Conduct survey of community s current water supply and distribution system. (2) Conduct preliminary assessment of the current state of collection, storage, and distribution infrastructure in existing water supply system. (3) Conduct water quality samples at raw water intake point in lake for current water system, at several points of distribution after water treatment in water tank, and of spring water in volcano s caldera. Goal 3: Assess constraints associated with alternative water supply options. Objectives: (1) Conduct meeting with Municipality (and/or other stakeholders as appropriate) focused on legal requirements associated with water supply projects in Country A, land ownership and right of way issues along the anticipated path of the distribution line from caldera, legal issues associated with capturing spring water in the volcano caldera, etc. Goal 4: Educate community on project and importance of water quality. Objectives: (1) Establish familiarity with community. (2) Host workshop on the importance of clean water, health, and sanitation. 6/17

7 * 0/ At the community level, what is the overall plan for financial sustainability for the project, including the operation and maintenance plan? What specific measures is your chapter carrying out to foster public understanding (educational materials & trainings, etc.)? (See #8 on EWB USA's Principles of Development as an additional resource for answering this question.) * 0/ What metrics will you use to measure impact? How will your chapter monitor and track the project s success? (Include qualitative and quantitative measurements.) Example from monitoring trip: For the monitoring of Phase 1, success will be measured based on the following metrics: Disinfect to achieve water quality in compliance with local standards Maintain satisfactory chlorine residual in accordance with local standards For the next phase of the project, more assessment must be performed before metrics can be finalized. Currently the chapter foresees the metrics being: Reducing quantity of existing water leaks and reduce the frequency of new leaks occuring Decrease the number of homes that have intermittent service 7/17

8 For the overall program, the chapter will be tracking the project s success using the following metrics: Increase in the percentage of community with reliable access to water from the distribution system. Reduction in the reported cases of skin infections caused by bathing with water from the distribution system. This information will be collected either through community surveys or through data from the health center. Increase in percentage of community access to drinking water Increased community knowledge of water sanitation habits. This information will be collected through surveys and through knowledge assessments at workshops. * 0/ a. How much funding has been raised for this project's next trip? How much do you need to cover the remaining funds needed? NOTE: EWB USA's Project Grants are need based. If the money in your Chapter and/or University General Fund will not be used toward this project, please explain the earmarked purpose for these funds. Failure to explain the intended use of a large sum in a general fund indicates to a grant reviewer that your project does not have a need for funding at this time, and will eliminate your application from funding consideration. * 0/ b. The average EWB USA project grant is for $5,000. If this grant were to cover only part of this project s current funding need, how would your project team plan to acquire the remaining funds? (Provide specific examples for how you would intend to raise the remaining funds.) 8/17

9 Attachments Photos: Applicants are required to submit three project photos (.jpg format). Include a brief caption and the photographer's name for each photo. Supporting materials: Applicants may include additional relevant materials for their project (limit: 3 files,.jpg or.pdf formats). You must briefly explain the relevance of each attachment. NOTE: Applicants will not be penalized for not including supporting materials. Examples of relevant supporting materials include: maps of the area, design drawings, MOUs and detailed project cost quotes that relate to your narrative and budget. Examples of uploads NOT intended for this section: EWB USA report forms (523, etc.), additional photos, and news articles or annual reports about your chapter/project. 10 FUNDERS + CRITERIA PLEASE READ THIS ENTIRE SECTION CAREFULLY. Your responses to the questions below determine which grants your project is eligible to receive. How this funding works: In the Project Grants Program, EWB USA s donors ultimately decide which project(s) they would like to fund. These decisions are based upon EWB USA s recommendation of the highest quality applicants with a proven need for project funding at this time. All EWB USA chapters are eligible for unrestricted grant awards (identified as Open to all chapters/projects ), and will not need to provide any further information to be eligible for a grant award from these donors. For donors with restricted criteria (e.g., tailored to specific universities, regions, project types), it is necessary to describe how your chapter fulfills each criteria to be considered for the grant award. Note: The owner of a program determines funding eligibility, so a program owned by a professional chapter and implemented in conjunction with a student chapter is not eligible for student only funding. The following program funders have grants available to all chapters/projects: ASCE, Bechtel, Boeing, Kleinfelder, SME AIChE Criteria: Only student chapters. Project team must include two or more active members who are student members in good standing of AIChE and of the school's AIChE student chapter. (Preference will be given to projects for which one of the chemical engineering students is expected to be part of the travel team.) Project must exhibit chemical engineering design principles, e.g. fluid flow, heat transfer, reaction engineering, energy and material balance, etc. Additional informtion: AIChE student member(s) may be invited to take part in the AIChE Annual Student Conference to report on the project and build awareness for EWB USA. (Funding will be available to support participation in this meeting.) Are you a student chapter? Are two or more active members 10/17

11 of this project team also in the university's AIChE student chapter? Required for eligibility: Provide the two student members' (1) names, (2) addresses, (3) a brief description of EWB USA involvement, and (4) indicate if the student is expected to be a part of the travel team. ASCE Preference: Project team has ASCE members. Is one or more active members of this project team an ASCE member? Required for eligibility: Provide each member's (1) name, (2) address, (3) and ASCE member number. Bechtel Employee Grant Criteria: Open to chapters with a Bechtel employee involved. Each chapter can only receive one Bechtel Employee Grant per grant cycle. Are any members or mentors of your chapter Bechtel employees? Required for eligibility: Provide the employee's name, address, phone number and a brief description of EWB USA involvement. 11/17

12 Bechtel University Relations Grant Criteria: Invitation only. Did your chapter receive a Bechtel University Relations Grant invitation? The Boeing Company University Relations Grant Criteria: Invitation only. Did your chapter receive a Boeing Grant invitation? If you answered YES to the question above, this question is REQUIRED to be eligible for a grant award. Describe your chapter s current or future collaboration(s) with Boeing employee(s). Please list all Boeing employee name(s) and describe their involvement with the project/chapter. If you don t currently have a relationship with Boeing employees, identify areas in your project where an interested Boeing employee could get involved. The Boeing Company Employee Grant Criteria: Open to chapters with a Boeing Employee actively involved. Each chapter can only receive one Boeing Employee Grant per grant cycle. Please note: Boeing interns are not eligible for this funding. Are any members or mentors of your chapter Boeing employees? Required for eligibility: Provide the employee's name, address, phone number and a brief description of EWB USA involvement. 12/17

13 Brown & Caldwell Employee Grant Criteria: Open to chapters with a Brown & Caldwell Employee actively involved. Each chapter can only receive one Brown & Caldwell Employee Grant per grant cycle. Are any members or mentors of your chapter Brown & Caldwell employees? Required for eligibility: Provide the employee's name, address, phone number and a brief description of EWB USA involvement. Chambers Family Foundation Criteria: Only water and sanitation projects. Is your grant application for a water or sanitation project? GeoEngineers Criteria: Only student chapters. Are you a student chapter? Preferences: Student chapters in or near locations where GeoEngineers has offices: Sacramento, CA; Walnut Creek, CA; Boise, ID; Baton Rouge, LA; Springfield, MO; Bend, OR; Portland, OR; Salt Lake City, UT; Bellingham, WA; Everett, WA; Port Orchard, WA; Redmond, WA; Seattle, WA; Spokane, WA; Tacoma, WA. 13/17

14 Student projects which are water/sanitation/earth related. Indicate if your chapter is located in one of the following regions: Is your student project water/sanitation/earth related? Langan Engineering Employee Grant Criteria: Open to projects with a Langan employee actively involved. Each project can only receive one Langan Employee Grant in Is a Langan employee actively involved in the execution of this project? Required for eligibility: Provide the employee's name, address, phone number and a brief description of their active involvement in this project. MWH Employee Grant Criteria: Open to chapters with a MWH Employee actively involved. Each chapter can only receive one MWH Employee Grant per grant cycle. Please note: MWH interns are not eligible for this funding. Are any members or mentors of your chapter MWH employees? Required for eligibility: Provide the employee's name, address, phone number and a brief description of EWB USA involvement. 14/17

15 Northrop Grumman General Criteria: Only energy, water and information systems projects. Is your grant application for an energy, water or information systems project? Northrop Grumman University Relations Grant Criteria: Invitation only. Only energy, water and information systems projects. Did your chapter receive a Northrop Grumman University Relations Grant invitation? Is your grant application for an energy, water or information systems project? Pratt & Whitney University Relations Grant Criteria: Invitation only. Did your chapter receive a Pratt & Whitney University Relations Grant invitation? If you answered YES to the question above, this question is REQUIRED to be eligible for a grant award. Pratt & Whitney is a subsidiary of United Technologies. Describe your chapter s current or future collaboration(s) with Pratt & Whitney or United Technologies employee(s). Please list all employee name(s) and describe their involvement with the project/chapter. If you don t currently have a relationship with any Pratt & Whitney or United Technologies employees please identify areas in your project where an interested employee could get involved. 15/17

Tyler Palmer Memorial Fund Criteria: As a condition of accepting this grant, you will be required to place a small memorial in honor of Tyler Palmer in the community where the project is implemented. (For example, a small plaque acknowledging the project was partially funded by the Tyler Palmer Fund could be placed near a project or on a project structure.) A picture of this memorial must be included in your final report. Preference: Renewable energy projects. If you receive a Tyler Palmer grant, do you agree to fulfill the plaque requirement?
