2 Welcome! The goal of the Industrial Internship Program (IIP) is to provide students with an opportunity to apply their university education in a practical environment. The duration of a placement is 8, 12, or 16 months, generally starting in January, May or September, when the students have completed their third academic year. Assignments are full-time, paid at competitive rates, and technical in nature. The IIP is popular with companies who are involved in seasonal or project work. The Department of Earth and Atmospheric Sciences is appreciative and proud of successful partnering with the following sponsors who have contributed to the development of the Industrial Internship Program through their support of students and education during the past 6 years. 3 IIP Policies & Procedures 1. Student participation in this program is voluntary and will delay graduation. 2. To qualify, Earth & Atmospheric Sciences students should have successfully completed their 3 rd year of the honors or specialization program, and have credits toward their degree. 3. Canadian Citizens, Permanent Residents as well as International students (with permission from the Faculty of Science) are permitted to participate in the program. 4. To enroll, students must submit a short resumé, an up-to-date transcript, and the "Student Application Form" (page 6 of this booklet) to the Department's IIP Coordinator. 5. Applications will be checked by the Department to ensure eligibility. 6. Students should be aware that acceptance into the IIP does not guarantee a placement, because of the limited availability of positions. 7. Ideally, the process goes as follows: When a position becomes available, IIP students whose qualifications match the job requirements are contacted to confirm their interest. The IIP Coordinator then forwards resumés of interested students to the potential employer, who may formulate an interview list. 8. Students are encouraged to find their own internships. Jobs found by students must be approved by the Department in order to qualify as a suitable Industrial Internship experience. 9. Work assignments should be technical in nature and relate to a student's academic discipline and career goals. Students are supervised by a practicing professional from the host company. 10. Work during the Industrial Internship is full-time, paid at competitive market rates. 11. An Internship period is 8, 12 or 16 months in duration. 12. Satisfactory completion of the specified period of the internship is a condition of the successful completion of EAS Industrial Internship Practicum. 3
4 More Policies & Procedures 13. Students who have accepted an internship will be registered for at least two WKEXP courses WKEXP 955 and WKEXP 956. Students completing a 12 or 16-month work term must register for WKEXP 957 and 958 as well. This course registration is done through the Department. Following completion of their work experience, and on their return to university, students must register in EAS Industrial Internship Practicum (3 credits, fi=6). 14. Student on-the-job performance is evaluated by the employer. The Department recommends regular employer-student performance discussions. 15. Students must submit a typed word report as part of EAS Industrial Internship Practicum requirements. The report should outline the academic content of the work performed and experience gained during the IIP term. If possible, the student shall write the report prior to leaving his/her employment in order to facilitate discussion of the content with the employer. The report is due approximately three weeks before the end of term. The report must first be read by the employer to ensure that it meets Proprietary Clearance requirements. The Industrial Internship Practicum Report is evaluated and graded by the IIP Coordinator. The reports are not circulated to a wider audience. 16. Students must obtain explicit written permission from their employer in order to use any privileged information in their Practicum Report. This is done through the completion of a Proprietary Clearance Form. In addition, the employer can request that the report be restricted, with no-one other than the IIP Coordinator to view it. 17. Employer evaluations and the Industrial Internship Practicum Report remain in the Department of Earth & Atmospheric Sciences' student records and are used in assigning a grade in EAS Industrial Internship Practicum. 18. Up to 6 months of the IIP work experience can be used towards the APEGGA 4 year work experience requirement. 4
5 How to Apply for an Industrial Internship Position STEP 1 APPLICATIONS Students must submit a short resumé, an official University transcript, and the signed Student Application Form (pg. 6) to the IIP Coordinator. When a position comes up, details will be ed to those IIP students whose qualifications match the job requirements, in order to gauge their interest. Resumés of interested students will then be submitted for the employer s consideration. Please note: Career and Placement Services holds regular workshops on resumé writing and interview skills for a nominal charge. Website: STEP 2 INDUSTRIAL CONTACT Employers will review the resumés and select those students that they wish to interview. They will forward this list to the IIP Coordinator, who will liaise with the students. As part of the selection process, employers may request students to submit letters of interest for the specific position they are offering. STEP 3 INTERVIEWS Interviews for positions available within Edmonton generally take place at the office of the employer. Interviews for out-of- town positions generally take place within the Department. In the past, interviews have also taken place via telephone and videoconferencing. Students are encouraged to utilize the services available at CaPS to polish their interview skills. STEP 4 JOB OFFERS Specific details regarding job responsibilities, reporting, benefits, etc., should be discussed between the student and the employer during the interview process. Advice is available through the IIP Coordinator and at Career and Placement Services. Job offers for the Industrial Internship Program are processed through the IIP Coordinator. Questions? 6 Guidelines for Student Conduct and Ethics Regular employees of a company are obligated to place the needs of the company above other professional considerations. Students, on the other hand, belong to the university, where the free circulation of ideas has priority over commercial considerations. IIP students must be aware that their internship placement may temporarily limit their academic freedom. They must also recognize that, although they may be treated as employees of the company, they remain students and are viewed by their fellow employees as representatives of the Department and the University. The following code is intended to offer students guidelines in balancing these sometimes conflicting demands and ideals. 1. Commitment to the Company For the duration of your placement you will be expected to adhere to company rules and policies, to work consistently for the required number of hours, to cooperate with your fellow workers, and to help the company and its other employees advance in their work. The projects with which you are involved belong exclusively to the company. You must not use this material in work that you are doing for other employers, nor may you use it in your future studies without the written permission of the company. 2. Commitment to the Department Your conduct as an IIP student reflects directly on the reputation of the Department, and therefore on how our degrees are valued in the community at large. You have great potential to enhance the reputation of the Department through your honesty, diligence, readiness to work with others, ability to accept advice, and through your commitment to the projects you are working on. 3. Commitment to Personal Values The acceptance of your placement does not compel you to work on a project that appears to be illegal or that contravenes your ethics. If a problem of this kind arises, discuss it with your supervisor at work or with the IIP Coordinator in the Department of Earth & Atmospheric Sciences (or both). If a project that you are working on seems likely to challenge (or undermine) the status or ability of a co-worker, discuss this matter with your supervisor. You should not be expected to review the work of a co-worker without the explicit knowledge of that person. 6
7 Resumé Writing The following items must be included on your resumé. You may use your own layout. It is extremely important that you take the time to produce a well-composed resumé in order to ensure a positive first impression. If you are uncertain as to how to compose a well-written resumé, Career & Placement Services (CaPS) on campus is a great place to get advice. Resumés should include: Full Name Phone Number/s Mailing Address Most recent GPA - Second Year Address Degree Program Preferred Work Location (optional) IMPORTANT!! Include your PROFESSIONAL AREAS OF INTEREST in a prominent position at the top of your resumé. QUALIFICATIONS: Relevant Skills (communication/interpersonal skills, computer knowledge) Key Courses (to back-up your professional areas of interest) and what you got out of them Work Experience (If related to your areas of interest, put this in a prominent area of your resumé; if unrelated [i.e. clerking, food service] put it in a less-prominent position.) Significant Achievement (special achievements such as awards, scholarships) Activities within the University (clubs, societies, sports, leadership examples) Activities outside the University (volunteer work, clubs, leadership examples) Personal Interests (anything which may help you to be considered for an interview) Student Application Form (Please submit to IIP Coordinator or Assistant) I, hereby apply to the Department of Earth & Atmospheric Sciences for inclusion in the Industrial Internship Program. 8 Registration in WKEXP Courses and EAS 401 Students receiving an Industrial Internship position will be registered in at least 2 WKEXP courses: WKEXP 955 and WKEXP 956. There are no course credits attached to these courses but an entry will appear on student transcripts indicating that they participated in the Industrial Internship Program, and graded with a 'Credit' or 'Fail'. Regular instructional fees (fi=9) apply to the WKEXP courses (see html). WKEXP courses are not open to telephone registration -- eligible students are registered by the Department. EAS 401 (INDUSTRIAL INTERNSHIP PRACTICUM): Students who have completed an Industrial Internship and who are returning for their last year of full-time studies must register in EAS 401 with a course weight of 3 credits (fi=6). A grade will be assigned by the IIP Coordinator, based on: the corporation's evaluation of the student's performance, evaluation of the word Industrial Internship Practicum Report, an oral presentation to the Department This work must be completed in the academic term immediately following the Internship. Successful completion of WKEXP 955, WKEXP 956 and EAS 401 entitles you to convocate with the IIP designation on your diploma. Termination This program provides a 3-month probationary term for 12 and 16 month placements at which time a review or evaluation is undertaken by the employer and the student to ensure mutual satisfaction for the remainder of the Industrial Internship period. Only EXTREME cases will be considered for termination. Termination will ONLY be considered during the 3-month probationary period. A student wishing to terminate must gain the approval of the IIP Coordinator prior to terminating employment prematurely. 8
