Introduction The RAEng-ERA Foundation Entrepreneurs Award seeks to identify, encourage and reward entrepreneurial engineering researchers working in UK universities, in the broad field of electro-technology. The winner or winners will receive a personal prize of 10,000 with an additional 30,000 to invest in the development of the winning idea. Up to two additional cash prizes of 2,000 may be awarded to the runners-up. Winners and runners-up may be invited to become Members of the Enterprise Hub in order to receive ongoing support and business mentoring from the Academy s Fellowship, comprised of some of the UK s most successful technology entrepreneurs and business leaders. Hub membership will include invitations to join training days and other exclusive events. Enterprise Hub The Royal Academy of Engineering s Enterprise Hub harnesses the extraordinary expertise, insight and networks of Academy Fellows, who include some of the UK s most successful engineering entrepreneurs and business leaders, to support the country s most promising technology entrepreneurs. The Enterprise Hub brings together a number of activities aimed at identifying and supporting the next generation of high potential entrepreneurs. ERAF Award guidance notes 1/10/14
2 Eligibility criteria The Applicant must be either be a student at a UK University or be on a UK University payroll at the time of applying for the Award. The main applicant and co-applicant(s) must be early stage researchers. Applications from those with less than six years post-doctoral experience are particularly encouraged. The Award will be given to an individual or to a small team (maximum of three members) demonstrating considerable entrepreneurial promise. Applicants should have a viable and commercial business proposition with a large market opportunity. The Award seeks to encourage innovation, meaning the emergence of good engineering into the marketplace, rather than just potential good ideas. Candidates will need to demonstrate knowledge of how their idea could be exploited (using a convincing business model) as well as an understanding of the necessary engineering. New markets and products are very welcome but proposers should have a convincing approach for creating them. Applications are welcome in the following subject areas: electrical and electronic engineering, aspects of bio-medical engineering, electro-mechanical engineering, optics and optical engineering, instrumentation, IT, software and hardware; and materials related to the foregoing. The decision of the judging panel on eligibility will be final. Evidence of previous attempts at commercialisation or involvement with technology transfer is not a prerequisite, but any such information should be stated in the application if relevant. Any applications that are incomplete or do not adhere to the guidelines may be rejected. If you are unsure of your eligibility please contact the Programme Manager to check if you are eligible to apply (details at the end of this document). There is no limitation to the number of submissions that any one university may enter. The Academy is committed to diversity and welcomes applications from women and other groups who are currently underrepresented across engineering. Submission deadline There is one round of applications held each year. The submission deadline for this round of applications is 4pm on Monday 1 December Monitoring If Awardees or runners up accept our offer to join the Enterprise Hub, reporting is required. Reports should follow the reporting guidelines, which will be provided by the Programme Manager. Awardees may also be required to present their work to the Selection Panel and an invited audience at the end of the year of support. Reports are sent to the Award Panel for evaluation and serve as a measure of the success of the award. 2
3 How to apply All applications must be submitted via the online system, available here: All Applicants must be registered with the Academy s single sign-on system, or must first register and provide some basic log-in details to create a profile. The online application system is currently under development before it is extended to all Academy grant programmes, so as one of the first users of the system we would greatly appreciate your feedback on its ease of use, good or bad. The application should be submitted by the person who will be playing a leading role in the development of the proposed business. The application form has six sections and may take between 1 hour and 1 day to complete depending on whether any individual applicant may have already considered the questions prior to applying (for example, for other applications). A summary of the guidance notes are imbedded within the system itself, however the guidance given below is more detailed so we recommend you keep this document to hand. Many of the questions have prescribed word limits which are designed to keep your answers focused and to give you an indication of the level of detail we require. In such cases the number of words you have used will be displayed beneath the question and updated in real time. If you have any question concerning the application or the online system please contact the Programme Manager. Completing the Application Form After logging in via the Academy website and selecting the RAEng-ERA Foundation Entrepreneurs Award you should be presented with the Instructions screen. Here you will see some general instructions on how to use the system as well as the below list of the six sections of the application form: 1. Applicant details 2. Project summary 3. Project details 4. Beneficiary/Recipient details 5. Marketing 6. Declaration At any stage in the application process you can save your work and return to it at a later time. You can answer the questions in any order you like so you may freely skip some sections to return to later if you so wish. It is therefore worth viewing the application early on for an indication of what is required, and you should also ensure that you have all the necessary documentation when you start completing the application, such as CV/s and the details of any co-applicants. 3
4 1. Applicant/s contact details As a registered user, the form should autocomplete your name and contact details. You must ensure your address is recorded accurately, as this will be how the Academy will contact you regarding the application. Please also provide the name and contact details of any co-applicants. You may apply as part of a team (maximum of three members in the team). 2. Project summary Q - Project title The title can be the name of your technology, product or service or the name of the proposed business. Make sure the project title is in terms that can be understood by a non-specialist reader. Q - Please provide keywords relating to the project The keywords help in identifying reviewers. Q - List any external organisations that you will be collaborating with as part of the project. As well as demonstrating collaborative intentions this will help us avoid any conflicts of interest during the assessment process. 3. Project details Please address each of the sections given below. The bullet points may provide some guidance on the type of things for which reviewers may assess. You do not have to provide details for every bullet point if that point is not applicable to your project. Q Executive Summary (brief description of project) Describe your project in less than 150 words. Summarise the technology, its status and potential benefits in the market place. The summary should be understandable by, and compelling to, a non-technical person. Q Market Please describe the following in less than 250 words: Markets/market segments for this technology and technology benefits for them Any market data and trends Potential route to market Existing or competing technologies Competitive advantage of this technology unique selling point Market risks Outcome/feedback of any discussions with potential customers Q Engineering/Science/Technology/Innovation Please describe the following in less than 250 words: The particular engineering, science, technology or innovation that will underpin the commercial offering of your proposed business The current status (of the technology) 4
5 Discuss to what extent the science, technology or innovation has been developed to address a customer need Required development (for the markets you have identified, please carry out an analysis between the current status and future market requirements) Risks and mitigations (please describe the risks and your proposed mitigations in order to close the gaps to meet the market needs not just for the technology but also in terms of team, IP, funding etc) Project Plan (please detail your plan and show how this Award can support completion of the plan. You may upload a Gantt Chart or similar if you prefer) Q Additional pictures and/or diagrams If you wish to upload a project plan chart/graph, please upload this here. Q Intellectual Property Please describe the following in less than 150 words: Whether your application requires access to any Intellectual Property Rights (current or future) If so, describe the ownership status and (if applicable) how you will gain rights to the IP Any current and planned IP to protect the technology development Q Business model and finance Please describe your business model (rather than a full business plan), including financial cost projections and what investment/funding will you need, in less than 250 words. 4. Beneficiary/Recipient details Q - Please upload your CV The format and content of your CV is left to your discretion. Your CV should not exceed four (2) pages, and should be submitted as a PDF. Q - Please upload a CV for each team member The format and content of the team member s CV is left to your discretion. You do not need to include contact details as these should be included earlier in the application. The CVs of the team members should also not exceed four (2) pages each and should be submitted as PDFs. You do not need to upload CVs for staff employed by the university in a support role for a department or central office (such as Business Support). Q - Please provide a link to your YouTube (or similar) 'Elevator Pitch' video produced in support of your application (optional) If you do decide to provide a link to your elevator pitch please ensure that this starts with Create a video lasting no longer than of 90 seconds that gives an overview of your business proposition. The quality of the recording itself is not being judged here, just the content, and you may use any recording technology available to you, 5
6 including handheld video cameras, webcams, mobile phones, etc. Name the video in the following format: "Video Pitch Name RAEng-ERAF Award Application". If you wish to restrict viewing of your video, feel free to designate it as "Unlisted" in settings, however DO NOT designate it as "Private". Also in settings, check the box to allow the video to be embedded in an external site. 5. Marketing This section is optional and any information provided will help the Academy to understand which of our marketing materials and methods are most successful, thereby enabling us to improve our future communications activities. 6. Declaration This section seeks confirmation that the Applicant has provided accurate information and will update the Academy of any material changes which may affect the Award. You must upload a letter of support as per the details below and then tick the box confirming the information provided in the application form is correct. Please note the application deadline will not be extended if your support letter is not ready before the deadline; therefore please ensure you request the support letter well in advance. Line Manager Letter of Support The Letter of Support from the main applicant s Head of Department (or Head of Faculty if the applicant is a Head of Department) should support the application for the Award and include: an explanation of the university s willingness to support the applicant/s in their department and to make available adequate facilities and provide support as necessary to complete the plan as outlined in the application an explanation of the reasons why the applicant is a suitable candidate for the RAEng-ERA Foundation Entrepreneurs Award. comments on the quality of the match between the applicant and the project/s and tasks proposed in the project plan/business model Assessment of Applications A Selection Panel composed of Fellows of the Royal Academy of Engineering will review the applications in mid-late January. Selected candidates will then be invited to present to the panel, on a day in late January or early February 2015 (exact date to be confirmed). The winner(s) may be invited to make a presentation to the Board of the ERA Foundation. This may lead to further support. In judging and ranking the applications, the panel will take into account a number of factors. These include the extent to which the application complies with the aims and objectives of the award, as well as: Quality and vision of the Applicant/Team, including entrepreneurial 6
7 potential and business awareness Effectiveness and innovativeness of technology, product or service Market potential of proposed technology, product or service Commercial credibility of the business model Expected benefits to UK economy Applicants will be notified of the outcome of the assessment by the Programme Manager.
