Course must be completed A scanner A computer with access to the internet The following documents scanned to a single PDF document* 1. Attendance & Completion Report completed and signed by instructor 2. Confirmation of Attendance form for every student completed and signed by student 3. Exams for every student i. Ensure temporary certificate is voided for students that fail ii. In the case where student(s) were not issued an exam, indicate this with an exam number of 00000 Associated Provider Submitter Role 1. If you do not have the role, please contact 403-516-8075 Or Training@energysafetycanada.com For all other questions or concerns, please contact ocs.support@energysafetycanada.com *To speed up processing time, it is suggested to scan the documents in the same order that is submitted on the online submission portal
Procedure New Submission 1. Open an internet window and log into the submission website directly: http://my.enform.ca/imis/members/providers/submission_management/provider_su bmission_upload.aspx. OR a. Go to www.enform.ca and click on My Enform b. Log in with your username and password c. On the right menu >> select Instructor Provider portal d. On the right menu >> select Provider Submission 2. Select Create New Submission (see image below) 3. Enter the following course information: Course Name - If your course does not show in the drop-down list, please contact ocs.support@energysafetycanada.com Start Date - Date the course was instructed - First day of course if submitting for multi-day course Course Information - Attach the PDF of the scanned document (as outlined in the Prerequisite Checklist) You will need to navigate to the scanned location of the appropriate file Instructor Name - Search by Last name, First Name - Full list of certified instructors can be displayed if you do a blank search 4. Click Next when all the required information is completed and PDF attached (see image below)
5. On the Course Results Page. You can choose to: a. Upload a CSV of the course b. Manually enter the student data in the CSV template provided c. Manually enter the student data in the table NOTE* the following are the minimum requirements to be eligible to submit the course to Energy Safety Canada. Additional details can be found in the sample CSV template: Exam Number o *Note In the case where student(s) were not issued an exam, indicate this with an exam number of 00000 First Name Last Name DOB Month, Day, Year Grade Pass / Fail Building Number or Box number Postal Code *We do however suggest you populate all the fields when possible to increase accuracy of the student s information and needs ** For students who do not have middle names, leave that field blank; do not enter NMN 6. Click Submit Results when the student data is all populated
7. When submission is successful, you will be provided a session number. 8. Optional* Write the session number given onto the course Attendance & Completion Report (For your reference) Procedure Continue an Existing Submission If a submission has been started but not submitted to Energy Safety Canada, you can simply continue from where you left off. 1. Log into My Enform and go to Provider Submission page. (Steps shown under New Submission procedures top page) 2. Select an existing course from the table by selecting Continue
3. On the Course Results Page. You can choose to: a. Upload a CSV of the course b. Manually enter the student data in the CSV template provided c. Optional* Write the session number given onto the course Attendance & Completion Report (For your reference) Procedure Upload a CSV This procedure can be done if you have an export of the student data from your Database, or if you manually choose to enter the student data directly in our csv template 1. From the Course Results Page, select Choose File
2. Navigate and open the CSV file located on your computer 3. If successful, the file will be shown to the right of the Choose File button 4. Select Upload Course Results Note* Performing an upload will delete all existing results for this course. a. You should notice that the student data will populate the table below 5. Optional* You can manually make modifications if required in the table following the upload 6. Submit the course when ready Procedure Procedure Manually Enter the Student Data in the CSV Template This can be used to get the student data ready ahead of time to efficiently upload the file for the submission 1. Download the Submission Template from the Provider Online Course Submission screen (see image below)
2. Fill in the student data on the CSV file 3. When completed, save the document as CSV (Comma delimited) 4. Follow the Procedure to upload a CSV when submitting the session
Procedure Manually enter the Student Data in the Table This is an option if you do not have Excel to modify the CSV file, or a database to export your student data for easy upload. 1. Enter the data manually on the table directly Procedure Cancelling an Existing Submission If an existing submission needs to be canceled for any reason, simply cancel it and start again. NOTE* you cannot cancel a submission that has been fully submitted to Energy Safety Canada 1. Log into My Enform and go to Provider Submission page. (Steps shown under New Submission procedures top page) 2.
