Entering Direct Service & Fundraising Hours in the My Service Log System A Step by Step Overview 1

This presentation will show you how to enter hours that you serve in the ADVANCE AmeriCorps program participating in Direct Service activities, including fundraising. Please see the presentation Entering Member Development/Training hours if you want to know how to enter those activities. Please note that every month you must enter your actual numerical hours AND your member activities. 2

This is the launch page when you enter the URL for your campus site. You will enter the password you received in your Welcome E mail. 3

This is your Home Page Your name will be here Your Name will be here Important messages will be posted on this page and it will show the summary of your hours. Make sure it matches your records. It also shows whether or not your Campus Coordinator has approved your hours and whether the ADVANCE Program Director has also approved them. Click on Hours Logs, in the sidebar, to enter new hours, 4

Step #1 Your name will be here Make sure the date in this header is the month and year for which you are logging hours! Change it by scrolling down. This page defaults to the current date. This is helpful if you enter your hours each day. To change the date, there are two options: 1) Use the scroll buttons or 2) Click the date in the calendar. 5

#2 Enter your hours in the Add Log Entry box at the top REMEMBER THAT ONLY QUARTER HOUR FORMAT IS ALLOWED! If you serve 15 minutes or less, click 15. If you serve between 16 and 30 minutes, click 30. If you serve between 31 and 45 minutes, click 45. If you serve 46 minutes or more, please round up to the next hour and leave minutes blank. 6

#3 Scroll down to the correct Primary Position (Agreement). If you served hours that day at multiple sites, you must enter your hours separately. This means you will go through Steps 1-5 twice for that same date and you will change the Primary Position (Agreement) for each site. #4 Add a description of your activities. Be as specific as possible. #5 Click the Add Hour Log Entry box. 7

Fundraising Hours In general, AmeriCorps Members cannot assist their organizations with major fundraising efforts. However, Corporation policy permits some limited activities related to fundraising by AmeriCorps Members to the extent that such activities: Are not funding the agency s capital or operating costs; Provide immediate and direct support to a specific and direct service activity; it Fall within the program s approved direct service objectives; Are not the primary activity it of the program; Do not involve writing federal grants; Are less than 10% (30 hours) of the total t 300 hours to be served 8

To enter fundraising activities, enter the hours in the Add Log Entry section but check the box below Activity Description to indicate this time was spent fundraising. 9

After you have entered your hours, check for accuracy at the bottom of the page under the Complete Hours Log section. 10

Member Activities In addition to entering your numerical hours each month, you need to include a summary of/describe all your activities. #1 Click Member Activities in the sidebar #2 When you get to the screen, scroll down in the Available Actions menu to Log Member Activities for that current month. 11

Enter the number of hours you served total for the month under Served. Under Describe Results, give as much detail as possible about all your service activities throughout the month. If you recruited/generated any volunteers that month, enter the number and the hours they served. Under Type of Volunteers you will select from the three choices, then click Save. 12

To see the status of your monthly hours, Click the Report Tab Check the totals on the page. If you need to make corrections go back to the Log Entry tab, click on the day with the error, make the changes and then save the changes. Advance Received 13
