Thoroughgood and Hermitage Shared Campus Update School Board Workshop February 13, 2018

Stakeholder Involvement 15 Design Charrettes with Thoroughgood students, staff and community January May 2017 School Board Presentations Oct. 10 - Executive Session Brief Nov. 8 - Workshop Dec. 5 - Workshop

Stakeholder Involvement Staff Meetings Nov. 1 (Thoroughgood and Hermitage) Jan. 12 (Hermitage) Parent Communications Nov. 1 Alert Now with FAQs and letters to each school Jan. 4 Alert Now for meeting date with updated FAQs Jan. 17 Alert Now for rescheduled meeting date Jan. 24 Community Meeting Feb. 7 Alert Now for workshop invitation and updated FAQ

Why not build on site? - Consistent feedback from the community was to protect the site s natural resources - Given the site layout, there is limited space for the vehicles, materials and equipment for the 80-person construction crew - There would be no outdoor space for students, which would limit their academic programming //////////////////////////// ////////////////////////////// ////////////// //////////////

Geothermal wells Moving the wellfield after construction would add considerably to the cost and extend the project by 6-8 months, at a minimum. In addition, the new school would not have heat/ac until the new wellfield is built (6-8 months).

Why the shared campus solution? Facilities staff looked at how all of the division s buildings are being used Hermitage Elementary has the space and capacity to share a campus as well as a nearby location The building has an additional multi-use room and meeting spaces for Thoroughgood s use

Portables currently being used: - Dey Elementary is using 20 right now for its modernization project (pictured left) - 24 schools and centers use portables each day, 11 are elementary schools (including Thoroughgood)

Common themes: Security around campus Restroom access/safety Inclement weather protection Traffic and parking Shared spaces (P.E., lunch, library)

Security around campus Telephones in every portable in addition to radios Extended fencing around campus Gate for the bus loop Additional cameras and radios will be purchased for the campus In addition to schools current staffing, there will be an additional: o 2 security assistants o 1 administrative assistant o 1 custodian

What about inclement weather/natural disaster? Custom decking will be added, similar to the portables at Dey Elementary In case of emergency, all students will shelter inside the building Drills will be held throughout the year The Office of Safety and Loss Control and Fire Marshal have made site visits and determined the quickest entry and exit points Covered walkways are cost prohibitive for the project

Traffic and parking Adding second parking lot for staff and guests Schools will operate on separate schedules Worked with city traffic engineers to evaluate traffic patterns Second crossing guard will be assigned to the school Schools will coordinate special events to not have them at the same time

Shared spaces Cafeteria: Hermitage students will continue to use the school s cafeteria. The multiuse room will be modified to be used as the Thoroughgood cafeteria. Library: Hermitage s library will be scheduled for use by both schools and collaborate to increase volume of popular books. Thoroughgood teachers will bring their classroom libraries with them.

Shared spaces for P.E. Thoroughgood will use the music room as a gym For outdoors, even with the addition of the learning village, there is approximately 2.8 acres of open space for recess, P.E. and other activities

Planned Project Timeline Keeps with current timeline, with new Thoroughgood opening by Fall 2020 Costs Other Impact $800,000 (Estimate) Fencing Decking Security cameras Radios Moving/maintaining portables Restrooms Additional parking lot Relocation of technology/infrastructure Thoroughgood students will be in an outdoor learning village for two years Some challenges with traffic and parking Alternative (Not recommended by staff) Extends project by a minimum of 9-12 months (including time for redesign) $2 Million (Estimate) Cutting down the trees Modified design fee HVAC rental for 6-8 months while wells are being installed Price of market increase (2% each 6 months) Limits academic programming for Thoroughgood students Major increase to neighborhood traffic - especially in a community without sidewalks Loss of trees on site
