Request for Transfer Credit - Study Abroad Attached is a Request for Transfer Credit form and a memo addressed to your academic advisor. This form is intended for all students seeking approval to participate on a UNCG exchange program (including UNC- EP and ISEP). Please read this information carefully so you understand the transfer credit approval process. Completion of this request is required for continuous registration at UNCG, to maintain UNCG financial aid eligibility, and to insure credit transfer. Your first step is to meet with your departmental advisor (responsible for course substitution), discuss your study abroad program, and secure his or her approval. You should also plan with your advisor your first semester back at UNCG. At this meeting, please give your advisor the white memo enclosed here. Next, if you are requesting transfer credit in your major or any credit at the 300-level or above, you will need the approval and signature of the department head. UNCG Programs: If you are participating on a UNCG program, you now need to attend the Academic Nuts & Bolts Session. You will need to bring your completed Transfer Credit Form and an updated Degree Evaluation to that session. (See your nomination letter for dates.) Non-UNCG Programs: If you are participating on a non-uncg program, you need to make an appointment with a study abroad advisor in the University Registrar s Office (180 Mossman). Your final step is to secure approval from Tom Martinek, Jr., Asst. Director of Study Abroad and Exchanges at The International Programs Center (IPC). You will obtain his signature when you have turned in your signed Transfer Credit Form and submitted a copy of your Degree Evaluation. IPC will keep both on file with your records. If your forms are not completed and turned in by the deadlines, IPC reserves the right to withdraw you from the program. Keep in mind that completion of the transfer credit form does not guarantee specific UNCG credit; it is a means of obtaining departmental approval for participating on the program and serves as a basis for the transfer credit process. Specific credit may be determined upon return. Study Abroad Registration: UNCG Exchange Programs (including UNC-EP and ISEP) - If you are participating on a UNCG exchange program, IPC will register you for 12 credit hours of "ISE 999" while you are abroad. This registration will remain on your record until your program is completed and your overseas transcript is forwarded to IPC, at which time the ISE course designation will be replaced with the actual courses and credits earned while on program.
Page Two Non-UNCG Study Abroad Programs - If you are participating on a non-uncg program and your program has been approved, you will need to complete a course registration card and sign up for "JYA 999" ( 0" credit hours) and secure the signature of a Study Abroad Advisor in the University Registrar s Office (180 Mossman). By registering for this "course," your ability to register at UNCG will be maintained. Note: there may be a $10 registration/course fee assessed per semester for JYA 999. Be sure to leave sufficient money in your UNCG account to cover the fee for any future semester registrations too. If you plan to graduate upon your return, do not forget that you must apply for graduation by University deadlines. Credit Transfer - All credit will be on a transfer credit basis. No letter grade assignments will be made for the courses for which you receive credit. If you make the equivalent of a "C" or better, you will receive hours of credit; you will not receive quality points. Note: Financial aid recipients on UNCG Exchange Programs (including UNC-EP and ISEP) must maintain full time status (12 credit hours) each semester while abroad (except summer programs) and must receive transfer credit equivalent to a full time course of study at UNCG for the same period of time. This form is used when students participate on a UNCG exchange program, the International Student Exchange Program (ISEP), and the University of North Carolina Exchange Program (UNC-EP). This form serves as a tool for discussing the student's plans for academic study abroad. S/he has been informed that this form does not guarantee credit transfer but should prove helpful in determining prospective UNCG course equivalents and any potential problems that may exist. In some cases, please understand that no course descriptions exist; therefore the exact UNCG course equivalents cannot be determined until the student returns with texts, tests, essays, class notes and other course materials to show you. Here is a description of the credit transfer process. If you should have any questions concerning these procedures, please contact Penelope Pynes (x4-5404) in the International Programs Center. I. Before Departure Student discusses prospective courses with you, the Faculty Advisor responsible for transfer of credit and/or Department Head. It is advisable to identify more courses than the student intends to take so that he/she will be able to register for approved courses upon arrival. If no course description exists or UNCG course equivalents cannot be presently determined, please indicate this in the appropriate space. Your initial and signature are requested on the Request for Transfer Credit form to indicate your approval of the student's participation. Students in the Bryan School must have proper approval from the Bryan School Advising Center. Note: any courses at the 300 level or above should be approved by appropriate Department Head. II. While Abroad For all programs approved for UNCG credit, the student will be registered for either: 12 credit hours of International Student Exchange (ISE 999) when on a UNCG program; or "zero" credits of Junior Year Abroad (JYA 999) when on a non-uncg program. By remaining registered on campus, the student s ability to register at UNCG will be maintained. III. Upon Return Official transcripts from the study abroad program sponsor will be forwarded to IPC as soon as possible following completion of the program. For undergraduate students, transcripts are evaluated by students' respective academic departments and the Academic Advisor for Study Abroad in the International Programs Center, in consultation with the UNCG Study Abroad Committee. The evaluation process will determine how the course work taken abroad applies toward each student's own curriculum and graduation requirements. Foreign language credit may be determined upon consultation with appropriate individuals in the departments of foreign languages. All credit granted will be in the form of transfer credit according to standard UNCG transfer credit regulations. Accordingly, credit earned overseas will not be counted in a student's G.P.A. TRANSFER CREDIT CHECKLIST FOR EXCHANGE STUDENTS Now that you have been accepted for a study abroad program, it is important that you are aware of the following information. Please read this checklist carefully, initial each box as you read it, then sign and date the form. Be sure to bring your completed Transfer Credit Form to the International Programs Center (IPC) by the deadline date indicated in your orientation materials. If you are not participating on a UNCG sponsored program, you will need approval of a study abroad advisor in the University Registrar s Office (180 Mossman, x4-5946). I have turned in a Degree Evaluation and know to take a copy with me when I go abroad. I have completed my Transfer Credit Form For major credit I have gotten the initials and signature of the departmental advisor responsible for transfer of credit. For any courses above the 300 level or for major credit I have the department head signature. I have gotten the approval of the IPC Study Abroad Academic Advisor. The form is complete so I have brought it back to IPC along with a copy of my updated Degree Evaluation and any information I would like to leave with the office in order to make my transfer of credit go smoothly. I am aware of the following regulations: Residency hours: I need 31 hours at UNCG (12 in major, 9 in minor) before I can graduate. Study Abroad exchange credit is transfer credit, does not count toward residency, and does not affect my GPA. If I am on financial aid: I must complete 12 hours during each semester and must follow up on my transfer credit so that I get cleared by the end of July. If I am a senior: I know that I should not plan to graduate at the end of the program--transfer credit takes about a semester. Planned date of graduation: I m aware that I must receive the equivalent of a C or better from the host institution in order to receive transfer credit. I am aware that if I take any course while abroad which was not given prior approval I should contact my major advisor and the study abroad coordinator (studyabroad@uncg.edu) for clarification as early as possible. I will be sure that IPC is carbon copied on all email correspondence related to my program. IMPORTANT: Remember to obtain and bring your major advisor s email address and telephone number with you on exchange. If I am on financial aid: I know that I must complete a Host Institution Enrollment Form to verify course registration/course completion and submit it to IPC by the end of July. I am responsible for obtaining a signature of verification from my host coordinator and returning the form to IPC. If I fail to do so, my financial aid may be cancelled. If I am on financial aid: I know that if my official transcript has not arrived at IPC by the end of July that I should submit an Appeal to the Financial Aid Office and accompany that Appeal with an unofficial transcript. If I fail to do so, my financial aid may be cancelled. I know that I must keep all work, notes, and materials for the courses and bring them back with me upon my return to UNCG. I have made arrangements for Pre-registration for the period I am abroad. (Information concerning pre-registration will be/was discussed at Orientation.) Upon my return I will check in with IPC approximately one month after the new semester has begun either by dropping by or calling. I know that it is my responsibility to check on the status of my transfer credit in a timely manner after my return to UNCG. I will then follow through with my transfer credit so that I will be cleared by the end of July. Even if I do not return to UNCG I will followthrough on my transfer credit. If I am not on a UNCG program I have left $10.00 in my account for JYA 999 registration and made arrangements with the University Registrar s Office (please see IPC for details). I know that I cannot go on my study abroad program if the International Programs Center has not received the Transfer Credit Form by the deadline date (see paragraph at top of page).
