Office of Staff Development & Training Facility Use Terms and Conditions The Facility Use Terms and Conditions is designed to give facility users a clear understanding of their responsibilities. Gateways Training Facility 1881 Shivers Road Columbia, SC 29210 SD&T Training Complex 1620 Shivers Road Columbia, SC 29210 Facility Use The Office of Staff Development & Training manages two (2) training sites. The use of the Gateways training facility (1881 Shivers Road Columbia, SC) is primarily for training related functions ONLY. This facility should NOT solely be used for meetings, recreational or social gatherings that do not have pre-approved linked training components. Submission of training documentation may be required for use. The Gateways training facilities are only to be used for training functions and activities that relate to business with SCDJJ and its employees. Additional training/meeting space is also available at the SD&T Training Complex (1620 Shivers Road Columbia, SC). Only SCDJJ employees are allowed to reserve training space. Non-agency staff may attend training functions as participants of a SCDJJ sponsored event. Facility Hours -Training facilities operates during normal office hours 8:30am 5pm (Monday through Friday, excluding state holidays). For access to training facilities outside of these times, prior arrangements must be made. Access to the facility may not be available prior to day/time of usage depending on availability. -User should arrive in advance for setup and usage of equipment. Limited training staff available for onsite equipment assistance. User may be responsible for providing specific audio-visual equipment needed for their specific purposes. User The user is the identified person who is responsible to ensure that all on-site guidelines are followed. User ensures that the assigned training facilities are kept neat, clean and in good order. Note: Food and/or non-alcoholic drinks are allowed. Spills to the tables or floors should be cleaned immediately. NO food or drinks should be used in the vicinity of any electrical equipment. Excessive waste must be vacuumed or swept. ALL trash MUST be removed from each facility s trash can and placed in the outside trash can! User ensures that furniture and equipment are not removed from the facility. If furniture is rearrange within the space, it must be returned to its original location and arrangement. Page 1
User reports damaged or non-working equipment promptly to the Staff Development and Training facility manager/administrator. User ensures facility is LOCKED and secured when vacated (including lunch and end of use). Failure to comply with agency security requirements may result in denied access for future request. User agrees to notify Staff Development & Training in the event of cancellation at least 24 hours in advance. User ensures that participants are informed and adheres to the facility guidelines to include the following: Smoking The SD&T Training Complex and Gateways Training Center is property of the SC Department of Juvenile Justice, which is a tobacco-free state agency. Therefore, smoking is prohibited on all DJJ property. DJJ property includes all buildings, facilities, grounds and spaces leased, owned or controlled by DJJ (in accordance with the Tobacco Free Policy A-4.10). Parking Gateways: Parking is only allowed on the gravel areas. Individuals are not allowed to park or drive on any of the grassed roped-off areas. Security and Safety The Gateways Training Center is property of the SC Department of Juvenile Justice. Only authorized individuals are allowed on the premises. Security/recording cameras and devices are in use. Participants should use caution while on the premise, especially near the docking ramp/pond area. Other Animals used to assist individuals are allowed. All other domestic animals are prohibited on the premises. Feeding of geese or other animals are not allowed. Page 2
Facility Reservation and Access Procedures **A description of facility spaces (to include capacity and available equipment) is available at: http://www.state.sc.us/djj/sdt.php To reserve the facility, a requester MUST complete the Office of Staff Development & Training Facility Request Form. The completed form should be sent to training@scdjj.net or faxed to (803)896-9741. **Facility request should be made at least 30 days in advance of desired date. The Office of Staff Development and Training will respond to each request within 48 hours. Additional User instructions Key pickup (Only applicable if outlined in your User Confirmation Notice): Facility key pickup should be picked up as outlined in your User Confirmation Notice. In most cases, keys will be picked up from the main Staff Development and Training Office (1620 Shivers Road Columbia, SC). Key pickup time and location is based on the scheduled time of facility use! User is responsible to ensure keys are picked up and returned timely as indicated in the confirmation notice. If keys are lost, user assumes liability for key/lock replacement. Exiting procedure: -Ensure all trash removed and placed in outside large waste receptacle. -Ensure all lights and equipment are turned off. -Ensure all doors are closed and locked. *Keys MUST be returned as indicated in the User Confirmation Notice.
