Summary Guide: Branding and Publicity Requirements for Climate Challenge Fund Grant Recipients in receipt of funds from the European Regional Development Fund

1. Introduction In addition to using the Climate Challenge Fund and Greener Scotland logos, Climate Challenge Fund (CCF) Grant Recipients, who are also receiving funding from the European Regional Development Fund (ERDF) must acknowledge this on their website and in a variety of other materials produced for publicity, promotion and recruitment when appropriate. This should include correct use of the Greener Scotland and Climate Challenge Fund logos, plus the ERDF logo and additional explanatory text and weblinks when appropriate. To assist Grant Recipients in meeting all the branding and publicity requirements we have produced this step-by-step guide summary guide which also includes links to downloadable logos, templates, press releases and suggested text. The Grant Recipient should retain copies of all the above material produced, in preparation for an audit. If the above steps are not followed the Grant Recipient may be required to repay the ERDF funding to the Scottish Government. CCF Grant Recipients in receipt of ERDF Funding must also forward a copy of each item of material they produce to their Development Officer at Keep Scotland Beautiful. This material must be provided before any funds are claimed for the activity. 2. Websites In addition to displaying the Climate Challenge Fund and Greener Scotland logos, CCF Grant Recipients in receipt of ERDF funding must clearly acknowledge this on their website by including the ERDF logo, appropriate summary text and website links. A summary of requirements is detailed: the ERDF logo should be displayed alongside the CCF and Greener Scotland logos on the website homepage and all webpages that refer to project activities the three logos should appear as below when positioned correctly, preferably at the top right of webpages. the logos should be clearly visible when landing on the webpages without the user having to scroll down. The ERDF logo should be given equal prominence to other logos on the page the ERDF logo should be at a size of at least 146px by 109px and include a link to the European Structural Funds the European Structural Funds webpages https://beta.gov.scot/policies/european-structural-funds/ Grant Recipients should also include a summary of their CCF project on their website, including the total amount of funding awarded and portion of funding that is provided by the ERDF. The ERDF, Climate Challenge Fund and Greener Scotland logos are available to download in RGB format from: www.keepscotlandbeautiful.org/erdfbranding For audit Grant Recipients must include a link to their website in their CCF Startup Report and keep a screendump of their website to prepare for when their project is audited. 3
3. Publicity material a. A3 poster CCF Grant Recipients in receipt of ERDF funding must display a poster at a location readily visible to the public, such as the entrance area of their building or allotment. The poster must be a minimum of A3 size and contain: the Climate Challenge Fund, Greener Scotland and ERDF logos at the bottom of the poster text about the ERDF funding in the project description Example of A3 poster: We will email an A3 Poster to every CCF Grant Recipient in receipt of ERDF funding that contains all the required information, a relevant image, plus space to add your own logos and contact details. If you have not received your poster, please contact your Development Officer. For audit Grant Recipients must include an image of their completed poster on display in their CCF Startup Report and retain a copy for when their project is audited. 4
b. Publications We will email every CCF Grant Recipient in receipt of ERDF funding an A4 flyer that contains all the required information, a relevant image, plus space to add their own logos and contact details. Further details on the CCF will be included on the reverse. Example of ERDF A4 flyer: If you have not received your flyer, please contact your Development Officer. Creating your own publication materials If you wish to create your own publication materials, in addition to the Climate Challenge Fund and Greener Scotland logos, CCF Grant Recipients in receipt of ERDF funding must clearly display the ERDF logo in the top right-hand corner when appropriate. The three logos should appear at the top of the publication as per the ERDF flyer example above. Publication materials you may wish to produce include: Leaflets, booklets, flyers Letterheads Compliment slips Participant records and attendance sheets Certificates 5
Business cards Corporate Stationary The ERDF, Climate Challenge Fund and Greener Scotland logos are available to download in logo strips for A1, A2, A3, A4 and A5 publication materials from www.keepscotlandbeautiful.org/erdfbranding Please use the logo strips so the border around the logos reaches across the full width of the page. Please do not amend the colour or format of the logo strip. Please leave at least double the height of the S of the Greener Scotland logo around the edge of the logos. For audit Grant Recipients must keep copies of any publications materials their project produces to prepare for when their project is audited. Grant Recipients should also email a copy to their Development Officer at Keep Scotland Beautiful. 6
c. promotional items In addition to displaying the Climate Challenge Fund and Greener Scotland logos, CCF Grant Recipients in receipt of ERDF funding must prominently display the ERDF logo on promotional items when appropriate. The three logos should appear as below when positioned correctly Examples of promotional items include: Banners Pop-up stands Pens Pencils Lanyards Mugs Key rings Bags, T-shirts Where possible, larger promotional items such as banners and pop-up stands should carry the @scotgovesif Twitter handle. d. Press Releases CCF Grant Recipients, also in receipt of ERDF funding should acknowledge the funding received from the Scottish Government s Climate Challenge Fund and ERDF in press releases and other articles. We have produced editable press release templates which contain all the information required in both the main body of the release and notes to editors section for: announcing the award of CCF and ERDF funding publicising events that your project may run The templates are available to download at: www.keepscotlandbeautiful.org/erdfbranding If you are producing your own press release, in addition to acknowledging the funding received from the Scottish Government s Climate Challenge Fund and ERDF you must include a variety of information in the Notes to Editors section of press releases: The Climate Challenge Fund is a Scottish Government grant programme, managed and administered by Keep Scotland Beautiful, which provides funding and support for community groups to tackle climate change through local community-led projects. www.keepscotlandbeautiful.org/ccf The Climate Challenge Fund (CCF) was launched in 2008 and since then 1,097 projects in 658 communities, across all 32 local authorities, have been awarded CCF grants totalling over 101 million. In 2018-20 the Climate Challenge Fund is 15.3 million and is a combination of 14.3 million from the Scottish Government and 1 million from the European Regional Development Fund. The European Regional Development Fund comes from the European Structural and Investment Fund which helps to facilitate major investments to support transformational change and economic and social structural reforms across Scotland. The Scottish Government is the Managing Authority for the European Structural Funds 2014-20 Programme. For further information visit the website or follow @scotgovesif. For audit Grant Recipients must keep copies of press releases relating to their CCF project to prepare for when their project is audited. They should also send a copy to their Development Officer at Keep Scotland Beautiful. 8
4. Recruitment CCF Grant Recipients also receipt of ERDF funding should use the ERDF logo in addition to the CCF and Greener Scotland logos in adverts, job descriptions and contracts when appropriate. The three logos should appear as below when positioned correctly. CCF Grant Recipients also receipt of ERDF funding should state in adverts, job descriptions and contracts when an employment position is funded by the CCF and ERDF. Suggested text: This position is funded through the Scottish Government s Climate Challenge Fund and the European Regional Development Fund. The ERDF, Climate Challenge Fund and Greener Scotland logos are available to download in logo strips for A1, A2, A3, A4 and A5 promotional items. www.keepscotlandbeautiful.org/erdfbranding Please use the logo strips so the border around the logos reaches across the full width of the page. Grant Recipients should forward a copy of each job advert, job description and contract they produce to their Development Officer at Keep Scotland Beautiful. This material should be provided before any funds are claimed for the activity. 9
5. Visual presentations CCF Grant Recipients also receipt of ERDF funding should use the ERDF logo in addition to the CCF and Greener Scotland logos in visual presentations and include further information about the ERDF. Videos CCF Grant Recipients also receipt of ERDF funding should use the ERDF logo in addition to the CCF and Greener Scotland logos in videos when appropriate. 7. Social media CCF Grant Recipients also receipt of ERDF funding should: ensure their own Twitter accounts are following the Scottish Government Twitter account for European Structural Funds @scotgovesif use the @scotgovesif Twitter handle in posts to promote their award of funding and project events and milestones as much as possible support and promote any Twitter activity using European Structural Funds hashtags i.e. #europeanstructuralfunds or #ESIF 8. Other publicity and case studies CCF Grant Recipients in receipt of ERDF funding should also be prepared to assist the Scottish Government, Zero Waste Scotland and Keep Scotland Beautiful with annual communications and publicity events, plus production of case studies as required. 10
9. Logo sizing and positioning For each item of online or printed material that CCF Grant Recipients also in receipt of ERDF funding produce they should refer to the appropriate section of this guide and follow any specific requirements regarding positioning and sizing of logos. More general logo sizing and positioning advice is outlined: please do not amend the colour or format of the CCF, Greener Scotland or ERDF logos or logo strips downloaded the logos must be reproduced to a satisfactory quality when enlarged, and fully legible when reduced in size the ERDF, Climate Challenge Fund and Greener Scotland logos are available to download in correctly sized logo strips for A1, A2, A3, A4 and A5. For print materials please download the logo strip suitable to your size of document (e.g. A4 logo strip for A4 document) and use the full width of the logo strip across the document. For print, the minimum size for the width of the ERDF logo is 45mm (A4), 65mm (A3), 70mm (A2) and 80mm (A1) leave at least double the height of the S of the Greener Scotland logo around the edge of the logos 10. Audit ERDF monies may need to be repaid to the Scottish Government if a CCF Grant Recipient also in receipt of ERDF funding does not keep records of all documentation relating to the promotion and publicity of ERDF activity. This includes documents relating to recruitment adverts, attendance sheets, certificates and publicity merchandise such as stationery, banners and visual presentations. CCF Grant Recipients in receipt of ERDF Funding must also forward a copy of each item of material they produce to their Development Officer at Keep Scotland Beautiful. This material must be provided before any funds are claimed for the activity. 11
11. Additional support To help Grant Recipients to produce correctly branded materials, they will be asked to complete a Branding and Promotional Requirements checklist in their CCF Startup Report.
