TATA MUMBAI MARATHON 2019 PHILANTHROPY STRUCTURE The Tata Mumbai Marathon The Tata Mumbai Marathon holds a place of prestige amongst the top 10 marathons in the world. It is not only a platform to test an individual's sporting excellence but also a unique fundraising platform for participating charities. Over the years, it has assumed a stature of eminence, as the largest philanthropic sporting platform in India. Since its inception, the event has raised more than INR 229.93 crores, benefitting over 550 charities, with the funds being used for causes ranging from arts, culture & sports to education, environment, health, human rights and others; making the platform truly cause agnostic. The 2018 edition itself saw INR 34.36 crores being raised, shattering all previous records. The Philanthropy Partner As the philanthropy partner of the Tata Mumbai Marathon, United Way Mumbai (UWM) undertakes the multiple roles of facilitating participants to power their runs by supporting various causes, as well as enabling those who are not running, to participate via fundraising. The platform lets corporate employees benefit from the marathon as an employee engagement activity, while enabling NGOs to raise funds for their projects. United Way Mumbai maintains a cause neutral, level playing field for all participating NGOs. All funds raised through the TMM are channelized through UWM, which is responsible for accounting and providing tax exemption receipts to all donors. Individuals can undertake crowdfunding for the Tata Mumbai Marathon 2019 only through United Way Mumbai and no other crowdfunding platform. NGOs of fundraisers using other platforms will be considered defaulting and will be blacklisted. The TMM 2019 Philanthropy Structure The Philanthropy Structure provides a flow of the processes for the 2019 edition of the Tata Mumbai Marathon and provides an understanding of the entire philanthropic aspect. Whether you are an NGO, corporate or an individual, you will find detailed information in the philanthropy structure on important dates and procedures for raising funds to benefit the registered NGOs. NGO Participation TMM is one of India's biggest platforms to raise funds for an NGO. Over 550 NGOs have successfully raised in excess of INR 229 crore over the past 15 editions. The platform allows the participating NGO to raise funds through six different mediums NGO direct donations, charity bibs, corporate participation, individual fundraisers, special bib numbers, and NGO privilege level incentives. 4

TMM 2019 REGISTRATION PROCESS Applications open till THURSDAY, 2019 31/1 NGO Participation: All NGOs are required to successfully complete UWM s statutory and financial due diligence processes in order to be eligible to raise funds. New NGOs (i.e. NGOs who did not register in TMM 2018) and returning NGOs (i.e. NGOs who participated in TMM 2018) will be required to complete the process as mentioned below: Pre Verification Process STEP 1 (Statutory & Financial Diligence) STEP 2 (Organizational Details) TMM Registration Pre-verification Log in with the user id & Once United Way Mumbai password shared by reviews information from United Way Mumbai Step 1, log in & update (UWM). organizational details. For NEW NGOs Sign up here: www.unitedwaymumbai.org/ngo_signup.php For RETURNING NGOs i.e. NGOs participated in TMM 2018 Fill the online form and upload mandatory documents. Email UWM if there are any changes in the information that is already saved. Upload latest audited financials. Update if required. Log in to your NGO a/c. Fill the TMM 2019 online form. Returning NGOs must update fund utilization for funds raised in TMM 2018. Download, print, sign & stamp form. Submit to UWM with cheque of INR 12,000. For donations received online on the NGO page, no retention is charged. 100% of the amount is disbursed to the NGO. All payment gateway charges are absorbed by UWM. For donations received offline through cheque / DD, 4% of the amount will be retained by United Way Mumbai to defray administrative expenses. 6

CHARITY BIBS Charity Bibs Running slots (bibs) have been reserved for NGOs who register for TMM 2019, to help them raise funds. To maintain a level playing field, a minimum donation is mandatory per bib to be accepted for event registration. United Way Mumbai does not validate or verify the timing certificates. Therefore, it is the sole responsibility of the NGOs to ensure that the timed Bibs are allotted to runners who have a valid timing certificate. 7

CHARITY BIBS Allocation of Charity Bibs to NGOs: All participating NGOs are eligible to get upto 15 charity bibs, except for those returning NGOs in the charity bib ranking list, who will receive more. However, the 15 charity bibs can be claimed as mentioned below: 1st Allocation: Maximum of 10 bibs will be allocated on completion of the registration process. 2nd Allocation: Maximum of 5 bibs will be allocated on full utilization of the previously allocated bibs. Note: NGOs can choose to block fewer bibs initially and come back for the remaining bibs by 23rd October 2018 to avoid forfeit of the deposit amount. Restriction of Race Categories in 1st & 2nd Allocation: Category A Category B Category C Category D Half Marathon (Register without valid timing certificate) Half Marathon (Register with valid timing certificate) Open 10K All NGOs are eligible for 15 CHARITY BIBS which are alloted in 2 rounds as mentioned below Unrestricted bibs 1st Round (Total 10 bibs) 3 2 1 4 2nd Round (Total 5 bibs) Post Utilization of all bibs alloted in 1st round, NGOs will be eligible for 2nd round 1 0 1 3 Option to convert alloted bibs to other race categories Full Marathon Half Marathon (Register with valid timing certificate) Half Marathon (Register without valid timing certificate) Open 10K Dream Run Senior Citizen Run CWD NGOs falling in the Charity Bib Ranking List have a higher allocation, as listed on the UWM website. 3rd Allocation: All NGOs can put in a request for additional bibs once they have utilized and submitted all the previously allocated bibs by 23rd October 2018. Allocation of additional bibs is subject to availability. Note: NGOs who have returned any of the earlier allocated bibs will not be eligible for additional bibs. 8

CHARITY BIBS SUBMISSION PROCESS Charity Bib Ranking List: NGOs that raised funds through charity bibs in TMM 2018 are ranked and listed using a weighted average formula, that has two components in a 60:40 percent weightage, respectively - Average amount per bib and Total amount raised through bibs. The first 70 NGOs from this list are eligible for a higher bib allocation in TMM 2019. The list is available on the United Way Mumbai website. These 70 NGOs must register before 23rd October, 2018 to avail of their allocated bibs. NGOs participating in TMM 2019 will be ranked according to a similar formula for TMM 2020 bib allocation. Charity Bib Submission Process Log in to your NGO account page, go to the TMM Registration tab and then to Bib Manager: ONLINE DONATION* Enter amount Generate donation link Share donation link Donor makes online donation Bib Manager Select Bibs Add ONLINE DONATION Add OFFLINE DONATION Upon realizing the donation, UWM will share voucher codes with NGOs for runner registration Enter donation details Download bib summary, print & highlight bibs to be submitted Sign & stamp bibs summary sheet Attach Cheque / DD Submit to UWM OFFLINE DONATION** Note: *Payment gateway charges of 3% will be deductible on online donations for charity bibs. **Donation cheques / DDs for offline donations should be in favour of United Way of Mumbai. No donation will be refunded once made. 9

Type of Race Categories, Eligibility & Race Fees CHARITY BIB TIMELINES NOTE: Applicable Race Fees are to be paid by the runner directly to the Event Organizers Procam International Pvt. Ltd. at the time of Runner Registration. Runner Registration Once the donation cheque/s are cleared or donation has been made online, United Way Mumbai will provide the voucher code and link for runner registration with the event organisers. The runner will be required to use the voucher code for registration and pay the fee for the selected race category directly to Procam International Pvt. Ltd., in order to complete the registration process. Charity Bib Timelines 23rd October 2018 Tuesday 20th November 2018 Tuesday 3rd December 2018 Monday 1. Return bibs against full refund. 2. Last date to complete 1st allocation and avail of 2nd allocation. 3. Request for additional bibs in 3rd allocation*. 4. Top 70 NGOs must register by this date to avail of the bibs for which they are eligible. * B i b s c a n b e b l o c ked i n 2 n d & 3 r d allocation only after the already allocated bibs are utilized and submitted to United Way Mumbai. Last date to utilize and submit donations for charity bib applications to United Way Mumbai. Last date for runners to register online using voucher codes issued by United Way Mumbai. Premium Bibs: Post charity bibs 1st, 2nd & 3rd allocation rounds, if there are any bibs available with United Way Mumbai, they will be available for NGOs or runners to avail of at a premium donation. Premium bibs are open to everyone and need to be availed of directly from United Way Mumbai. Allocation of the same will be done on a first come first serve basis, until they are available. The minimum donation amount for premium bibs will be declared at a later date. Charity Bib Retention: United Way Mumbai retains INR 250 per bib, irrespective of the amount raised per bib. Donation made to UWM does not include event fees and is disbursed to the NGO post deduction of applicable retention per charity bib. For donations made online against charity bibs, a 3% payment gateway charge is applied. 10

SPECIAL BIB NUMBERS Special Bib Numbers: Registered confirmed runners of the TMM get an opportunity to upgrade their bib number to a special number of their choice against a fixed donation to a chosen NGO on the United Way Mumbai website. This is a separate donation made to avail of a special number bib and cannot be claimed against any other donation. Unique numbers - fixed donation of INR 10,000 The list of unique numbers for each race category will be available on the United Way Mumbai website s TMM page: www.unitedwaymumbai.org/tmm-special-bib-numbers.htm Custom numbers - fixed donation of INR 5,000 Runners have the option of selecting their own 6 digit number against a fixed donation of INR 5,000 to any NGO of their choice. The number cannot begin with the digit 0 and confirmation is subject to availability. This number can be used for any race category. 6 digit numbers are particularly suitable for commemorating dates, such as birthdays and anniversaries. Special bib numbers are available on a first come first serve basis and limited to the first 1,000 runners applying for the same. Process: Interested runners will need to apply via the form provided on the United Way Mumbai website, mentioning the number they are interested in, along with their confirmation / application number received from Procam International Pvt. Ltd. On receiving a confirmation of availability from United Way Mumbai, the runner can make an online payment via the UWM website. Once the payment is confirmed, the number will be allocated to the runner. Last date for registering for a special number is Wednesday, 26th December, 2018 11

NGO PRIVILEGE LEVELS AND INCENTIVES NGO Privilege Levels: In order to incentivize the efforts of participating NGOs in leveraging the TMM platform, a list of indicators has been identified, which translate into points for the NGO. Furthermore, these accumulated points are converted into privileges for the NGO. Note: The privilege level is not a rating of an NGO s work and only indicates their level of participation in the TMM. An NGO may strive to improve its privilege level till 31st January, 2019 but race day benefits will be decided as per the NGO's privilege level as on Wednesday, 26th December, 2018. Has at least 4 star fundraiser experience rating on their page by Wednesday, 26th December, 2018 *** Has a Young Leader ** Has 5 Young Leaders ** 13 14 15 Has a Bronze Fundraiser* 01 02 Has 10 Fundraisers* 03 Has 15 Fundraisers* Has 15 Change Runners 12 1 Point 04 Utilizes at least 5 charity bibs Has 5 Change Runners 11 each for each Indicator 05 Has an average of INR 12,000 per charity bib Has a Change Runner 10 Has a corporate with employees fundraising at least INR 10,000 cumulatively 09 08 Has 10 supporting corporate teams 07 06 Has 5 supporting corporate teams Has a supporting corporate team 12 *Fundraiser bronze with min 5 donors. * In relation to the above indicators, a Fundraiser is defined as such when they have raised at least INR 10,000/- with a minimum of 5 donors supporting them. th th ** A Young Leader is a fundraiser below the age of 21 years as on 20 January, 2019 (born on or after 20 January 1998) and has raised a minimum of INR 75,000. *** Average 4 star fundraiser experience ratings: Min 4 star rating given by individual fundraisers on NGO page. This experience rating is not a rating of the NGO s work or projects. Fundraisers will be asked to rate their experience with the NGO based on the support & acknowledgment provided to them by the NGO for their TMM campaign.

NGO PRIVILEGE LEVELS AND INCENTIVES GOLD (5-8 points) Incentives for privilege level NGO: 1. GOLD badge on the page. 2. 1 complimentary dream run bib.* 3. 1 invite to the corporate tent on race day.* 4. Name to be featured at the Mirchi Get Active Expo of TMM 2019.* 5. CORPORATE TEAM PARTICIPATION Corporate team is a category specially designed for companies who wish to field employee teams for participation in the TMM to raise funds for NGO(s) of their choice. Over 7250 employees from 169 companies participated in the Tata Mumbai Marathon 2018. Besides raising substantial amounts of funds for various causes over the years, this has emerged as an excellent employee engagement and team bonding activity. Corporate teams are hosted in a special tent on race day for a differentiated team experience, and enjoy priority dream run line up over the general categories. Corporate Tent & Benefits: On race day, a special tent is set up in the holding area to exclusively host employees of the corporates participating through charity. These employees are engaged in various fun activities pre and post completion of their race. Activities like games, Zumba, foot massage, art and craft, photo booths, team challenges, etc. ensure that participants have an amazing experience at the TMM. Some of the benefits that the corporates can look forward to are: Corporate runners are eligible for timing relaxation in Half Marathon. For details please refer to the Corporate Philanthropy Structure which can be found in the 'Downloads section of the United Way Mumbai website. Company Name' will be mentioned on the running bibs of the runners. Dream Run participants will be lined up ahead of general category on race day. Therefore, it is the sole responsibility of the corporate to ensure that the timed bibs are allotted only to runners who have a valid timing certificate. Contribution Options: Option A - Make a single donation through one cheque Option B - Split the donation into two cheques (as mentioned in the table overleaf) for companies who require their contribution to be compliant with their CSR policy, which mandates that contributions have to be made directly to projects or programmes. In case of direct bank transfers, the recipient NGO would need to share the bank statements to verify the receipt of donation/s. If the corporate is not registered under the Indian Companies Act 1956 and is a 100% subsidiary of a foreign company, the funds will be considered under FCRA and the beneficiary NGO must have FCRA registration. The corporate will also be required to provide an authorised declaration on a company letterhead confirming the same. Corporate contribution does not include runners event participation fee. The event fee as applicable has to be paid separately during team submission to Procam International Pvt. Ltd. Procam International Pvt. Ltd. will generate a separate invoice post team submission, which will consist of race fee as per the race category of employees. Runners will receive confirmation after 15 working days of the payment being made. For vendor registration of Procam International Pvt. Ltd., kindly send the form and instructions (if any) to accounts@procam.in Confirmed corporate runners can also choose to upgrade their Bib number to a custom number of their choice against a donation to any registered NGO, as explained in the 'special bib numbers' section on page 11 16

CORPORATE TEAM SUBMISSION Submission: Latest by TUESDAY, 2018 13/11 Corporate runner applications are processed through an online portal, which allows the company SPOC to receive and edit multiple applications, and make a final selection of team members from the applications received. This process allows the company SPOC to run interesting employee engagement activities, inter-company / inter-departmental competitions / challenges in the time until final team submission on the portal. Process: 1. After initial registration, United Way Mumbai will provide the company SPOC with login credentials to an exclusive corporate team registration website. 2. The company SPOC will also receive a customized web link, which is to be shared with employees for registration on the corporate registration website. 3. Once the employees register, the company SPOC is required to login, select and submit the runner applications as per the allotted limits. The deadline for team submission is 13th November 2018. Once the company SPOC submits the team, they will not be able to access it or make further changes. 4. Once the SPOC submits the final team/s and United Way Mumbai completes the verification process, an invoice will be generated based on the selected race categories. (See page 7 for race fees). The corporate will have one month to make the payment from the date of invoice being generated or until 15th December 2018, whichever is earlier. Where payment is not received by the event organizers, runner bibs will not be issued at the Mirchi Get Active Expo of TMM 2019. In such a case the amount donated to the chosen NGO and / or United Way Mumbai will not be refunded. 5. Once the payment is made by the corporate, the employees will receive confirmation within 15 working days. 17

EMPLOYEE FUNDRAISING - CORPORATE CHALLENGE Employees of participating corporates can choose to deepen their philanthropic involvement in the TMM by fundraising for causes and NGOs of their choice. Raising funds for a cause is a deeply satisfying and rewarding experience & provides an opportunity to contribute to those in need. Process: Employees are encouraged to create their own personalised fundraising page on the United Way Mumbai website. They may also choose to add collaborators to their page. These personalised and feature rich pages will allow the employees to customise appeals; select NGO/s; upload photographs and videos; set targets; receive all important communication, donation notification and updates on the dashboard. These pages are easy to share on social media. While creating the fundraising page, each employee is requested to select the corporate they are associated with, so that the funds they raise reflect under the employee fundraising category. All privileges and levels that accrue to fundraisers are covered under the individual fundraising section on page 23. Note: 100% of all online funds raised are disbursed in entirety to the beneficiary NGO. On offline funds (like cheque / DDs / NEFT) United Way Mumbai retains 2% or less (depending on fundraiser level) as opposed to a maximum of 4% in case of general individual fundraisers. Offline Fundraising: Corporates may choose to accumulate donations on behalf of their employees and contribute them to the NGO being supported. To submit contributions through offline sources like cheques, DD, NEFT, a form needs to be filled and submitted to United Way Mumbai along with the cheque/s or DD/s favouring United Way of Mumbai. The accumulated funds will reflect in the corporate page on the United Way Mumbai website. 18

INDIVIDUAL FUNDRAISING Fundraiser: A fundraiser is any individual raising any amount of funds for chosen NGO/s to make a difference and support a cause which is close to his / her heart. Depending on the fundraising amount, the individual gets upgraded to different levels. An individual may at any point of time choose to add collaborators to his / her page to make fundraising a combined team effort; but only the creator (owner) of the page and not the collaborators, will be eligible for individual fundraising incentives. YOUNG LEADERS: The TMM celebrates the spirit of young India and encourages the youth to participate in acts of building social awareness and raise funds for cause/s close to their heart. Fundraisers below the age of 21 years as on race day fall under this category (born on or after 19th Januar y 1998). All Young Leaders are requested to enter their birth date on their page, which will ensure that they will be also listed under a separate segment called 'Young Leaders'. On raising INR 75,000 the Young Leader is entitled to a complimentary special running bib with a customized 6 digit number of their choice for the Dream Run category provided they are over 12 years of age (born on or after 19th January 2007). This bib is non-transf errable. All Young Leaders are given an official certificate in recognition of their efforts after the fundraising cycle. All other privileges and United Way Mumbai retention are applicable to Young Leaders as per the fundraiser level achieved. CHANGE RUNNERS: Fundraisers who raise a minimum of INR 1.5 lakh are acknowledged as Change Runners for their deep commitment and significant impact towards their chosen cause. Change Runners get a complimentary special running bib with a customized 6 digit number of their choice for any race category of their choice along with priority line up. This bib is non-transf errable. Timing restrictions are waived for Change Runners selecting Half Marathon. However, those wishing to participate in the Full Marathon will have to fulfill the timing criteria. 21

INDIVIDUAL FUNDRAISING TMM Change Legend: Change runners raising over INR 1 crore in a particular edition of Mumbai Marathon will be known as TMM Change Legends and will be celebrated for their extraordinary commitments with a legendary status that would transcend editions of the marathon. The 'Title of TMM Change Legend' will be a life-long title and legacy of the person that would hold a special position on the Wall of Change at the Mirchi Get Active Expo of TMM 2019 and Procam Marquee. The TMM Change Legend will always remain a part of the Tata Mumbai Marathon and will be invited to all related events. Note: Race day privileges will be determined for all fundraisers by Wednesday, 26th December, 2018 Fundraisers achieving higher levels (beyond INR 1,00,000) post 26th December, 2018 will be acknowledged on the website and the event docket, but will not be entitled to race day benefits and privileges. The additional Dream Run bib will be a general category bib and not eligible for any special race day privileges. Race day photographs are subject to capture by https://www.marathonphotos.com and not in control of United Way Mumbai or the event organizer - Procam International Pvt. Ltd. The fundraiser privileges for Young Leaders are the same as the ones listed for individual fundraisers with the exception of the Young Leader being eligible for a special bib and priority line up on raising INR 75,000 instead of INR 1.5 Lakhs. Funds can be raised both online and offline. Funds raised online are disbursed in full to the supported NGO/s and United Way Mumbai absorbs the payment gateway charges (except for online payments received specifically towards charity bibs). No retention is charged on funds raised online. Funds raised offline (through cheques and DDs) carry a United Way Mumbai donation retention ranging from 4% - 0%, depending on the fundraising level. This amount is retained to defray administrative expenses. Donor details of a fundraiser s supporters will not be shared with the NGO unless the fundraiser specifically gives their consent. 24

DISBURSEMENTS Disbursements to the NGOs: All disbursements will be completed before 31/03 2019 Disbursements will be done in the following order: Corporate team donations by 30th November, 2018 Bib blocking deposit amount by 31st January, 2019 Charity bib donations by 31st January, 2019 Offline donations by 28th February, 2019 Online donations by 28th February, 2019 Disbursement will be through direct bank transfer. Hence, NGOs are requested to update United Way Mumbai immediately of any changes in the bank details submitted at the time of registration FCRA disbursements will be done through cheque / DD to the NGO 80G Receipts for the donors: Will be emailed within a month of cheque clearance. In case of online donors, the receipt will be emailed immediately. All donations above INR 100 will be entitled to 80G receipts. 80G receipts for charity bib donations will be system generated and will be emailed to the email ID provided. PAN number is mandatory for domestic donations above INR 2,000. Ensure that the email ID is filled in correctly in block letters for all donations along with the PAN Number. 80G receipts will be emailed from mail@unitedwaymumbai.org to all online donors on the ID provided at the time of online donation.
