Introduction Welcome Thank you for volunteering your time to help make a difference in the lives of Canadian children. This guide gives you the information needed to run a successful and rewarding campaign in your workplace for the benefit of increasing fitness in the lives of Canadian children. It is meant to be used in tandem with our Team Captain Guide, which can be found on our event website, spin4kids.com. Responsibilities You are the motivator, leader, communicator, organizer, and cheerleader for your organization on all things Spin4Kids. You get to lead your group to fundraise as creatively you would like, ending in an hour of fitness fun where you can whoop it up together and celebrate all that you have accomplished. Your role really comes down to keeping your group motivated and upto-date with the happenings of the event. That s it. It can be as easy or as complicated as you want it to be. As a corporate team leader, you will: n Recruit teams of up to 8 people each n Register yourself at spin4kids.com, and direct your group to do the same n Motivate your teams to reach the T.E.A.M. Fundraising goal of $1000 n Connect with your local Spin4Kids Event Leader to learn the details about your local event and schedule your group s participation n Share local event information with your group of participants n Join your co-workers on the first Saturday in March for an energetic ending to the journey Key Contacts & Resources Spin4Kids occurs the first Saturday in March. Plan Learn about GoodLife Kids Foundation As you begin to plan for your involvement in this event, you will need to gain an understanding of what GoodLife Kids Foundation (GLKF) does and how our Spin4Kids event helps get Canadian kids more physically active. GoodLife Kids Foundation strives to assist in providing physical activity opportunities and to remove some of the barriers that are currently holding kids back from living a healthy life. GoodLife Kids Foundation does this through the GoodLife4Kids School Program and the Grant Program. By learning a bit about the Foundation you will be better able to build your own involvement and commitment and to respond to questions and concerns from your organization s members. Resources available to you, besides this guide, include the event website spin4kids.com as well as the main Foundation website, goodlifekids.com. Here you will be able to see what the Foundation does and who benefits from the annual event, Spin4Kids. If you have any questions, feel free to contact your local Event Leader, or the GLKF office. Build a team The first task will be to recruit people from your organization to participate in the event with you. Spin4Kids is run with teams of up to 8 people. Each team can fundraise on their own (perhaps each team competing with one another), or everyone can join forces and work together. There are resources on the event website spin4kids.com for team captains, as well as participants, to assist with all things Spin4Kids. Things to consider while recruiting participants are: n The earlier you start recruiting, the more successful you can be in reaching your fundraising goals n Connect with the Leader of the Event you are participating in to get details on what activities are taking place n Try to include representatives from every department n You can have as many teams as you are able to recruit, but each team will require a Team Captain n Don t forget new hires who are looking for ways to get to know co-workers n As this event is open to anyone, you may consider including employees significant others and friends. (Note: Participants must be 12 years of age or older) Once you have people committed and excited to get started, have them go to the event website, spin4kids.com to register and get familiar with the event themselves. This is where everyone will be able to sign the waiver electronically, join or create a team, download the Participant Guide, and fundraise. Team Captains will also want to download our Team Captain Guide. 4
Set goals & develop a plan Once you have your teams recruited and registered you will need to get together to develop a plan of action. The goal of GoodLife Kids Foundation is for each Spin4Kids team to raise $1000 to help kids get active. With teams of 8 participants, that can be achieved by raising as little as $125 each! You are welcome to increase this goal at any time during your fundraising leading up to the event. You may also have a non-financial goal for the number of people you recruit to participate in the event with you. Work together to decide what is realistic for your organization this year. Once your goals are created it is time to develop timelines and milestones to monitor your progress. This plan of action should include: n Identifying steps to achieve your goals n Timeline for your plan (Consider key dates for your workplace) n Share your plan with corporate leaders to obtain buy-in and support 5
Execute Promote To get things started with your plan, make everyone aware of your upcoming involvement in the event Spin4Kids. Information needs to be communicated to the work population. Promote your efforts in advance with emails, conversations, the company newsletter, in staff meetings, etc. Include a variety of messages about GoodLife Kids Foundation, the Spin4Kids event, the importance of this cause to you personally, and how your co-workers can help. Let everyone know who is involved and what they can expect from your group. Am email template is included at the end of this guide to help you share information with your co-workers. Kick-off You can kick-off your fundraising campaign in a way that will get everyone s attention. This can be with promotional awareness on the event Spin4Kids and GoodLife Kids Foundation. You may want to start off with a free or low cost special event that will build an awareness of what you will be doing. Such as implementing Dress-down day, a Guess the Amount Candy Jar, or What is it? photo contest. Online Fundraising Online Fundraising can be done by your teams to anyone (within the organization or not) through their Fundraising Page on the website spin4kids.com once they are registered as a participant. Encourage all of your participants to ask their all of their contacts (e.g. family, friends, and professional network) for support. This strategy is the meat of your campaign. It can continue for the duration of your fundraising efforts. Special events Special events can boost morale, foster teamwork, and are FUN. Work together to choose fun events to round out your fundraising efforts. Remember to limit the number of events you do. Too many can be overwhelming to your co-workers and will counteract your efforts. One or two exciting events is usually the better choice. Make them fun, and low-cost to be involved. If you are planning a higher-cost event (e.g. silent auction) it is usually best to do it closer to the end of your fundraising so you have more time to create awareness. Manage & monitor By monitoring your organization s progress, you will be able to keep up the motivation for your participants, perhaps enticing them with competition amongst themselves. Provide regular communication to your team(s) of their progress, and suggestions to anyone struggling or lagging in their efforts. You can get regular updates from your local Event Leader. Your team(s) may be eligible for our T.E.A.M. Fundraising Rewards. We also have individual rewards based on fundraising levels. Execute Continued Corporate Matching Gifts Many companies offer a Corporate Matching Gifts program matching donations made by employees to a charity. This offers you a great opportunity to boost your Corporate Team fundraising efforts. In order to ensure that we are able to add the donation amount to your fundraising total please email events@goodlifekids.com with the following information: n Your Name n Your company name n Your event location for Spin4Kids n Amount of the donation anticipated from your company s Matching Gift program Cheques are to be payable to GoodLife Kids Foundation Registered Charity#89126 2628 RR0001 7
Event Day Just a couple of points to remember for the big day: n Ensure that everyone participating is aware of your scheduled times on event day n Arrive 30 minutes early in order to check-in n Remind your team to bring in all outstanding money and pledge forms n Bring water to stay hydrated n Take lots of photos and have fun! Wrap up Follow-Up Once everything is said and done, announce the results to your participants and to the organization as a whole. This effective recognition of the contributions from the group will be appreciated and build loyalty for continuous participation.
