History August 7-9, 2014 in Louisville, KY Rheumatology Nurses Society began with the passion of three nurses, who had a vision to empower other nurses through education and support, in order to make a positive difference in the lives of patients with rheumatic diseases. A vision was born out of personal experiences as they struggled alone to navigate the complexities of rheumatic diseases and treatment options. Their zeal was contagious, and others quickly joined their mission to significantly impact the lives of patients with rheumatic conditions. In 2008, RNS hosted its inaugural conference in Orlando, Florida. Seven years later, the RNS is the premier society for rheumatology registered nurses, with over 500 members in 2013. As leaders in the field of rheumatology nursing, our nurses enthusiastic collaborate with industry partners to learn about products and services that benefit their patients. On November 9, 2012, the American Nurses Association Board of Directors announced its recognition of Rheumatology Nursing as a nursing specialty, the approval of the rheumatology nursing scope of practice statement, and acknowledgement of the standards of practice for rheumatology Registered Nurses (RNs) and Advanced Practice Registered Nurses (APRNs) in rheumatology. In 2013 RNS co-published the Rheumatology Nursing Scope and Standards of Practice with the American Nurses Association (ANA). In early 2014 the Core Curriculum of Rheumatology Nursing will be published. 3

TERMS AND CONDITIONS 1. Contract. Contract for booth space must be completed online, mailed OR faxed, and must be executed by an individual who has the authority to act on behalf of the applicant. 2. Exhibit Booth Price. The prices for exhibit space are indicated on the previous page. 50% of the exhibit fee is due within 30 days of contract submission; the remainder is due and payable on or before June 1, 2014 in order to guarantee booth space. Booth prices include one table, two chairs, a wastebasket, pipe, drape, and side rail. Booth space is NOT guaranteed until Payment-In-Full is received by RNS. If full payment is not received by June 1, 2014, RNS will have the right to resell the assigned booth space. The exhibitor understands that any deposits made will be forfeited. 3. Exhibitor Booth Badges: 10 x 10 booths receive two exhibitor badges. 10 x 20 booths receive four exhibitor badges. Additional badges are $150 each with a limit of 4 exhibitor badges per 10 x 10 space. No Show badges are non-refundable. Registered conference participants who are also exhibitors are not required to purchase an exhibitor badge; however, exhibitor badges do not grant access to the conference. RNS requires an online submitted list of all exhibitor representatives by August 1, 2014. 4. Cancellation of Booth Space. Cancellations and requests for refunds must be received in writing no later than July 1, 2014, for 50% of the exhibit fee refunded, payable after the conference. Cancellations received after July 1, 2014, are non-refundable. 5. Assignment of Booth Space. Booth space is assigned on a firstcome, first-served basis. Priority is given to RNS veteran sponsors, and will be assigned by date order of submitted contracts. Booths are assigned on July 1, 2014. 6. Hospitality and Entertainment. No entertainment, social functions, or events may be scheduled by an exhibitor to conflict with educational program hours, exhibit hours, or social events held during the conference. Companies that are not exhibiting are prohibited from hosting hospitality or social functions. 7. Conduct of Exhibits. Interviews, demonstrations, and distribution of literature or samples must be made within the booth space assigned to the exhibitor. Canvassing or distribution of advertisements outside of the exhibitor s own booth will not be permitted. Such conduct is subject to immediate removal from the conference and future conferences. 8. Installation and Dismantle of Exhibits. All exhibits must be installed by 10:30 a.m., August 8, 2014, and will remain assembled until 2:30 p.m., on August 9, 2014. Exhibit removal prior to this time is NOT permitted. All exhibit space must be dismantled by 6:00 p.m. on August 9, 2014. 9. Exhibit Contractor. The Official Contractor for the RNS 2014 Annual Conference is the Carolina Tradeshow Decorators (CTD). www.carolinatd.com A CTD customer service desk will be accessible during the installation and dismantling of the exhibits. CTD will manage the following services: Furniture Decorator Signs Electrical needs Shipping Exhibit manuals will be sent approximately 90 days prior to the conference, with complete instructions on exhibiting and additional services available (i.e. electricity, carpet, etc.). 10. Hotel Discount Room Rates. Indemnification - The Exhibitor agrees to abide by the terms of this Contract, the Terms and Conditions, and any applicable provisions under the Rheumatology Nurses Society s agreement with the management of the Galt House Hotel and Suite, all of which are made a part of this contract by reference and fully incorporated herein. The Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of injury or damage to exhibitor s displays, equipment, and other property brought upon the premises of the hotel. The Exhibitor shall indemnify and hold harmless the Galt House Hotel and Suite, its agents, servants, and employees, and the Rheumatology Nurses Society, it s board members, contractors, sub-contractors, agents, employees and directors from any and all such losses, damages, and claims, except for losses, damages and/or claims that arise from the negligence or willful misconduct of the Galt House Hotel and Suite, its agents, servants and employees, and/ or the Rheumatology Nurses Society, its board members, contractors, sub-contractors, agents, employees or directors. 12. General Conference Registration. Exhibitor registration and booth space does not allow access to the conference. Any exhibitor wishing to attend the conference educational sessions will register and pay through the normal registration process used by conference participants. Exhibitors paying conference registration fees will be awarded contact hours for educational sessions attended. See RNS website for registration information. 8
13. Music Licensing. The exhibitor warrants that it will comply with all copyright restrictions applicable to exhibitors including, but not limited to, any music performance agreements required by the American Society of Composers, Authors and Publishers (ASCAP) or Broadcast Music, Inc. (BMI). Audio devices used as part of an exhibit, which project sounds beyond the perimeter of the exhibitor s booth, are not permitted. 14. Insuring Exhibits. Exhibitors are encouraged to insure their exhibits, merchandise, and display materials against theft, fire, etc. at their own expense. It is recommended that the exhibitor contact its insurance broker to obtain all-risk insurance or a rider policy covering exhibit property while absent from home premises for exhibit purposes. 15. Fire Regulations and Health Precautions. No exhibitor will be allowed to use any flammable decorations in the exhibit booth. Latex materials are not allowed in the exhibit hall. 16. Exhibit Space and Floor Plan. Every effort will be made to maintain the original configuration of the exhibit floor plan; however, RNS reserves the right to assign other than the requested space and to rearrange the floor plan and/or relocate exhibits, if necessary, without warning or notification. 17. Shipping Instructions. Information on shipping exhibit materials will be included in the exhibit manual prepared by CTD. 18. Subletting of Exhibit Space. Exhibitors are prohibited from assigning or subletting a booth or any part of the space allotted to them. Exhibitors may not exhibit, or permit to be exhibited in their space, any merchandise or advertising materials that are not part of their own products, or those of their subsidiaries. The selling of any products/services and the related taxes for delivery of products/services during the RNS Conference is the sole responsibility of the exhibitor. 20. Exhibit Contractors. Should an exhibitor choose to use a contractor for booth setup and dismantling, the contractor must comply with the requirements of CTD as specified in the exhibit manual. The exhibitor will provide RNS with name and contact details for contractors as well as evidence that the contractor has a Certificate of Insurance with a minimum of one million dollars liability coverage, including property damage, by July 19, 2014. 9
