Willard High School Gym An Open Letter to all Potential Vendors: Thank you for your interest in becoming or continuing to be a vendor at the Lighting of the Frisco Trail Craft Show. Last year s show was awesome! There were a few blips but overall we got rave reviews from shoppers and vendors alike. We plan for this year to be even better! The show drew over 100 vendor booths last year and a waiting list for any last minute cancellations was created. In light of this, we would like to ensure a diverse grouping of merchandise is available to our shoppers. To accomplish this task, you may be asked to supply pictures of your merchandise before your application can be approved. If you would like, you may provide a picture with your initial application to speed the process. We feel that this will lead to increased sales for each individual vendor and an improved experience for our customers. Last year s concessions were inadequate for the demands. We plan to remedy this situation by offering more options as well as vendor pre-orders. Once your application has been approved, we will send you information to pre-order your concessions so that it can be delivered to your booth. We want to support your business by helping to keep you with your merchandise. Please remember that for those in direct sales, we will only approve one vendor per brand (ie. Tupperware, Scentsy, Mary Kay, etc.); duplicates will be placed on a waitlist in case of cancellation. We are very excited to help your business shine at our show. Please read this information carefully in order to register successfully. 1. Registration forms MUST be mailed to the PO Box listed above. 2. Checks are to be made out to Willard Tigers Youth Baseball. 3. NO REGISTRATION FORMS WILL BE ACCEPTED AT WILLARD SCHOOLS. 4. The time for the show is 8:30 a.m. to 2:30 p.m. 5. Due to limited electrical outlets, vendors requesting electricity will be charged $10. 6. Tables are available for rent on a limited basis for $5 each. 7. Last day for cancellation or changes to your registration is 10/31/17. If you have met the deadline, your full registration fee or overpayment will be returned to you. Any changes or cancellation made after the deadline will not be refunded. 8. Space is limited for those selling products that are not crafts (Pampered Chef, It Works, Thirty One, etc). Priority will be given to the vendor that returns their registration first. If we receive multiple applications for the same product, subsequent applications will be held until 10/31/17 in case of cancellation. If no spot is available, your registration fee will be returned to you in full. 9. If your merchandise display could cause damage to the gym floor, please plan to bring something to place underneath to prevent this from happening. 10. Willard High School 8:30 AM to 2:30 PM Saturday, November 18, 2017 1. The gyms will be open for set-up at 6:00 a.m. on Saturday morning. Vendors may arrive any time after 6:00 with the understanding that booths must be set up and ready for customers by 8:15 am. Booth location map is attached. Check-in for booths will be inside each gym. 2. Booth spaces are arranged with many things in mind. We carefully plan to separate vendors with similar products and accommodate those needing electricity. A sign with your name will be taped to your booth. Booth spaces are assigned by the show coordinators and may not be switched without consulting Amanda McGee first. 3. There will be volunteers available to assist in carrying in vendor merchandise. Carts may be available near check-in. 4. Once you are set up, please move your vehicle to the farthest edges of the parking lot if you are able. This will allow areas nearest the entrances to be open for shoppers. 5. If you are not renting tables, please remember to bring your own, as well as your own chair & extension cords if necessary. 6. There will be a concession stand. We are serving breakfast and lunch along with drinks and other snacks throughout the show. There will be more options this year and once your application is approved we will get pre-orders for meals worked out with you so you will not be standing in line. 7. Show coordinators will come around periodically to give you a restroom or food break if necessary. 8. Please do not close your booth before 2:30 pm. 9. Outdoor signs will go up at least a week prior to the show, but any help publicizing this event would be greatly appreciated. I have attached a copy of our flyer that you may print & hang at any location that will allow it. A Facebook page has been set up for the show Lighting of the Frisco Trail Craft Show. Please visit the page and share it with your friends to promote this show through your Facebook page! Feel free to make a post showing or discussing products you plan to sell at the show. 10. Willard Tigers Youth Baseball, its designees nor Willard Public Schools are responsible for accidents incurred during the show or loss/ damage to merchandise. 11.
