City of Coralville Coralville Parks & Recreation Invitation to Submit Proposals Coralville Center for the Performing Arts Donor Signage and Office/Auxiliary Space Signage The Coralville Parks & Recreation Department is accepting proposals for the provision for donor signage and office signage for the Coralville Center for the Performing Arts. The project includes signage for donor recognition of individual spaces and for the recognition of seat sponsors. Proposals will be submitted with three options for the City to consider. The City is requesting that the company submit a proposal for three different styles and price points. The options will be submitted showing pictures/concept plans for the signage project, actual product examples for each signage choice in the submission, and pricing for each signage submission. The City intends to choose a signage concept based on look of signage, price of signage, and references for installation of the project in the timeline that is spelled out below. Notice to Providers: Sealed quotes will be received at the office of Coralville Parks and Recreation, 1506 8 th Street, Coralville, Iowa 52241, until Tuesday, June 7, 2011 at 2:00 p.m. Pre-Quote Meeting A meeting will be held on Tuesday, May 31 at 3:30 p.m. in the lower level of the Coralville Public Library to answer any questions and to tour the project area. Interested parties may register his/her interest in attending the tour and meeting by sending an e-mail to sproud@ci.coralville.ia.us. Attention: Director of Parks and Recreation on or before the quote opening, local time and date specified. Quote shall be sealed and clearly marked on the front with reference to Coralville Center for the Performing Arts Donor Signage. Bids will be submitted by US mail, courier service, or in person. Quotes will not be accepted by e-mail or by fax. Opening: Quotes will be opened Tuesday, June 7, 2011 at 2:00 p.m. It is intended that recommendation will be made by City staff to City Council on the June 14 Council meeting.
Right to Refuse The City of Coralville reserves the right to reject any and all quotes. DETAILED SPECIFICATIONS Timeline The City of Coralville will provide names for the donor plaques for individual areas recognition no later than June 30, 2011. Installation of the recognition signage will take place no later than August 23, 2011. The City of Coralville will provide names for the seat sponsorships no later than June 30, 2011. Installation of the seat sponsorship recognition will take place no later than August 23, 2011. The City of Coralville will provide an additional update to the donor and seat sponsorship signage on or before November 1, 2011. Installation of the recognition signage will take place no later than January 15, 2012. The product proposed for the signage should be available for a minimum of ten years post initial installation to insure additional signage can be added on a periodic basis. Description of Signage Requested The City of Coralville is seeking to recognize donors who ve contributed to a $1.4 million capital campaign for the Coralville Center for the Performing Arts. The project is a 482 seat theater in the Town Center area of Coralville and is adjacent to the Coralville Public Library. Maps of areas that would be eligible to use for donor signage and concepts of the lobby space are included with this packet. There will be several levels and types of signs needed as listed below: Individual Donor Signs Eighteen (18) to twenty (20) plaques recognizing larger gifts and installed in individual areas. The City desires a uniform size or a few sizes for these recognition plaques. Spaces include: Stage curtain, green room, dressing rooms, lower lobby, upper lobby, and other areas. Donor Listing Signs Approximately eighty (80) donors to be recognized for their contributions to the campaign. This signage would be located in the main lobby area. The City is open to ideas regarding this signage as being all on one sign or as a smaller, artfully designed
collage recognizing levels of donations. There is wall space as well as a column in the middle of the lobby which could be used for the signage. It is important that the signage is flexible and the City is able to add to this signage recognition later. Seat Sponsors Signs *Approximately 175 seat sponsors for the main floor seating recognition. When all main floor seats are sponsored, 300 plaques will be needed. This signage can be one sign or as a smaller, artfully designed collage. The donor listing sign should have more importance than seat donors. The main floor seating recognition should be located in the main lobby. *Approximately 100 seat sponsors for the balcony seating recognition. When all seats have been sponsored in the balcony, 182 plaques will be needed. This signage can be one sign or as a smaller, artfully designed collage. There should be a distinction between main floor seat donors and balcony seat donors. Other Signage Needs Directional signage will be ADA compliant. Two (2) directional signs for lower level hallway from entrance from parking garage to lower lobby doors. Office Signage will be ADA compliant. The following office/storage area signs will be needed. Main entrance into office suite. Seven offices signage desired will have the ability to insert a laser printed name plate into a frame to create the office sign. Custodial two (2) signs. Restroom Signage all restroom signage will ADA compliant. Three (3) men s restroom signs. Three (3) women s restroom signs. Two directional signs for guiding to restrooms.
Installation Signs will be surface mounted on dry wall or on walnut paneling. A diagram showing the walnut paneling will be provided at the May 31 meeting. Mapping With this Request for Quotes should be included diagrams showing potential areas for donor signage areas marked for individual donor recognition areas, and offices/spaces that will be signed. Concept Drawings With this Request for Quotes should be included concept drawings for the lobby, theater interior, and other spaces. These can be used to guide the choice of materials for signage. Quote Selection The winner quote will be selected based on look of the signage/recognition proposal, price of the product, ability to meet the timeline specified. Utilities It is the sign contractors responsibility to coordinate placement for the signage with the building contractor to locate utilities if needed. Coordination with Owner Installation will be coordinated with owner. There will be periods in August inside the theater when sound systems will be tested and no noise or extra personnel will be allowed inside the theater. Warranty All products will be warranted for one full year for installation. All products will be warranted for two full years against corrosion, fading, oxidation, rust, decay, or other degradation of the material. Tax Exempt The City of Coralville is a government body and therefore tax exempt. The Coralville Center for the Performing Arts Donor Signage project will be bid excluding tax. Contractor and sub-contractors will be issued tax exempt certificates.
COST AND CONTRACT SUMMARY A. The undersigned agrees to furnish and complete the above project by August 23, 2011, in accordance with the attached specifications. B. Contract Award It is the intent of the City of Coralville to make an award within ten (10) working days of the quotes due date. Award shall be based on criteria as follows: price, style, references or history of past projects with the city, and ability to meet completion deadline. A general project contract will be generated from the city. 95% of project total will be paid upon invoice submittal, with balance of 5% paid 30 days after city council acceptance of completed project. The acceptance will be based on the first installation and not on the second. A second bill will need to be generated for the additional signage and any additional future signage.
