Version 20.6 Build 3697 Release Notes These Release Notes contain important information for all Medtech Users. Please ensure that they are circulated amongst all your staff. We suggest that these notes are filed safely for future reference. The following items are included in the Version 20.6 release: Enhancements in the Version 20.6 Release Newborn Preliminary Enrolment The Ministry of Health has introduced a Preliminary Enrolment process for Newborns from 1 October 2012 that allows practices to enrol Newborns after acceptance of the National Immunisation Register (NIR) notification. The Newborns GP will then then be able to complete the formal enrolment process when the Newborn presents for their six week immunisation. Practices will be allowed to submit the Newborn for funding at the next enrolment register processing even if they have not completed the formal enrolment process as long as the Newborns Date of Birth is 6 weeks or less than the Export run date/due date for the respective funding quarter. The following changes have been made to the Medtech32 application to provide the capability for Preliminary Enrolment of Newborn Patients: Preliminary Enrolment Patient Alert On upgrade a new Patient Alert will be added to Setup Patient Register Alert screen. The new Patient Alert will be inserted with a code of B and a description of Preliminary Enrolment. Note regarding the setup of the Patient Alert: If a Patient Alert already exists in your Medtech32 database with a code of B, then the Patient Alert will be added as #B. If a Patient Alert already exists in your Medtech32 database with a code of #B, then the Patient Alert will be added as ##B. If a Patient Alert already exists in your Medtech32 database with a code of ##B, then the Patient Alert will be added as ###B. When a Newborn Patient is added to Medtech32 through the NIR Birth Nomination message or manually added via the practice, this Patient Alert will be used to alert the user to the Newborn Enrolment Status of the Patient. Preliminary Enrolment Status On upgrade a new Enrolment Status will be added to the Patient Register screen Enrolment/Funding Tab. The new Enrolment Status will be inserted with a code of B and a description of Newborn Preliminary Enrolment. When a Newborn Patient is added to Medtech32 through the NIR Birth Nomination message or manually added via the practice, this Enrolment Status will be used to identify to the user the Newborn Enrolment Status of the Patient. Patient Palette Enrolment Status The Patient Palette will now display a B Enrolment Status for any Patient that has an Enrolment Status of Newborn Preliminary Enrolment (B) selected in their Patient Register. The B Enrolment Status will display when the Practice has the show Enrolment status on palette option selected in the Form/Form Nos Tab of the Setup Location screen. Appointment Book Indicator for Newborn Enrolment Status The Appointment Book Stat column will now display with a Light Pink colour for any Patient that has an Enrolment Status of Newborn Preliminary Enrolment (B) selected in their Patient Register. The Light Pink indicator in the Stat column will display when the Practice has the Colour Appointment Book option selected in the Form/Form Nos Tab of the Setup Location screen. The Light Pink indicator when hovered over will also display the Hint of Preliminary Newborn Queue Indicator for Newborn Enrolment Status The Queue Stat column will now display with a Light Pink colour for any Patient that has an Enrolment Status of Newborn Preliminary Enrolment (B) selected in their Patient Register. The Light Pink indicator in the Stat column will display when the Practice has the Colour Appointment Book option selected in the Form/Form Nos Tab of the Setup Location screen. Automatically add a Newborn Patient from NIR Nomination When a NIR Birth Nomination Message has been received by a Provider in their Inbox, the Patient can be added to Medtech32 automatically. On opening the NIR Birth Nomination Message, and clicking on Find to match the Patient, the user is able to select the Add button to add the Patient to Medtech32. At this point the Patient Register screen will be displayed showing all demographic details for the Patient in the Nomination message. In this scenario, the Enrolment Status for the Patient being added to Medtech32 will automatically default to Newborn Preliminary Enrolment (B) and the Date confirmed/declined will be set to Todays Date. On clicking on OK to save the new Patient into Medtech32, the Patient will also automatically be assigned the Preliminary Newborn Patient Alert code. When the new Patient that has been added via the NIR Nomination message is placed onto the Patient Palette, the Preliminary Newborn Patient Alert will be Auto Prompted to the user to remind them of the current Enrolment Status of the Patient and should serve as a reminder to complete the standard enrolment process for the Patient. The Patient Palette will display the B Alert Code, and also display the B Enrolment Status where it is configured to do so. Manually Adding Newborn Patient When manually adding a Newborn Patient into Medtech32, you have the ability to manually select the Enrolment Status of Newborn Preliminary Enrolment (B) by selecting the Newborn Preliminary Enrolment (B) option from the Enrolment Status drop down list on the Enrolment/Funding Tab. The Date confirmed/declined will be automatically set to Todays Date. On clicking on OK to save the new Patient into Medtech32, the Patient will automatically be assigned the Preliminary Newborn Patient Alert code. When the new Patient that has been added manually is placed onto the Patient Palette, the Preliminary Newborn Patient Alert will be Auto Prompted to the user to remind them of the current Enrolment Status of the Patient and should serve as a reminder to complete the standard enrolment process for the Patient. The Patient Palette will display the B Alert Code, and also display the B Enrolment Status where it is configured to do so. Changing Newborn Enrolment Status to Confirmed/Declined When the Newborn Patient has visited the Practice and has completed the Enrolment processes, the user can change the Enrolment Status on the Enrolment/Funding Tab of the Patient Register to either Confirmed Enrolment (C) or Declined to Enrol (D). When the Enrolment Status of the Patient is changed from Newborn Preliminary Enrolment to one of the other options the Preliminary Newborn Patient Alert will be automatically removed from the Patient Alerts list. The Patient Palette will also be updated accordingly to display the new Enrolment Status code. Identification of Newborn Patients via Query Builder The Query Builder will enable users to build Queries to provide details of Patients that have an Enrolment Status of Newborn Preliminary Enrolment (B). Using the current Patient Enrolment Status query field, users are able to select the value of Newborn Preliminary Enrolment (B) for any queries that may need to be created to identify these Patients in the Practice. LinkTech PHO Export Utilities LinkTech PHO Export The LinkTech PHO Export has been updated to include Patients with a Newborn Preliminary Enrolment (B) status and a blank funding status whose Date of Birth is 6 weeks or less than the export run date/due date for the respective funding quarter. Accident and Medical Workflow Enhancements A number of workflow changes and enhancements have been made to Medtech32 to provide specific functionality for Accident and Medical practices. If you would like to have further information on these changes please contact Medtech Support on 0800 2 633 832 (Option 1). SMS Validation for Skinny (020) Mobile Numbers Module Patient Register The Patient Register does not currently allow a Practice to send SMS messages to Patients with Mobile Phone Numbers that start with 020. Mobile Phone Numbers starting with the Prefix 020 have been introduced by a new mobile solution called Skinny Mobile. On further investigation of this new mobile solution, we have been advised that the Skinny Mobile Provider does not allow SMS messages to be received from SMS based alerts and services solutions i.e. a business location. Until this functionality is made available by Skinny Mobile the message prompt when validating a 020 Mobile Phone Number in the Patient Register and SMS Message screens has been updated to the following: Please Note: Once Medtech have been advised that Skinny mobile has made the necessary changes to support SMS based alerts and service solutions the Medtech32 SMS module will be updated to allow the sending of SMS messages to 020 mobile phone number. Also note that this exclusion also includes any mobile number ie: 021, 027 etc that have been number ported to the Skinny 020 mobile network. Copyright Medtech Limited Page 9 of 28

Queue Module Queue Queue 1/2/3/4 Location Name Display on Queue Screens The Queue screen has been updated to show the currently selected Location on the Main Queue screen. The Location Name will be displayed to the Right Hand side of all Queue screens as an immediate reference to the selected Location for the user. When the user changes the Location field in the Queue Filter screen, the Location Name on the Queue screen will be updated to reflect the change of the Location in the Queue. Queue Filter Options Affiliation Filter A new filter option has been added to the Queue screen to enable filtering of the Queue records by Affiliation. The Affiliation Queue Filter option will default to All(*) by default. Users will be able to set the filter for a specific Affiliation to show only those patients that are currently allocated (In Consultation) with Providers of a specific Affiliation. Status Filter Two new options have been added to the Status filter in the Queue screen. 1. Completed/Invoiced (I) 2. Waiting/In Consultation (G) 1. Completed/Invoiced (I) When the Status in the Queue filter screen has been set to Completed/Invoiced (I) the Queue screen will be filtered to show only those patients with a completed invoiced status ($) 2. Waiting/In Consultation (G) When the Status in the Queue filter screen has been set to Waiting/In Consultation (G) the Queue screen will be filtered to show only those patients with a status of Waiting (timer counting) and/or In Consultation (Y) Copyright Medtech Limited Page 11 of 28

Remember Queue Filter Options The Queue filter will now be retained for each of the Queue screens (1-4) separately for each user when closing and reopening the Queue screens and also when Logging Off and back onto the Medtech32 application. The Queue filter will remember all settings chosen in the filter by the user except the From / To Date and From / To Time as these if remembered in the filter could impact the viewing of data on the users Queue screen. Users will be responsible for setting of their filters in the Queue screen in the first instance and once this has been done it will be remembered. Users will at any time be able to set the filter back to the Default Filter for the Queue screen by using the standard Default Filter option in the Queue screen menu. Accounts Module Accounts AC Holder Account New Payment Module Accounts New Payment A new option has been added to the Payment Method drop down selection list on the New Payment screen for Direct Credit. Similarly the new Direct Credit payment method has been added to the following screens: 1. New Invoice (Payment Section) 2. New Quick Bill (Advanced Payment Section) 3. New Work Place Accident Invoice (Payment Section) When payments are entered into Medtech32 with a payment method of Direct Credit, they will be shown on the Banking List with a Method of Direct Credit. A new summary will be added to the Totals section at the bottom of the Banking screen to show the total of all Payment with a Method of Direct Credit. The Banking Deposit Supplements and Banking List reports have also been updated to ensure that they include the details of the Direct Credit payment items. New Invoice Module Accounts New Invoice A change has been made to the width of the Service Field in the New/View invoice screen to allow more of the Service Description to be displayed to the user. AC Holder Account Module Accounts AC Holder Account A new option has been added to the AC Holder Account screen to provider the ability for the AC Holder Account Filter screen settings to be remembered when they close the AC Holder Account screen and when logging off the application. When the new option Remember Filter Settings has been ticked it will ensure that the AC Holder Account filters are retained for the user. When this option is NOT ticked in the menu, then the Filter will function as it does currently, and the settings in the filter will be reset to default values each time the screen is closed and reopened. The Transaction Range will not be remembered as part of the Filter settings due to the fact that it could impact viewing data in the screen. Users will be responsible for the setting of their filters in the first instance for the AC Holder Account screen. Once this has been done by the user it will be remembered. The user will at any time be able to set the filter back to the Default Filter for the AC Holder Account screen by using the standard Default Filter option from the AC Holder Account screen menu. Patient Transactions Module Accounts Patient Transactions A new Filter option has been added to the Patient Transactions screen. Copyright Medtech Limited Page 14 of 28

The Patient Transaction filter will provide the same filter functionality as found in the AC Holder Account screen. On selecting any of the options in the Filter Patient Transactions screen and clicking on OK, the Patient Transactions list will be filtered accordingly. Claims Preview Module Claims Preview New functionality has been added to the Claims Preview screen to provide the ability to place any claim into an On Hold status which will stop the claim from being included in the Finalise Claims process, and will therefor stop the sending of the claims until the user is ready for it to be processed. A Hold column has been added to the Left Hand Side of the Claims Preview screen. The new Hold column will allow a user to select each of the claims that they would like to place On Hold. The user will be able to individually select each claim item in the Claims Preview List screen or use the Right Click function to perform the following actions: Select All When selected, ALL items in the Claims Preview screen will be ticked to be placed On Hold. Unselect All When selected, ALL items in the Claims Preview screen that are ticked will become un-ticked and be taken off On Hold status. Note: This DOES NOT include any Allied Health Claims that are On Hold. These will automatically be placed on and off On Hold status based on current functionality. Invert All When selected, will INVERT the currently selected items in the Claims Preview screen. The Right Click Select All, Un Select All and Invert All options have also been added to the Claims Preview main menu. Copyright Medtech Limited Page 15 of 28

When placing a tick in the Hold column next to a claim in the Claims Preview screen, the claim will be placed into On Hold status. The On Hold status of the claim will be identified by the claim being show in Blue/Italic font to the user. When a claim in On Hold, it will NOT be included in any Finalise Claims processes or sending of claims, and it will remain in On Hold status in the Claims Preview screen until the user unselects the items and the On Hold status is removed from the claim. When the On Hold status is removed, the claim will no longer be displayed in italics/blue for the user and will be displayed in standard black text again and will be available for the Claim Finalisation process. As with the current functionality in the Claims Preview screen, the On Hold claims will be not shown by default once the claim has been put On Hold. On opening the Claims Preview screen, the Claims Preview Filter screen will be displayed, and a new option called Include Invoices On-Hold will be displayed. When the Include Invoices On-Hold option is ticked, the Claims Preview screen will show all claims that have a status of On Hold, and also claims that are NOT On Hold. The Claims Preview Filter has also been updated to include a new option called Show Only On-Hold Invoices. The Show Only On-Hold Invoices option will only be able to be selected when the Include Invoices On Hold option has been selected. When the Show Only On-Hold Invoices option is ticked, the Claims Preview screen will show all claims that have a status of On Hold only. Once the Include Invoices On Hold, and Show Only On Hold Invoices options have been ticked, it will remember the setting and will remain selected until the user un-ticks the option. Note: Once any item in an Invoice has its claim placed into On Hold status, the Invoice that the claim has been generated from will not be able to be edited. The user must remove the claim items from On Hold status to be able to edit the Invoice, and once editing is completed, the Claim items will be updated accordingly if necessary and the claim items can be placed On Hold again. On opening an invoice that has items On Hold, the View Invoice screen will be displayed and the Status Bar at the top of the View Invoice screen will advise [THIS INVOICE HAS CLAIM ITEMS ON-HOLD] All details on the Invoice will be disabled and will not be able to be changed. ACC45 Status Module Accidents ACC45 Status Default Look Back Range The option of a Look Back Range has been added to the ACC45 Status Screen filter to allow users to filter the screen for a specific period by default. By default the Look Back field will be set to No Value and the screen will be filtered based on the From/To Date fields. When the users selects a Look Back period using the values in the drop down list, this will override the From/To Date Values and will apply filtering to the ACC45 Status Screen for records that fall within the selected Look Back period. The Look Back period selected will be retained on a user basis when the user closes the ACC45 Status Screen and/or when the user logs out of and back into the application. Specific Patient Option The option of a Patient filter has been added to the ACC45 Status Screen filter to allow users to filter the screen for all forms relating to a specific patient. When selecting a Patient in the Patient field, the ACC45 Status Screen will be updated to show only those ACC45 forms relating to the selected Patient. Copyright Medtech Limited Page 18 of 28

On changing the Patient on the Palette, the ACC45 Status Screen will automatically update to show the newly selected Patients ACC45 form statuses. Form Number Option The option of a Form Number filter has been added to the ACC45 Status Screen filter to allow users to filter the screen for a Specific ACC45 Form. When entering a specific ACC45 Form Number into the Form Number field, the ACC45 Status Screen will be updated to show only the specific ACC45 Form required. Note: The ACC45 form number must be entered with uppercase letters ie ABC12345. New Patient Medication Module Clinical New Prescription Where a Patient Accident has been attached to a Consultation (More Tab), and a Prescription has been created in association with the Consultation, when printed, the Accident information will no longer print on the Prescription. Please Note: This change has been implemented based on a request received from the Privacy Commissioner. Charting Screening Terms Module Recall/Screening Patient Screening It has been advised by a number of users that printing the Screening Term Charts is quite difficult. Changes have been made to the Screening Term Chart printing to enable practices to print the chart for a specific date range, or for the Selected Lines Only. The date range will default to a period of 6 months from the current date. The report printout has also been updated to ensure more data can be printed for the user. The dates of the Screening items will be displayed down the left hand side of the screen, and the charted values will be displayed across the top of the page with the values/readings in the middle. ACC Rural Primary Health Subsidy Update ACC have advised that a number of the Rural Primary Health subsidies from 01 May 2012 were incorrect, and have subsequently provided an update to the subsidy pricing. This update will set the subsidy for all Rural Primary Health subsidies to the correct amount provided by ACC with an effective date of 01 May 2012. GP2GP Patient Record Transfer Issue Resolutions GP2GP Patient Record Export Tools Patient GP2GP Patient Record Export 1. Patient Inbox Discharge Summaries with a PDF attachment were not previously being exported with a GP2GP Patient Record Export. 2. Users were unable to enter a HealthLink EDI into the GP2GP Patient Record Export screen that was greater than 8 characters. 3. When the Patient Register Phone Number fields contained a single space and no other characters the GP2GP Patient Record Export was not completing successfully. These issues have been resolved. GP2GP Patient Record Import Module Inbox Provider Inbox 1. On selecting to import Inbox and Outbox records from a GP2GP File Transfer, on closing and reopening the same GP2GP message and clicking the Cancel button to close the screen the Inbox and Outbox records that were imported for the Patient were being Inactivated. 2. Immunisations when imported are displaying a blank Vaccine name in the All Immunisations 2 tab of the Immunisations module. These issues have been resolved Copyright Medtech Limited Page 23 of 28

Other Medtech32 Application Issue Resolutions Inbox Module Inbox Provider Inbox 1. An issue was identified that when selecting to print a record from the Provider Inbox using the Print option in the menu, it was printing the incorrect Patient Name. 2. An issue was identified where PDF attachments to Inbox records were not able to be printed in bulk and each document had to be opened up to print separately. 3. After opening a Scanned document inside the Inbox when you select the NEXT or PREVIOUS buttons the selected Inbox item was not displaying correctly. 4. An issue was identified where HealthDoc messages were not matching to Providers correctly in the system being imported into. These issues have been resolved. New Advanced Form Module Advanced Forms New Form An issue was identified that when a user changed the Patient on the Palette when an Advanced Form was open, on being prompted to close the Advanced Form, the consultation notes inserted by the Advanced Form were being written to the incorrect Patient. Patient Forms Module Advanced Forms Patient Forms An issue was identified where on opening the Patient Forms list the focus was being set to the last item in the list and users had to scroll to the top of the screen every time it was opened. Advanced Forms Setup Setup Advanced Forms Advanced Forms Manager An issue was identified with the Proportional setting value for the Advanced Forms display. Screening Terms Module Recall/Screening Patient Screening An issue was identified where if you modified an existing Screening Term by adding Notes the current Recall was being incorrectly altered to match the date of the existing old Screening Term. Recall Contact List Module Recall/Screening Recall Contact List An issue was identified where if you added a Recall Date into the Date column of the Recall Contact List, on closing and reopening the screen the Date was being removed. Screening Term Setup Setup Recall/Screening Screening Terms 1. An issue was identified where a screening term is set to use a measurement where the default date range is set to display data over a range of 10 years, when clicking on OK, the value was being removed. 2. An error was occurring when trying to delete a choice from a Screening Term measurement/combo box/choice list by ticking the delete box in the choice edit window. These issues have been resolved. New Patient Medication Module Clinical New Prescription An issue was identified that when completing a Prescription in Non Granular Mode, the Period is not shown in the Daily Record unless you completed an update on the Directions in the Prescription. Scanning Module Inbox Scanning An issue was identified when a Patient s name had been matched in a scanned document, but the user selected to close the window without saving changes, the document was still being filed into the Patient s Inbox and is removed from the Scanning Module. An issue was identified where vaccines that were Declined by Parent were appearing as Fully Immunised when using the [MIS_IMM_CER] merge field in Outbox Documents. 2. An issue was identified where Healthdoc messages created in Medtech32 were not populating the Person ID field correctly for the Referred to Provider if the Medical Council Number is populated in the Address Book These issues have been resolved. Messages Transfer Tools Message Transfer An issue was identified where importing certain HL7 messages with PDF attachments generated a Parameter Not Valid error message. SQL Utility Tools SQL An issue was identified where an error message was being generated when trying to print the results from an SQL being run. NIR Immunisation Audit Report Report Immunisation NIR Imms Audit An issue was identified where an error message was being generated when trying to run and print the NIR Immunisation Audit. Patient Transactions Module Accounts Patient Transactions An issue was identified where updating an Invoice service fee from the Patient Transaction screen it was not updating the Account Holder Balance on the Patient Palette. An issue was identified where a payment was not being auto allocated correctly for invoices older than 1 year. 4. An issue was identified where transferring an item from an ACC claim back to the Patient; the rejected claim credit note was being created using the Patients Provider from their Patient Register rather than the Provider of the original invoice. 5. An issue was identified where transferring an item in a claim back to the Patient if selecting multiple items in the claim rather than just one, the credit note was being created for the incorrect value. 6. An issue was identified where clicking cancel after selecting claims to transfer back to a Patient, still processed the selected claims rather than cancelling the changes.
