Contracted Provider Onboarding Process Pre-Boarding 1. Need Identified: Need is identified by department and sent to Locum Recruiter (LR) via Locums Approval Form and Talent Profile. 2. Need sent to Agencies: LR will send out an email to all Locum agencies with the candidate specific criteria, to start sourcing including the Practice Profile. Additional dialog may take place if more information is needed regarding the practice profile. 3. Name Clear: Agencies will send LR Name Clears of potential candidates to clear (24-48hr turnaround). If name does not clear, LR will provide timeframe of affiliation and name of entity representing provider. 4. Presentations: Agencies will send LR cleared presentations to review. Included information needs to be an updated CV (mm/yyyy format), contact information of locum, rates, availability (shifts and/or dates), any malpractice/sanction, practice/procedure limitations, board certification or board eligible and if they are licensed in NM. a. If the candidate meets minimal qualifications, LR will forward to the department for review (24-48hr turnaround). b. If the candidate does not meet minimal qualifications, Ryan will let you know why (24-48hr turnaround). Open dialog can occur so agency can adjust search parameters if needed.
c. Department will screen candidate and LR will relay result to the agency (3 business days but may take up to 2 weeks). Agency may follow up for feedback after 3 business days. 5. Approval: Once LR receives approval, he will notify the agency, and together, come up with a tentative start date, including EPIC training and orientation. A confirmation email will then be sent to the agency and Presbyterian s CVO, MSA and PE. This will notify them which committee meeting the file will need to be presented at and the target payer enrollment completion date. For any regional location, LR will work with the PHS site to come up with a privilege date. a. Scheduling specific dates with Urgent Care, Emergency Medicine and Hospitalist will happen at a later time. LR must be notified of all confirmed shifts. 6. Credentialing/Payer Enrollment Start: The Credentialing Verification Office and Provider Enrollment, will send the designated agency contact, information on getting the applications started (Provider Enrollment and Privileging are 2 separate processes). 7. Provider Enrollment (PE): A complete packet must be sent to Provider Enrollment before they will process the file (refer to PED packet). a. Once a complete packet is received, PE has up to 1 week to process the packet. It is then sent to Presbyterian Health Plan who has up to 45 days to process an application with payers. b. Providers are not allowed to start working until they are approved with payers. 8. Credentialing Verification Office (CVO): A complete packet must be sent to the CVO before Primary Source Verification (PSV) will start. a. Non Delegated Agreements will be processed by our CVO.
I. Once a complete packet is received, the CVO has up to 2 weeks to process the file, and up to 90 days to complete PSV. If an incomplete packet is sent to the CVO, they will not start PSV until the file is complete. II. Once all PSV is complete, the file will be Internally Reviewed (may take up to a week). and then sent to MSA for review (may take up to a week). b. Delegated Agreements will be processed though the agency. Once PSV is complete, a complete packet will be sent to MSA for review (may take up to a week). 9. Medical Staff Affairs (MSA): Committee dates are attached for Albuquerque. a. Once the completed file is reviewed, MSA will take the file to Credentialing Committee and Medical Executive Committee for approval. b. MSA will notify the LR if privileges were approved or denied and LR will relay the information to the agency. c. Regional committee dates differ and LR can inform you of them. On-Boarding Please note LR will coordinate the onboarding for regional locations 1. First Day/Orientation/Training Instructions: a. Once the agency has communicated specific dates the candidate can attend, EPIC training, and MSA/OR orientation, Ryan will send out an itinerary to the agency (example below). 2. EPIC Training: Training calendar (attached). a. EPIC login is requested by MSA and will be provided during MSA orientation.
b. We would like the candidate to complete the training closest to the start date, so the information is retained. c. The training calendar has the week we offer classes, highlighted in yellow. d. EPIC training will be conducted at the Cooper Center located at 9521 San Mateo Blvd NE Albuquerque, NM 87113. 3. MSA Orientation/Drug Screen: Orientation will take up to 1hour and 30min a. MSA orientation is scheduled via outlook invite and LR will forward to agency. MSA orientation must be completed within 14 days, prior to the assignment. Please send a jpeg photo at least 1 week before orientation. b. The Agency must have the candidate provide MSA with a 10 panel drug screen, within 14 days of the scheduled appointment. This is in addition to the MSA drug screen that will be conducted at 5901 Harper NE, Albuquerque, NM 87109. c. MSA orientation will be held at Presbyterian Main Hospital Downtown: 1100 Central SE, Albuquerque NM, 87106. If the candidate is getting privileges at multiple sites, MSA Orientation must be completed at each individual site. 4. OR Orientation: Will be completed after MSA orientation in most instances, and takes 1 hour. a. OR orientation is for any candidate that will be in the OR at any of Presbyterians locations. b. The orientation will be conducted at the same location as MSA orientation including regionals. 5. Department Orientation/Shadow Shift: a. Department will schedule orientation and shadow shifts as necessary.
Example Itinerary Locum is scheduled for Medical Staff Affairs orientation, OR orientation, EPIC training and a shadow shift. Please see schedule below: January 1st: MSA orientation will be from 8:00am - 9:30am. Your drug screen is scheduled at 8:00am at Northside Employee Health, located at 5901 Harper NE Albuquerque, NM 87109. From the South (Urgent Care) Entrance at Northside, turn left towards Occupational Medicine and Employee Health. After the drug screen you will report to Presbyterian Hospital located at 1100 Central Ave SE Albuquerque, NM 87106 and ask the information desk (located in the lobby) for the Medical Staff Affairs office. An MSA employee will meet you in the lobby. A calendar invite has been sent to your email with a map and directions to both locations. OR orientation will be from 9:30am - 11:00am and be conducted by Kathy Bridges (or staff). A staff member will meet you in the MSA office. EPIC training will start at 1:00pm and last till 5:00pm: After orientation you will need to report to the Cooper Center at located at 9521 San Mateo Blvd (Directions attached).
