PLANNING & TIMELINE Being a United Way Captain means Being a Leader. Your role is to plan, coordinate and implement an effective United Way of Manatee County Community Fund Drive. Good planning is vital to ensure efficient use of your time and maximize the interest of your team. This handbook includes a suggested timeline and tools to map out your road to success. Work with your organization s leadership, your committee, and your United Way Representative to create a plan that will work for you. United Way Workplace Fund Drive: 6 Steps to Success STEP 1: Secure Top-Level Management Support 3 Months before Fund Drive Support from top management can make your job easier and your Fund Drive more successful and fun. Find out what resources are available and strive for the following commitments: A separate meeeting for senior management will be held to get support Management approving adequate time to coordinate the Fund Drive CEO writting a letter endorsing the Fund Drive Management will attend and speak at employee meetings and events Time and budget allocation for Fund Drive activities and incentives STEP 2: Recruit a Team 2-3 Months before Fund Drive Having others assist you with the Fund Drive will make it more fun and much easier for everyone involved. Here are some tips for recruiting your committee: Include representation from all areas, departments, and locations Assign roles and responsibilities to each team member Have a member of your management team focus on Leadership Giving Recruit people who believe in the United Way and will get others excited about the Fund Drive STEP 3: Develop a Plan 6-8 Weeks before Fund Drive begins Work with your United Way representative to review past successes and challenges, set goals and develop strategies. Schedule employee engagment events (Kick- off event, educational meetings, site visits, volunteer projects) Organize a Leadership Giving Program Communicate successes STEP 4: Promote your Fund Drive 1-2 Weeks before fund drive Create excitement! Communicate with Team Members. Send emails, post on community boards and intranet, hold Leadership meetings, go on tours. STEP 5: Kick-Off & Fund Drive 1-2 Weeks long Implement employee engagement events and be sure to reach every employee about the fund drive in some way. Show UWMC video, Invite a guest speaker, have CEO endorsement & employee testimonial, make a direct Ask, serve refreshments STEP 6: Thank & Communicate 2-3 Weeks after start of Fund Drive Celebrate your success and communicate your thanks to all employees Send note cards letting each donor know how much the community appreciated their gift Conduct a special celebration with food and words of thanks from the CEO Communicate results to United Way Representative and Deliver all necessary documents. GIVING LEVELS & GOALS NEW GIVING LEVELS. United Way of Manatee County recognizes donors who participate at varied giving levels. Every giving level provides different opportunities to learn more about our community and broaden personal and professional relationships. In order to receive Leadership Recognitions, donors must provide a personal address, email and/or phone number. Tocqueville Society $10,000 - $50,000 Invitation to National Tocqueville Society retreats, receive premier information about United Way s work, exclusive events, recognition in annual publication, and Thank You Gift CEO Circle $5,000 - $9,999 Leadership volunteer opportunities on United Way committees, invitation to Leadership Networking Luncheon, exlusive events, recognition in annual publication, and Thank you Gift Keel Club $1,000 - $4,999 Unique volunteer opportunities, invitation to Leadership Networking Luncheon, exclusive events, recognition in annual publication, and Thank You Gift Pathfinder $500 - $999 Unique volunteer opportunities, invitation to annual Leadership Networking Luncheon, premier membership in Women United and Thank You Gift GIVING PROGRAMS. Giving programs provide more structure and can help answer the question How much should I donate? They can also determine who will be eligible for incentives. Dollar-Up Club - Donors who give $1 more than the previous year. High-Five Club - Donors who give $5 more than the previous year. Fair Share - A Fair Share can be one hour's pay per month. (Calculated by dividing the gross amount on your semi-monthly pay stub by 86.5 hours). Or 1% of annual income if you earn up to $50,000 annually, 2% of annual income if you earn over $50,000 annually. GOALS. Goals help you assess past successes, measure progress, and determine your course of action. Work with your United Way Representative to help create a goal that is right for you. 2017 United Way Community Fund Drive Awards will be determined by: Largest Over-All Contribution, Highest Participation %, Largest % Increase-Corporate Gift, Largest % Increase- Per Employee, Most Volunteers Example Goals: Increase average per-donor pledge, Increase overall company contribution, Increase overall participation Factors you can consider when establishing your United Way Community Fund Drive Goals: How many team members work at your company? What was the average gift last year? What was your overall United Way Fund Drive Total? What was successful last year, and do you plan on adding events or new strategies? Have there been any changes in your company that may effect your United Way Community Fund Drive? Page 3

THEME IDEAS, INCENTIVES, SPECIAL EVENTS KICKOFF AND WRAP-UP PARTIES. A kickoff party is the perfect time to introduce your United Way Representative, share your message with your team, and generate excitement about your fund drive. Finish your fund drive strong with a wrap-up/thank-you party. A CAMPAIGN THEME IS ONE OF THE BEST WAYS TO TIE YOUR ACTIVITIES TOGETHER AND MOTIVATE EMPLOYEES. Sports Everyone becomes a team player when you tie your campaign into a sports theme. Kick-off your campaign with a tailgate party with food and games. Departments can make up the different teams or sporting events. Set up a mini-golf course or wastebasket free-throw and charge participants to enter. End the campaign with a trophy awarded to the department with the highest participation or most wins. Create a name for your campaign, like Catch the Energy. Exotic Locales Whether you transform your campaign into a Hawaiian luau, African safari, or the Australian outback, employees are sure to have a wild time. Encourage staff and volunteers to dress the part of a local. Host a lunch with theme-related food. Organize a scavenger hunt or other contests. Historical Eras Go back in time to the Wild West, Psychedelic Sixties, Roaring Twenties, or Renaissance. Have staff dress up in clothing from your chosen era and decorate their office. Transform an office into a jail cell, round up executives who have to post bail for their release. Lights! Camera! Action! Encourage employees to dress up as their favorite characters from movies or TV shows. Act out a plot that involves United Way. Incorporate movie plots or famous lines into fliers and emails. Hold a prize drawing for movie tickets, electronics, or gift certificates. Tune in to the Community Music is a great way to get everyone moving to the United Way beat. Hold a karaoke party or talent show. Have participants and volunteers dress up as their favorite musician. Sell employees old CDs. Hold a musical talent show. Hold a prize drawing for ipods or itunes gift cards. INCENTIVES. Incentives are a powerful tool to help you reach your fundraising goals. It doesn t take a lot of money to offer great prizes to reward employees for participating or increasing their donation. SPEAKERS, VOLUNTEER PROJECTS, & TOURS SPEAKERS. One of the best ways to share the impact of giving during a United Way Community Fund Drive is to invite a Speaker to join your team. Speakers have all been closely involved with the work of United Way and can share their personal story. Speakers are United Way staff memebers, lead volunteers, and clients. To Schedule a Speaker for your Kick-Off or Team Meeting: Email Katie Becker at kbecker@uwmanatee.org or call 941-748-1313. Please allow two-week lead to schedule. Each speaker typically needs 5-10 minutes to share their story. Videos of Speakers can be found on our website, www.uwmanatee.org. VOLUNTEER PROJECTS. Volunteering is a great way to build team morale and give back to your community. There are many different types of volunteer projects available, and United Way staff can assist you in finding the right fit for your group. Your most appreciated contribution can be made in one of two ways with your pledge form: 1. PAYROLL DEDUCTIONS - Please check the amount you wish to have deducted on the United Way form. The deduction will occur every pay period and will begin mid-january 2017. 2. ONE-TIME DONATION - Please make your check payable to United Way of Manatee County or United Way can bill directly to your home. Please return your completed pledge form to Jane Doe or Mike Smith by Dec. 16 For an awesome fund drive, we will be having several fun -draising events. Event donations cannot be done through payroll deduction. Your continued support distinguishes the company among leaders in the community. Our goal, as usual, is to have 100% participation. SPECIAL EVENTS: Office Putt-Putt: Friday, November 4th - 11:30 am - 12:30 pm. Help Kick - Off our United Way Community Fund Drive with Office Putt-Putt. Pick up your pledge card, enjoy a boxed lunch, and try your skills at our homemade course. The winner will win a free game to Hazzards Golf Course. Free Day Off Raffle: Any new donors who submit a pledge card or any donor who increases their pledge by $5 will be entered into a raffle for 1 Free Day Off! Thanksgiving Feast: Friday, November 18th at 11:30am - 12:30 pm. Meet in the conference room for a delicious buffet of turkey, ham and trimmings. We will provide turkey and ham and employees will provide side dishes and dessert. Cost is $5.00 for those who bring a side dish or $15.00 for those who choose not to bring a dish. Tickets can be purchased from Jane Doe in advance. Jeans Days: The Staff will be allowed to wear jeans to work on 6 days - Fridays, Nov. 4,11,18,25, Dec. 2, 9 for a donation of $5.00 per Friday. Please submit your payment to Mike Smith. Staff will be provided a wearable sticker that says I m wearing jeans for the United Way. We appreciate your support and hope you will participate in reaching our 100% goal to fundraise for United Way. Thank you! Page 6

UNITED WAY COMMUNITY FUND DRIVES MAKE AN IMPACT! Every dollar you raise during your United Way Community Fund Drive makes a profound difference in our community. Because of YOU... EDUCATION More than 3,300 books were given and 2,100 hours spent with kindergarten students in Manatee County Schools. 140 volunteers visited their ReadingPal once a week during the school year. Volunteers distributed 2,600 books and spent 630 hours with children at Summer Break Meal Sites for during the See Spot Read Spot program. 300 children in grades K-3 will read on grade-level with the help of United Community Center s BASE program. 150 youth are matched with role models from the community as part of Big Brothers Big Sisters Reading Bigs program. Children work on literacy skills one-on-one with their Big. INCOME STABILITY VITA (Volunteer Income Tax Assistance) processed 442 free tax returns that brought $505,100 back to the community and into the hands of ALICE families. More than 2,300 Manatee County residents received help finding secure housing and assistance accessing available resources through Turning Points Open Door Resource Center. 770 Manatee County families in financial need received Emergency Family & Baby Baskets and more than 1,700 Manatee County home-bound residents received regular meals through Meals on Wheels Plus. HEALTH 130 children received shelter from Manatee Children s Services. UNITED WAY COMMUNITY FUND DRIVES MAKE AN IMPACT! Lucia left home at 13. She never felt she was going to amount to anything. When she started her own family, she found that she was instilling the same fears into her children that her parents had instilled into her. Just as my parents told me that I would never amount to anything, I was telling the same thing to my children. Lucia sought help from the Family Partnership Center. After six months of in-home services, Lucia and her family learned the skills necessary to create a nurturing home. Thanks to this program, my family s lives are changed forever. Ricky really enjoyed Spiderman and other super heroes, but struggled to read their stories. Ricky was not reading on grade level. Big Brothers Big Sisters provided Ricky with a Reading Big to help him with his schooling. After 14 months of intense one on one, Ricky gained the academic skills necessary to follow the adventures of his favorite heroes. His Reading Big grew as well: I had no idea when I signed up that this would be as rewarding as it has been. Mary was caring for her granddaughter as her daughter sought help for her drug addiction. Her fixed income made it very difficult to care for her granddaughter. Meals on Wheels provided an emergency food basket to the family. Mary immediately began planning meals as she looked through the food basket and thanked the Meals on Wheels volunteer for the much needed assistance. Joel is a ReadingPal at Blackburn Elementary. Every week, he spends time with several kindergarteners. Joel helps them with their reading and writing abilities. Joel and the other ReadingPals are working to ensure that all of the children in Manatee County Schools start 1st grade reading on grade level.
