1. Background Nursing and Midwifery Assessment in Uganda is defined in the Business, Technical, Vocational Education and Training (BTVET) Act No. 12 of 2008 and operationalized by Statutory Instrument No. 4 of 2009 which gave a legal basis for the establishment of the Uganda Nurses and Midwives Examination Board (UNMEB). UNMEB s Cardinal Objective is to Streamline, Regulate, Coordinate and Conduct credible National Examinations and award Diplomas and Certificates to qualified Nurses and Midwives. UNMEB is continuously enhancing the quality of assessment of nurses and midwives in Uganda through various strategic activities. It is in this direction that UNMEB considered establishing an online registration platform that will go a long way in improving validity of examination reports and quality of assessment in totality. Manual registration of candidates is currently being used to register the students. Academic Registrars and Administrative Assistants witness a lot of challenges with the manual registration system which include but are not limited to: written and typing errors, improper identification of student photographs, time spent during issuance and verification of data contained in forms, voluminous baggage carried to and from UNMEB, high storage and financial costs of transport, stationary and communication. Apart from timely registration, the online students registration system captures the student data from enrollment, eliminates students who are not successfully verified, issues (Nursing Student Identification Number) NSIN numbers to only successfully verified students and also accepts only student numbers that have been registered and have paid examination fees to UNMEB account. The system ensures that training institutions purchase the practical skills assessment tools in time for the students to acquire practical skills from clinical sites and be assessed by Hospital Mentors. This strategic change will greatly contribute to the improvement in the quality of nurses and midwives and therefore, improve health quality care in our communities. Stakeholders and partners in training of student nurses and midwives, are called upon to realize the importance of involving information technology in teaching and learning. collective responsibility of everyone to ensure participation in improving the quality of care and health related services delivered by nurses and midwives in all communities. 2. Login Access the system at http://unmeb.go.ug. Under Examinations select Register and then Online Registration. Or go direct to http://unmeb.go.ug/unmebreg/ Login using the username and password that the administrator created for you. 2 P a g e
Click Login button The welcome screen will appear: Use the menu on left of the screen to navigate around the system. Navigation Menu 3. Register Students for NSIN Number Click on the Register Students for NSIN Number to display a drop down of options. The options displayed will be: 3 P a g e
a) Select Program to Register Students b) View Uncompleted Registrations c) View Registered Students d) View Approved Registrations 3.1 Select Program to Register Students A list of programs offered in the particular institution is displayed. Click on any to register the students of that program for NSIN numbers. 4 P a g e
Click on the Register link for a particular program. Choose the Month and Year you want to register for and then click Continue button. Enter the exact amount of money for all the students and attach a scanned copy of the receipt. Ensure that the receipt is saved as.jpg (JPEG File Interchange Format),.png (Portable Network Graphics),.bitmap (Windows Bitmap),.gif (Graphics Interchange Format), or.pdf (Portable Document Format) before uploading it to the system. The system will prompt you to Continue to Add Students. Click OK You will be redirected to a page that will enable you to add students. Click the Add Student button. The system will tell you how many students you will be able to add depending on the amount of money that was entered into the system. 6 P a g e
Add Student Button Enter the details of the student. (Surname, Firstname, Othername, Gender, Date of Birth, Home District, Telephone Number and Email) A passport photo of the student has to be uploaded as well. Schools are requested to follow the guidelines below when taking students passport photos: The standard photo should be of standard size i.e. 4.7 X 3.5. Students should be in full nursing uniform when taking the passport pictures. The lighting should be sufficient enough to clearly show all facial features of student. Pictures should be well positioned such that both ears are visible. Pictures should be centrally aligned and taken from above nursing cap to above breast-area. There shouldn t be large empty space on the sides of the photograph. Ensure that the passport photo is saved as.jpg (JPEG File Interchange Format),.png (Portable Network Graphics),.bitmap (Windows Bitmap),.gif (Graphics Interchange Format), or.pdf (Portable Document Format) before uploading it. Click Add button when you have finished to add the student s record. You can also Click Close to close the pop up window if need be. 7 P a g e
After adding the student successfully, a pop message will show up telling you the student was Registered Successfully. Click OK 8 P a g e
The students you have entered will be displayed. Keep adding students until you have added all the required number of students. After adding all the required number of students, the Add Student button disappears. You can edit any student details by clicking on the Edit button 3.2 View Uncompleted Registrations You can be able to see uncompleted registrations and click on the Register link to continue registering students for NSIN Numbers. When you are done registering all students for NSIN numbers, click on the Submit Registration button. Ensure that all student data is correct and accurate before submitting it for NSIN Registration. 3.3 View Registered Students Select the course. Click Continue and see the students who have registered for NSIN numbers for that particular course otherwise all the students for all the courses will be displayed. Select the course and click Continue Click Export to Excel to export list of registered students to excel format You can export the list of registered students to Excel by clicking on the Export to Excel button. 10 P a g e
3.4 View Approved Registrations After the students have been given NSIN numbers, you can click on this tab to View the Approved Registrations and be able to see the NSIN numbers that the students have been assigned. 4 Register Students for Case Record Books This & is Assessment the NSIN Tools 4.1 Add Payment Details number When you click on Register Students for Case Record Books & Assessment Tools, a drop down is generated and you can Add Payment Details. The number of students and the required amount of money to pay for the books will be displayed. 11 P a g e

4.2 View Ready Books You can also View Ready Books 5 Register Students for Programs Books that have been procured and are ready will be displayed here Here, you will be able to register students for various programs that are offered for that school. The students should already have NSIN numbers. 13 P a g e
5.1 Select Program to Register Students Click on Register to register students for that particular course. Choose the Year of Study. Click on Proceed button Click Proceed Button 14 P a g e
Enter the amount of money for the number of students to be registered. For example if each student is being registered at 90,000, the amount of money registered for 3 students will be 270,000. Click Browse to attach a scanned copy of the receipt. Ensure that the receipt is saved as.jpg (JPEG File Interchange Format),.png (Portable Network Graphics),.bitmap (Windows Bitmap),.gif (Graphics Interchange Format), or.pdf (Portable Document Format) before uploading it to the system. Click Register. If registration is successful, click OK. 15 P a g e
Click on the Add Student button to add student details. Select the students Attempt Number and NSIN number. Only students with NSIN numbers can be registered for programs. 16 P a g e
Select the Student you want to register 5.2 View Uncompleted Registrations Here, you will be able to view the uncompleted registrations. Click Register to continue with registration When done registering all students for programs, Submit Registration to UNMEB. 17 P a g e
3 uncompleted registrations 5.3 View Registered Students This option allows you to see the students who have been registered for the different programs. Select the Program, Registration Start Date and the Year of Study. Then click Continue. Otherwise, the entire list of registered students displays. Ensure that the receipt is saved as.jpg (JPEG File Interchange Format),.png (Portable Network Graphics),.bitmap (Windows Bitmap),.gif (Graphics Interchange Format), or.pdf (Portable Document Format) before uploading it to the system. 5.4 View Approved Registrations After student registrations have been approved by UNMEB, you can view then under this option. A list of Approved students Select the Program, Registration Start Date and Year of Study and click Continue. A list of students who have been approved will be displayed. 5.5 View Students This options enables the user see all students. 19 P a g e
A list of all Students 6 Comment Comments can be sent to UNMEB using this option. After writing your comment, click Submit. 7 Change Password Submit comment to UNMEB Changing passwords frequently ensures that the system is not compromised by unauthorized people. 8 Logout After working with the system, log out to keep all the information safe. Click Logout when finished Note: The user manual is available for download from the site.
