Workflow Before : All specimen labels printed at midnight for next 24 hours Difficulty in pulling correct label from stack = ERRORS! Time to correct, redraw, specimen held in queue = DELAYS Delays in results to clinicians Delays in patient care

Goals: Improve patient safety Print & label specimens at bedside Right patient, right label, right specimen Reduce time spent by staff making corrections Improve result turnaround times

Why First System Failed: #1 issue was time to print label = 1.5 to 20+ minutes! System was designed for phlebotomists For clinical staff it was time intensive, not user friendly, error-prone 12 steps for nurse to print one label Lost confidence in system, circumvented it Continued having specimen labeling issues

Why MobiLab Succeeded: Immediate bedside label printing System was designed for phlebotomists *and* nurses User-friendly, so staff readily adopted it Streamlined workflow for nurses and lab staff Result turnaround times improved Very first month after go-live, no mislabeled specimens in any of the areas using MobiLab!

The Details How Did We Do It? Created the right software selection team Lab supervisor, ICU nurse manager, HIT nurse Evaluated several systems Chose MobiLab for patient safety, second scan after collection, integration with MEDITECH

The Details How Did We Do It? Created the right implementation team HIT Lab analyst, HIT nurse analyst, Director of Nursing Informatics, Lab Manager Had to implement w/in 90 days because new hospital opening in 6 months Multi-disciplinary team formed to review current processes & determine new optimal workflow

The Details How Did We Do It? No room for error because of first failed system, so Lots of parallels! Tested equipment Tested connectivity Generated interest among nurses Result = nurses wanted to use it right away!

The Details How Did We Do It? Training: Developed interactive training modules using Captivate from Adobe Superusers watched Captivate modules, plus class to work through scenarios with short test at the end All staff then completed Captivate and superusers tested skills on their specific units

The Details How Did We Do It? Go-LIVE: Monday at 10am with all phlebotomists Devices = Symbol handhelds with QL220 printer Wednesday at 10am with nursing staff Devices = Workstations on wheels (not handhelds)

The Results: Very first month after go-live, no specimen labeling errors on units using MobiLab Correct labels on correct specimens, improved patient safety No more writing initials, date/time on tubes Fewer rejections on Lab automation line Improved result turnaround times

The Results: Errors are reported as variance now Review all specimens without MobiLab label & managers follow up with employee Determine why nurse failed to use process (doesn t happen often)
