ANNAWON COUNCIL 2013 National Jamboree Youth Registration Package Annawon Council is going to the 2013 National Jamboree and wants you to go along with us. With your sign-up you will become a Contingent participant for what will be the first National Jamboree at BSA s newest high adventure base, The Summit. Having completed our first 100 years of scouting at the 2010 National Jamboree, BSA embarks on its first Jamboree for the new century of Scouting and you ll be there to celebrate with 44,000+ Scouts/Scouters from across the country. The Summit is a beautiful piece of property near Beckley, West Virginia acquired for the purpose of being home to BSA s National Jamboree and to become BSA s 4 th National High Adventure Base. 1

Let s get started on your path to the 2013 National Jamboree This package contains: Information about the 2013 National Scout Jamboree (NSJ) and t h e Annawon Council Contingent sign-up process. The sign-up process goes through the National Jamboree Website and then all registrations will be routed to Annawon Council. As part of this paperwork the National Registration process is provided. Jamboree Fees: The contingent leadership has been working the Jamboree budget taking into consideration the following: National s Jamboree Fee; Transportation to/from; Side excursion trip with hotel and meals; Spirit Items (shirts, hat, name badges, etc), two Shakedown training weekends; establishing a price 2 years prior to the event; etc. Based on the analysis and estimated prices for the above items, the Annawon Council Jamboree contingent fee has been estimated to be: $2000.00. 4

2013 National Jamboree Overview DATES: July 12 24, 2013 The Troop will leave from Camp Norse Friday July 12. The tour preceding the jamboree is still being planned. The opening day of the Jamboree will be Tuesday, July 16 & the closing day will be Tuesday, July 23rd. Jamboree Contingent Troops will arrive on Monday, July 15 (all Troops must be on-site by 4pm). Departure day will be Wednesday, July 24th. 1. WHAT IS A NATIONAL JAMBOREE? A national Jamboree is an encampment of Scouts/Venturers plus their unit leaders with the purpose of providing a dramatic demonstration of Scouting s ability to develop world goodwill, a spirit of friendship, and a source of understanding among young people through fellowship, activities, and adventure. Most of the participants will come from the Boy Scouts of America although most of the countries with Scout associations will have representation. The 2013 National Scout Jamboree will be the first jamboree of the 2 nd century of the Boy Scouts of America. It will take place July 15 24 and will bring together more than 40,000 Scouts, Venturers, leaders and staff for 10 days. Along with the National Jamboree, our Council s Contingent has the option of including additional days for touring historic spots on the way to the event, so potentially; the entire trip will cover up to 15 or more days. 2. WHERE IS THE JAMBOREE? The Jamboree will take place at BSA s new property called The Summit in Beckley, West Virginia. This will be the first National Jamboree on the property after 8 Jamborees at Fort A. P. Hill in Virginia and 9 others from throughout the country. 3. WHO CAN ATTEND AS A MEMBER OF ANNAWON COUNCIL S CONTINGENT? There are four ways an individual can attend the National Scout Jamboree with the Annawon Council Contingent: either as a youth Troop or Venture Crew member or as an adult Troop or Venture Crew leader. Annawon Council will have one provisional Troop at the 2013 National Scout Jamboree. Each Troop is comprised of 36 youth and 4 adults A n n a w o n C o u n c i l will also have V e n t u r e Scouts who will join a Crew when they arrive at the Jamboree. 5

Boy Scout Youth o A Scout must be 12 years of age by the first day of the Jamboree or an 11 year old that has completed the sixth grade. o He must attain the rank of First Class by July 1, 2013; have a completed Class 3 National Jamboree physical (issued to each participant by the national office of the B.S.A.). o He must participate in the pre-jamboree trainings. o He must be active in his troop for 6 months prior to July 1, 2013. o His Scoutmaster and the Annawon Council Jamboree Committee must approve him. o His 18th birthday may not be before July 24, 2013. o Note: Current Webelos Scouts can apply as they could meet the age requirements, depending on their birth date. Venturing Youth o Crew members must have a current BSA membership with a Venturing Crew. o Must have graduated the 8 th grade or be at least 14 years of age by the first day of the Jamboree, but have not reached their 21 st birthday by the last day of the Jamboree. o Have a completed Class 3 National Jamboree physical (issued to each participant by the national office of the B.S.A.). o He/she must participate in the pre-jamboree trainings. o His/her Crew Advisor and the Annawon Council Jamboree Committee must approve him/her. 4. HOW DO SCOUTS GET IN? On the following pages is the registration process for this event which goes through National and then each application will be routed to Annawon Council. All applications will be accepted on a first come first serve basis. Each application will be date stamped when received at the council office. Following the receipt of your application Annawon Council will forward a packet containing your current status; a Code of Conduct; Scoutmaster Approval Form; Payment Schedule, plus additional Jamboree information. There are 36openings for scouts and 2 for Venturers. Your attention to the application process should not wait as it s expected they will fill fast. All applications will be accepted and should the number of applicants exceed the number of spots a waiting list will be maintained. 6

INSTRUCTIONS FOR APPLYING TO ATTEND THE 2013 NATIONAL SCOUT JAMBOREE Overview: The only place where you can apply to attend the 2013 National Scout Jamboree is at the home of the Summit on the Web: www.summitbechtelreserve.org. Available now! Interested applicants can apply to attend the 2013 National Scout Jamboree as a youth participant or volunteer staff. Conditions apply for each of these categories. Please refer to the website above for the latest details. This document is intended to provide you with instructions to guide the application process. Any questions you have about the application process can be directed to 2013Jamboree@scouting.org and/or Mark Nelson or Ann Ganley at the Scout Service Center. 7

Prerequisites: The following conditions must be met for you to be eligible to apply: 1. All applicants must be currently registered with the BSA. Each Scout/Adult/Venturer will need their Membership Number found on their BSA Membership Card, see yellow highlighted number below the barcode. 2. The application candidate must have access to the website: www.summitbechtelreserve.org. 3. The application candidate must have a Summit account. (Start by selecting Get Started at the top of www.summitbechtelreserve.org.) The Summit Login screen will be presented. You may login if you have already created an account; otherwise, you will need to choose Create Login (follow the steps listed below to create your Summit User Name/Password, Profile and Security Questions). 8

4. CREATE LOGIN Steps: a. Create Login will present you with Step 1 - Check Availability for a User Name. Using the rules create a User Name and press Check. 9

b. Once a Check is successful, you will be presented with Step 2 - Create Password screen, Create a Password and also Confirm it. c. Once the Password is confirmed, you will be presented with Step 3 Create New Profile which includes personal information, address, e-mail address, terms of use, etc. 10

d. Once your Profile is complete, you will be presented with Step 4 Setup Security questions. Follow the prompts and provide the questions and answers. Enter the visible Security Code and Save to activate your account. 5. The application candidate must have linked their BSA membership information with their Summit account. This will be a prompt immediately after creating an account, which can later be accessed by the following routing: selecting myscoutbase at the top of the site, selecting My Account, and then Link My Membership. When linking the membership information, the information entered must match the information on the local council s membership records. Any difference in the data will cause the membership to not appear valid and an error message will result. 11

Choose Link My BSA Membership 12 Confirm your Member/Non-Member Status

Your next step will be to enter your BSA Membership Information: BSA Membership ID, Council (225 Annawon ), Home Unit Number, First Name, Last Name, Date of Birth, Gender and Zip Code. Note: Each of these data elements is key matching items to confirm your BSA registration. 6. Scouts and crew members that are currently under 18 years of age can create their own account, link their own membership information and submit their own application to attend the 2013 jamboree; however, parental consent will be required after the submission of their application. See the step below called Parental Consent for more information on the parental consent process. 7. At this point, your Summit Account should be setup and your BSA Membership is linked to it. If not, do not proceed until you achieve the Account to Membership ID link. 13

Applying: Once the prerequisites have been met, the application candidate can select the Apply Now link found below the 2013 Jamboree listing on the Summit main menu: 1. The first page all application candidates will see is a statement of how all attendees need to Be Prepared for the 2013 National Scout Jamboree. Acceptance of understanding this information at the bottom of the page is a requirement to continue. 14

2. The second page all application candidates will see provides an additional welcome. This page requires two pieces of information. First is the application type that the candidate is interested in accessing to attend the 2013 National Scout Jamboree (many application candidates will have only one choice, depending on their membership status). The second requirement on this page is that the applicant provides a picture of him or herself. The picture is expected to be a clear picture of the applicant (see the page for specific instructions regarding file size and format). This picture will be used for identification purposes. The applicant will be able to change their picture as often as they desire. The application candidate will not be allowed to continue to their application unless both of these required fields are completed. 17

3. The next three pages shown are the application itself. Although most are common, the questions associated with each of the applications (Youth, Adult Leader, Staff) vary due to the particular requirements of each. Therefore, if child and parent are both applying to attend the 2013 National Scout Jamboree, they will be seeing different questions. The required fields on each application are clearly marked with a red asterisk. It is recommended that the applicant save their information regularly. The applicant will be allowed to save their incomplete application information in order to return at a later date. Only fully completed applications, that are applications where all required questions have been answered, will be allowed to be submitted. If you attempt to submit an incomplete application, you will receive an error message stating its incomplete state, and the missing questions will be highlighted. The following is an example of a Venturer who registered recently. Scout and Venturing should be similar in their flow. 20

When the application is successfully submitted, from your Dashboard you will need to select from the lower left portion of the screen: 2013 NSJ Request to Attend Link and generate/print the following form: 23 Scouts Annawon Council - 2013 NSJ Youth Registration Package V6 7-24-2011

You may return to your application at any time by once again selecting the Apply Now link on the main page of the website, which will take you to your Application Dashboard once an application has been started. Select Review or Modify to continue. 5. Parental Consent: Note for Applicants Who Are Minors: As stated above, all minors are required to have parental consent for applying to attend the 2013 National Scout Jamboree. To provide parental consent, the parent will need to create their own Summit account. The parent will then need to link their Summit account to that of their Scout or crew member. The parent will be given the option to link accounts after the creation of their own account, otherwise the link to accomplish that can be accessed by selecting myscoutbase at the top of the website, then select My Account, Add my Scout, and then check Yes, I would like to link my Account with my Scout. Upon completion, the parent can then access their Scout s or crew member s application by selecting Apply Now from the 2013 Jamboree main menu drop down list. Once the parent is logged in to their own account, directly under the 2013 Jamboree Registration Dashboard banner, the statement Viewing Application For: can be found. Utilizing the drop down list to the right of the statement, select the account for the youth you are processing parental consent for. Open the application and proceed through the three pages of the application. Once the pages have been reviewed and any necessary changes have been made, select submit. Submitting the application through the parent s Summit account constitutes parental consent. 6. Note for Volunteer Staff Applicants: Upon submission of your completed application, you will be routed to a payment screen. A deposit is a mandatory requirement for your application to be considered fully submitted. Post Application: The following notes are relevant once your application has been submitted: 1. Upon successful completion and submission of your application, you will be routed to your Application Dashboard. During the process you will be prompted to print one or more documents (i.e. Request to Attend Approval form). When the registration process is complete and all forms are printed, send an e-mail to Traci Ellis (ann.ganley@scouting.org) at the Council Office so your application can be added to a watch list until it arrives from National. 24

2. Make a copy of any forms you printed and then scan/email or fax to Ann Ganley. 3. To complete your registration process with the Annawon Contingent your deposit of $100 must also be received. Once we have your deposit, request to attend form and your application routed to us from National your spot on the contingent will be confirmed. 4. Your dashboard will provide your latest status and the next steps to be completed. This is the best location for you to manage or track your application process. Please note that upon completion, your status will remain as Pending Review through a portion of the summer of 2011 as your application navigates the proper approval channels. We appreciate your patience in this regard. 5. Your dashboard will also allow you to update any questions on your application, as appropriate (for example, you might have grown taller!). You will also be able to update your picture from your dashboard. 6. In the summer of 2012, you (or your parent, if you are a minor) will be required to provide additional information about your required medical and required trainings. Annawon Council Post Application Information: Once your application is routed through the approval process and arrives at the Annawon Council office, this will trigger multiple contacts from the council office and the CFC Jamboree Leadership team. Our primary method of contact will be via e-mail; by registering for this event you are acknowledging that your family will be part of an e-mail distribution list. You will receive council based, contingent based and Jamboree troop based e-mails as part of this event. Our goal is to provide an informed over-the-top experience for each scout/adult/venturer. We appreciate your interest in the 2013 National Scout Jamboree. 25
