ADDENDUM NUMBER 1 September 15, 2017 PROJECT: Virginia Polytechnic Institute & State University THE INN AT VIRGINIA TECH - PRESTON S RESTAURANT RENOVATION IFB # 0052625 The Inn at Virginia Tech -, Building 250C Blacksburg, Virginia 24061 TO ALL BIDDERS: GENERAL: Addenda are part of the Contract Documents and are issued to amend or interpret the Drawings and Specifications. The Addenda shall be acknowledged in the Bid Form in the space provided for addenda acknowledgement. Addenda list items by Drawings and Specifications. However, only specification items are referenced to Sections. Drawing changes, as well as Specification changes, described in Addenda shall include all Work required by the various trades involved to effect the changes described. Changes and Clarifications - General 1. See attached Mandatory Pre-Bid Meeting Notes, and listed as Attachment A (2 pages). 2. See attached Mandatory Pre-Bid Meeting Attendance Roster, and listed as Attachment B (3 pages). 3. Contractor questions due by 12:00 p.m., Tuesday, September 19, 2017. (GNI) (see sign-in sheet) Sign-in sheets were distributed and collected. Meeting Notes: 1. VTP greeted all attendees and opened meeting at 9:04 a.m. 2. VTP reviewed bid submittal procedures with the following emphasis: a. Name of the project and the IFB number must be present on the exterior of the sealed bid submissions, or they will not be opened. b. Only physical copies of bids will be accepted. No digital, email, etc. submissions will be accepted. c. Contractor is responsible for timely delivery of bid submissions. Weather, courier service, traffic, etc. are not acceptable reasons for late submissions. 3. Project Manager is Austin Burch. Contact information is on the Sign-In sheet. 4. VTR provided a general review of the project scope and reminded all attendees that review of the posted documents and drawings is their responsibility. 5. Per the posted Invitation For Bid (IFB): a. Sealed bids are due September 28, 2017 at 2pm at the location stated on the IFB. b. Sealed bids will be opened September 29, 2017 at 2pm at the location stated on the IFB. This will be the only time that all bids will be disclosed to the public. 6. Contractor questions are due September 15, 2017, no later than 5:00 p.m. Questions to be emailed to Austin Burch (VTR) at the email address on the sign-in sheet. 7. 8. University Building Official permitted drawing set will be presented to the awarded contractor at the Pre-Construction Meeting, time and date to be determined. 9. Additional access to the project site prior to the bid due date can be coordinated with VTR. A 48-hour notice is preferred to allow time to coordinate access with the Owner. 10. Required construction inspections will be coordinated by the awarded contractor through VTR. 11. Site security throughout construction for contractor employees and others is the sole responsibility of the awarded contractor. 12. Specifications for new shrubs, etc. to be provided in an addendum. All final decisions will be coordinated with the Owner and VTR. 13. Contractor will provide temporary toilet facilities and coordinate locations with VTR. 14. Locations for staging, dumpsters, contractor equipment, etc. will be coordinated with VTR by the awarded contractor. 15. Attendees were given opportunity to view site. END OF MEETING NOTES.
