ProCure21+ Scheme and Project Registration Guidance This document provides guidance on how to register a scheme of work under the ProCure21+ framework. It is the responsibility of the NHS to register each scheme and project it wishes to progress through the P21+ framework in order for the work to be framework compliant. Please ensure you read this document in full before registering a scheme. The registration of schemes does not affect or influence the way in which the PSCP selection process is conducted. 1. Introduction When registering work under the ProCure21+ framework the following should be considered. There is a two-tier (scheme and project) registration process for registering both Major Works and Small Works schemes. In all instances you are registering a scheme(s) of works. A scheme may comprise one or more projects. You will need to have considered the overall time, cost and component projects of the scheme in order to register. Once registered this information will be considered firm. The information provided must be reflected in the High Level Information Pack as issued at the PSCP selection process. Major Works projects and Small Works projects cannot be registered as part of the same scheme, they must be registered as separate schemes. This does not affect your ability to operate one selection process. (Please see summary diagram on page 5). For Small Works schemes, Task Periods (12 months) should be registered under the Small Works scheme header details. At the time of initial scheme registration any number of projects can be registered (under a scheme header). This can be anything from one project, which may be the only project under the scheme or several projects to be let in a number of stages, Projects should be registered at the most suitable point in relation to their approval status and proximity to starting work. If a project needs to be registered at a later date, this can only be done by logging into the P21+ Club site, selecting your scheme from the schemes list, and choosing add project. 2. Registering Schemes To register a scheme go to www.procure21plus.nhs.uk/registration On the registration page the client will be asked if they wish to register a scheme or a project. A tick box is available at scheme level to establish whether the scheme is Major Works or Small Works. If the tick box is used Small Works will appear in the scheme header. If the scheme is Major Works, the tick box is not used. (See Page 4 for a screen shot of the Registration Page) If a Small Works schemes is not stand alone i.e., it relates to a major works scheme, a reference should be made to the Major Works scheme number, at the time of registering (there a free text field exists to provide for the scheme ID cross reference). This means that Major Works schemes need to be registered before Small Works schemes in order to obtain the scheme ID. 1
Register both the Major Works and the Small Works schemes at the same time, if they are part of the same PSCP selection process. Once registered the schemes and any projects registered beneath them will appear on the P21+ database with their relevant Scheme or Project IDs. The information contained in the registered projects will then be updated via the Monthly Monitoring System (MMS). The following information is required for registering a Scheme: Cell Name Description Cell Value Scheme ID Alphanumeric e.g. P21+ nnnn Auto Generated Name of scheme Free Text Planned total capital value of ( m) scheme Start date Date Planned end date Date Description (detailed) Breakdown of the project(s) included in the scheme including primary function of the project or building SHA Trust Name Registered By Name, Email, Tel, [Mobile] Implementation Advisor Estimated number of projects under scheme Number - to monitor the expected number of projects to completion Comments Free Text Voluntary The following information is required for registering a Project: Voluntary (best estimate if not known) Cell Name Description Cell Value Project ID Alphanumeric e.g. P21+ nnnn.n Auto Generated Name of Project Free Text to tie in as an element of the scheme header detail Site Name Free Text (cannot be left blank) Name, Town, Postcode. 3. Scheme and Project ID Numbers On registering a scheme, it will be allocated a scheme ID e.g. P21+0001, P21+0002 etc. Project registered under the scheme will be automatically allocated a reference that links the project to the scheme e.g. P21+0001.1, P21+001.2 etc. Small Works task periods will be referenced to their schemes in the same way. 4.
