BHS PSG Meeting September 14, 2017 President Vanessa Drummond called the meeting to order at 12:10 pm. Attendees: Vanessa Drummond, Terri Linzy, Ann Simmons, Jessica Butler, Luis Ortiz, Dayna Rathman, Kendra Deffenbaugh, Kimberly Doenges, Kristin Barber, Margaret Biddinger, Sheila Wood, Shawna Thill, Linda Shuman, Beth Klawun, Mini Vasudevan, Suzy Keirsey, Pam Bilger, Peggy Covell, Debra Demaray, Andrea Jacobs, Tamra Winter, Christina Culver, Michele Robertson, Jacquie Bulleigh, Marcia Fouts, Jon Beckloff, Seth Van Duzor, Nicholas Hitchings Principal s report/ Counselor s report - Marcia Fouts/Andrea Jacobs The open house/back to school night was very well attended. There were approximately 700 people in attendance. Update on upcoming testing and other important dates: Juniors April 3, 2018 ACT test with writing free of charge. October 11 PSAT test. Students need to register for this. Integrated science test which covers life sciences and physical sciences. There is no longer a US history test required. Sophomores October 11 Practice ACT test Freshmen Currently no tests scheduled but the staff is exploring options. One option may be to have the freshmen take CPR training, which is required for all HS students before they graduate. The average ACT score last year was 20.8. This represents a 1.5 drop in our average from the year before and can be attributed to the fact that last year was the first year that all juniors were required to take the ACT (free of charge). A total of 373 juniors took the test last year. The state ACT average is 19.4. Some of the staff have taken ACT alignment training so that they will be sure to cover what may be on the ACT in the classroom. On September 21 there will be a college fair for juniors and seniors. Also on that day will be the FAFSA meeting for seniors at 6:15 pm. Mrs. Shipley, a former teacher at BHS, will be having PSAT test prep classes on Monday nights from 6:00 to 8:30 pm for $100. The classes will run from September 18 to October 9. Also on October 11 there will be a Senior Career Fair from 8:00-11:00 am. New this year at the career fair will be a volunteer opportunity section and information on manufacturing careers. Seniors will also be able to get cap and gown information. The new date for the Snowball dance is December 9th.

Homecoming is on September 29th. There will be a dance, a decorating competition and a parade. At the football game that night teachers new to the district will be recognized. At the tailgate party before the football game there will be an area for teachers new to the district, so please stop by and make them feel welcome. A new fundraising opportunity was presented to Principal Chancellor by Doenges Auto. For every person that takes a 10 minute test drive in one of Doenges cars, the company will donate $20 to BHS. We will need 5 to 6 volunteers for this fundraiser, and someone to help with publicity. If anyone is interested in helping with this, please contact LaDonna Chancellor. Principal Chancellor was unable to attend the meeting, but she thanked the PSG in advance for their annual donation of $2500 to the Principal s fund. This money is to be used building wide for any yearly startup costs and ongoing maintenance items (paper to decorate for homecoming, refills for the laminating machine etc.) Mrs. Fouts introduced Mr. Jon Beckloff, Director of Child Nutrition. Mr. Beckloff discussed with the group that all nutrition guidelines need to be followed or we risk losing funding for our school nutrition program. A USDA audit is scheduled soon so he wanted to make sure that we were all in compliance. He mentioned Fab Food Friday and informed us that the PSG is not to serve unhealthy foods during what is considered regular meal times. He asked that for now we do not put unhealthy foods (pizza) on our signs advertising Fab Food Friday. Vanessa Drummond requested that any discussion be tabled and asked that a meeting be scheduled with the FFF committee and Mr. Beckloff to discuss Fab Food Friday. The questions was raised why it was okay to sell pizza in the cafeteria if it is considered unhealthy. Mr. Beckloff said that the cafeteria pizza is made with a whole grain crust and low fat cheese. Secretary - Peggy Covell Minutes from the last meeting of last school year (submitted by Lesley Farr) and from the executive committee meeting were presented. Kim Doenges made a motion to approve the minutes as written. Jessica Butler seconded the motion. Motion passed. Presentation by Seth Van Duzor, Operations Manager, Marco s Pizza and Nicholas Hitchings. Seth and Nick brought lots of free pizza for us to try. They are interested in working with us on any fundraising we do and they proposed their own fundraiser. Thank you to Marco s pizza for the delicious pizza. Teacher requests There were no teacher requests submitted. Kendra Deffenbaugh asked if we had a form for teachers to submit requests to the PSG. We did not. Vanessa Drummond will follow up and create a form similar to the one in use at Central Middle School. After Prom - Michele Robertson and Tamra Winter Treasurer - Kendra Deffenbaugh

No report. The prom will be held on April 28th at the Hilton Garden Inn from 8:00 pm - midnight. Project Graduation - Christina Culver Treasurer - Aletha Shipman Some committees have been filled, but a lot of positions are still open. Christina sent a sign up sheet around. There was a short discussion on the reduction of the budget for Project Graduation from last year to this year. Even though the budget was cut, we will make up the difference with some new fundraisers of which all the profits will go to Project Graduation (senior parking spot painting and senior t-shirt sales). The event will be held on 5/25. Fundraising - Dawn Williams Dawn was unable to attend the meeting. Projects: Garage Sale - Carey Auschwitz is willing to co-chair the garage sale fundraiser with someone. A brief description of the event was given - Spots will be sold for around $25. Each participant will bring their own items to sell. The money the PSG will make from this fundraiser will be strictly from selling the spots. There may be food trucks and music. Anyone interested in co-chairing the event with Carey, please contact her or Dawn Williams. Paw Mart - Shawna Thill Paw Mart is up and running. There are 3 morning shifts (7:30-9:00am) still open. They are the 1st Thursday, 2nd Monday and 5th Monday. Morning shifts only require 1 person per shift. Shawna is also looking for someone to sub on Sep 20th for the lunch shift. Fab Food Friday - Kimberly Doenges The first Fab Food Friday was a success. Volunteers are needed to work the rest of the year. Kim sent a sign up sheet around. It was suggested that it may be easier to get another refrigerator for the drinks for FFF. That way it won t be so much work to get the drinks cold every time and the cleanup process will be much easier. Shawna will check with the coke vendor if we can get another refrigerator from them. Parking painting - Pam Bilger The seniors that paid for a spot had 3 time slots to pick from to come and paint their spot. All paint was provided. We sold 23 spots for $75 each. Lowe s donated some of the paint. Senior T-shirts - Pam Bilger We sold more than 50 shirts. They are still being passed out. Between the senior t-shirts and the parking spot painting we made about $1500 for Project Graduation. Communications/Marketing - Lisa Laurence

(918)766-3874 lisalaurence@hotmail.com. Teacher luncheons - Peggy Covell, Kimberly Doenges, Pam Bilger The dates for this year s lunches are Dec 14th and May 3rd. Teacher snacks - Kristin Barber During the months that we have teacher luncheons we will not have snack days for the teachers. Instead of the first Friday of the month we are switching to second Friday of the month so as not to conflict with Fab Food Friday. Kristin polled the teachers for their favorite snacks, and sent a sign up sheet around with the list of favorites. On the first day of school Kristin organized parents to bring Cuties, granola bars and chocolate for the teachers. Graduation Stage - Kristin Barber Graduation is on 5/25. Kristin will not be in town the day of graduation. She has people lined up to set up the stage and will organize everything beforehand. Senior Breakfast - Jacquie Bulleigh This event will take place at Hillcrest Country Club on graduation day. Jacquie is working on the menu with Hillcrest. Kristin Barber has requested to chair this committee next year. Superintendent meetings - Becky Olsen and Jenny Downey There has not been a meeting yet. PSG affiliate: Alumni Program Coordinator - Elaine Vitt Elaine was unable to attend the meeting but sent the following update: Elaine has Mrs. Tresner and some BHS students involved in her project. She is also working on getting the 501C3 set up. She is looking for BHS alums to help with this project. Board of Directors: We have local representation so now are recruiting from alumni of all three high schools who live elsewhere. If anyone has a suggestion for an ex-pat graduate from Sooner and BHS who might wish to help us launch, they can send me (the name and either email or telephone number. We just need one more of each. We are keeping the board small for launch, and College High is well represented. Advisory Panel: We also are recruiting members for an advisory panel (so you won't be lonely, Vanessa). These can be students, parent, grandparents, individuals with alumni group experience, anyone with expertise to lend and an interest in seeing this alumni group succeed. For this, I'd like people to shoot me (elaine@evitt.com) the name with email address and mention what expertise / interest the person would bring to the panel. We have not set a limit on the size of the panel yet, and it can be considerably larger than the board. First campaign: November! I'm planning the first outreach, by email and social media, for the first week of November. Again, the focus of our fundraising will be to help the

PSG meet its fundraising goals and to help BHS offset losses from state funding. Unlike bond issues, we are not restricted in what we can fund as long as it directly serves the needs of BHS. Old Business Thank you notes from teachers and students were shared. New Business National Voter Registration Day is Tuesday Sept 26. Vanessa Drummond will have a table set up to register 18 year old students to vote. She will be there from 10:30-11:45 on the 26th. She sent a sign up sheet around for volunteers. BBBS - Jan Watt Jan could not attend the meeting but she is actively looking for students who would like to participate in the Big Brothers Big Sisters program. Bylaw revision - Will be discussed next month. Bank account changes: On August the 18th, 2017 the Executive Committee had an online vote on bringing our bank accounts in compliance with regulations. Details of the vote are as follows: Email from Vanessa Drummond to the Executive Committee: While working on PSG finances, Kendra learned this summer that our accounts with Arvest are not in compliance with regulations. Essentially, because we share an account with several schools (Madison, Central, BHS) and divide our account further (After Prom, Project Graduation), we do not have the checks and balances needed to use the account appropriately. Therefore, Tricia Richards at Arvest has suggested we move into a Cash Manger style account, which will serve our needs better, be compliant, and protect us better from fraud. Typically, companies pay $25 per month for this service, but they discount for non-profits such as PSG to $10 per month. There is a contract involved with the package, but no long-term commitment, on our side. The system seems fairly simple, and Kendra said it would look much like our account did before, online. Our account numbers will not change, and it will be easy to change access from year to year. If there is discussion, please reply to all. If you would like to second the motion, please do and we will continue our vote through email. The motion made by Vanessa was seconded by Dawn. There was no discussion and the motion passed unanimously.
