To attend/visit the various departments of the Electric Supply branch for inspections, advice and suggestions. Online/Onsite help to the various departments. To prepare Quarterly AMC report. To maintain BEST Undertaking and CGRF Website by coordinating with website Contractor. To arrange for updating of the BEST website and monitoring payment of website to the contractor. The creations of new E-mail IDs on BEST website for various Officers/Depts. of BEST Undertaking. Online/Onsite help to the various departments for E-mail configuration and troubleshooting.

To keep vigil on the development, corrections, modification in the BEST website. To resolve the problems of internet and to visit various concern departments and follow up the same. Preparation of payment statement annually for BEST s hosting and maintenance charges to website contractor. On line data entry into Information Management System (IMS) of Central Electricity Authority (CEA) by monthly and some of the formats by yearly. 4.(b)(ii) : The powers and duties of its officers and employees :- The Computer Application Department is headed by a divisional Engineer and the following officers and staff are on roll. The powers and Duties of Divisional Engineer :- The Divisional Engineer is overall in-charge of the department for supervising as well as administrative control. The Divisional Engineer will carry out such activities which in turn will take support of all the duties and responsibilities of the department. Monitoring and proposing the staff requirement, new projects, planning and forecasting, arranging training, computerization activities of Electric supply branch, introducing new technology into Electric supply branch, carrying out feasibility studies for different applications will be the duties of the Divisional Engineer. The Divisional Engineer will interact with the outside parties for getting knowledge of the technological developments, new mode of electronic communications and technique etc.

The Divisional Engineer will report to Dy. Chief Engineer (stores). To prepare time to time, Capital Budget, Revenue Budget, quarterly and annual reports, budget estimates, etc. To prepare variation of establishment schedule maintain the overall discipline of the department. The Divisional Engineer will attend Electric Supply Branch meeting and will be the authorized person to give the reports / information of his department to the management as and when required. He will put up the proposal for increase or decrease of the staff as per the requirement. He will also carry out such activities which will help in (developing the department) meeting the objectives. 2. The powers and Duties of Superintendent :- The Superintendent will be working under the Divisional Engineer. He will take up jobs assigned from the Divisional Engineer. He will look after the projects assigned to him. The superintendent will assign jobs to the assistants and monitor the progress. The Superintendent will also guide the staff in carrying out the activities. He will plan the jobs and implement the same. The plans will have to be reviewed from time to time. The progress will be reported to the Divisional Engineer time to time or as & when required by the Divisional Engineer. Superintendent is the overall in-charge for the maintenance of BEST undertaking website. Creation of new e-mail accounts for the undertakings offices. To provide the help for the E-mail account troubleshooting and configuration of e- mail account in outlook programme to the respective department. He is co-coordinating the user department and the contractor to carried out the smooth work. The superintendent will have control over the staff working in his section. He will put up his requirement and seek the guidance from the Divisional Engineer for policy decision. Any change in the normal procedures will have to be put up to the Divisional Engineer such proposals are to be approved by the Divisional Engineer.

The Superintendent will be responsible to put up proposals for necessary training to staff involved in the project. The Superintendent will also be responsible to put up proposals for procurement of necessary hardware and software for carrying out the projects. He will also put up proposals for manpower requirement of the projects. The Superintendent will prepare time schedule for the same. The Superintendent will co-ordinate with other department connected with the project. He will co-ordinate with the representatives of the contractor. He will assure that the work is carried out as per the specifications, terms and conditions of contract and the organization s interest is protected. 3. The powers and Duties of Asst. Engineers:- Scrapping/procurement of Computer hardware and software. To put up proposal for Annual Maintenance contract for PC s, Printers, Laptops, Scanners, etc. To co-ordinate with various departments of the Electric supply branch and Maintenance Contractors for breakdown/preventive maintenance of Computer hardware and software. To prepare Quarterly AMC report. To send payment advice to MM Dept regarding AMC of Hardware. To keep vigil on the latest development in the field of computerization, its revised versions and act accordingly. To identify the areas of economy in the field of computerization and related technique and its applications effectively. 4. The powers and Duties of Dy. Engineers :- The Dy. Engineer will report to the Superintendent and Assistant Engineer to carry out the jobs allotted by them. To put up proposal for Annual Maintenance contract for PC s, Printers, Laptops, Scanners, etc.

To co-ordinate with various departments of the Electric supply branch and Maintenance Contractors for breakdown/preventive maintenance of Computer hardware and software. The powers and Duties of Assistant Adm. Officer The office Assistant shall be arrange to the preparation, maintenance and / or checking as the case may be of staff record, clothing record, and staff engagement forms, discharge notices, temporary staff returns forms bills, annual reports, budgets reports / estimates, monthly statements such as officer s monthly absentee memo. To arrange through the staff to maintain office records and update from time to time. To prepare the annual Budget Estimates and the establishment schedule. Maintaining staff registers, keeping record of vacant posts required to be filled up and putting up requisitions for filling them. Putting up proposals for the confirmation permanent establishment. Scrutinizing the attendance of all staff of the division and attending to all work arising from the same. To prepare service termination slips and final bills of separated employees etc. To attend the queries from Personnel, Time Keeping, Budget department related to administration. To prepare periodical statutory statistical of staff required by the Govt and management from time to time. To maintain the files pertaining to various subjects such as office procedures, office orders, Govt. control orders, correspondence with workers union. To prepare drafts for the matters pertaining to Stores materials, office equipment, furniture, stationary and printing items related to office work. Maintaining stock register of stationary and printing item and keeping a check on their consumption. To supervise the Staff working under him. 5. The Duties of Supervisor. Receiving and dispatching file along with proper record.

All types of Typing work Maintaining the staff record and review periodically. Preparing and sending all types monthly, quarterly and annual reports to respective department by taking approval. Recoup the departmental requirement from the stores materials. Issue stationary and clothing with appropriate record. Maintaining registers, files, equipment files, and inventory of office furniture and other equipments. All other work assigned by the officers. O.B. memo, MCA queries reply, preparing bill voucher and its record, Salary bills, staff matters, follow up various cases and files. 6. The Duties of Nawghani :- Looking after the dispatch of files/ papers within divisions. Taking outward dispatch to various departments. Cleaning the tables, chairs and equipments. Attending officers call for official work. Bringing stationary and other work minor in nature. Opening and closing of the department properly.
