SAC 2016 2017 s and President Current Grade 10 11 1 year previous experience on SAC Acts as a liaison between s and Administration through attending meetings with Administration to express concerns and suggestions Attends monthly School / Parent Council meetings Attends monthly York Region President s Council (YRPC) and President s Senate meetings Voices concerns to trustees at YRPC meetings and attends trustee elections Takes suggestions from President s Senate meetings to improve our own school and community Acts as a leader and helps out with important school events (eg. Registration day, Grade 9 day, BLAST, Community volunteering, etc.) Contacts Alumni for resources or advice Holds and runs weekly Student Council meetings Delegates tasks to other members of council Creates an agenda for meetings, keeping deadlines in mind Sends agenda to secretary a night before the meeting so it can be sent out to council Calls for votes on motions, tabulate the final count, and announce the results during meetings Plans events for the body with ideas from all members Analyzes and approves club event requests and funding proposals making sure they are appropriate and do not conflict with school policies Analyzes SAC s finances and budgets accordingly Analyzes the pros and cons of each event / activity and provides suggestions for next steps Creates and submits event proposals for approval Assists with the interview process of new Council members Makes sure all necessary documents are in order / printed Creates a Year Plan at the beginning of the year with input from members Holds planning meetings in August to prepare for the upcoming year Ensures that each member of the Student Council are aware of the current constitution Sets clear goals and objectives at the beginning of the year Sets clear rules and codes of conduct for members to follow Checks on team members progress throughout the year Motivates members and makes sure members are on track during meetings Is available to the body at all time Listens to suggestions and concerns of s Provides answers or advice to questions asked by the body Creates year end reflections and organizes a binder of resources for new Council

SAC 2016 2017 s and Vice President Current Grade 10 or 11 1 year previous experience on SAC or executive member on another Council Takes on President s role when President is not present Hosts and runs Cabinet meetings and acts as a liaison between SAC and other councils Shares ALL responsibilities with the President o Assists in delegation of jobs o Assists in creating weekly agendas o Attends YRPC/Parent Council meetings o Helps create To Do lists for everyone keeping in mind deadlines Creates year end reflections and organizes binder of resources for new Council Submits afterschool permits for the following year with advisors Secretary Current grade 9 11 Interview position Takes weekly minutes and sends out reminders Posts minutes and other information on the SAC google docs Keeps soft copy of everything (from lists, to dance tickets, to election forms) Creates documentation sheets for every event (tally sheets, attendance lists) Updates the master calendar (with cabinet) Updates SAC calendar and bulletin board Keeps SAC, admin and cabinet contact information on google docs /excel Takes attendance and manages volunteer hours for Student Council members Helps the president and vice president create To Do lists for everyone Follow up with deadlines Writes Thank You cards after every event

SAC 2016 2017 s and Junior Treasurer Current Grade 9 10 Interview position Shadows and learns from Senior Treasurer Undertakes finance related tasks as assigned Should be comfortable with numbers, math and financial analysis Should be comfortable making financial statements and reports Should be organized and responsible with money Senior Treasurer (Acclaimed position, taken by junior treasurer after 1 year) Delegates tasks to Junior Treasurer Manages SAC s finances Budgets for all events and fundraisers Retrieves financial statements from office Compares and analyzes financial information between years, companies, etc. Analyzes club funding proposals and advises council on funding amounts Informs clubs and committees if their funding request has been approved or not Collects receipts and write cheque requisitions for SAC members, to be submitted to SAC advisors for reimbursement Retrieves cash box for selling days from office o Responsible for handling money during the entire selling period o Count money and tally of sales after every day o Keeps and accurate record (soft copy) of all financial transactions Prepares an updated financial report after all events Co Events Co ordinators Current Grade 9 11 s In charge of planning major events (eg. Semi, Birthday Bash etc.) Book DJs and Photobooths for dances Contact food trucks and inflatables companies for Birthday Bash Get quotes from different companies for budget analysis Contact Melody from Aramark (Caf) for food restrictions on events Create floor plans and buy decorations Help out with Battle of the Grades Think of new event ideas Social media presence Writes event proposals for Admin

SAC 2016 2017 s and Junior Publicity Current grade 9 11 Head Publicity (Acclaimed position, taken by junior publicity after 1 year) Shadows and learns from Head Publicity Assists / takes a share in all Head Publicity duties Should be comfortable with creating various forms of advertisements (print ads, videos, written announcements) and working with technology Should be comfortable with various forms of social media (Facebook, Twitter, Instagram, Snapchat) Should be comfortable with speaking in front of large groups of s Assist other members as neccessary Delegates tasks to Junior Treasurer Makes posters, banners and other forms of advertisements to promote events Makes sure posters are approved/printed/put up, announcements are in, banners are up before deadlines Films and edits SAC videos for promotional events Writes and sends announcements to advisors/admin Advertises through a variety of forms of social media (Facebook, Twitter, Instagram, Snapchat etc.) Tweets out important information (eg. registration date and times) Thinks of new, creative methods for advertisement Takes SAC pictures Acts as a liaison with Yearbook and designs SAC pages Assists secretary in updating the SAC bulletin board Grade 10 Current grade 9 Bring forward concerns and suggestions to weekly SAC meetings
